In regard to the parking area lighting:
In our discussion with the DRB staff representative it was it was agreed we can keep
the current solar powered lights on the post in the lower parking area. Vail Run will also
disconnect the small halogen lights which shine down on the grassy area along side the
ramp.
We would appreciate some suggestions from the DRB staff as to appropriate possible
solutions for the area when it is dark.

Hello, Rachel.
Sorry, I did not receive an email from you yesterday, Tuesday. Don't know
why. Just re-checked in our office in-box, deleted mail and spam and
nothing is there. Gremlins in the wire?!!! qddress is plarch@vail.net.
Regarding the screening, we propose to go back to an original sketch idea of
having a dropped, false header at the building line to block the upper views
of the mechanical equipment. The depth of the "header" would be determined
by in-field sight lines above the proposed screening fence. It will have
new horizontal wood siding on it to match the existing building and the
proposed new siding on the revised old tennis bubble access area.
We need the lower portion of the existing wall opening to be "open" at the
building line to accommodate air flow and any new, low profile HVAC
equipment that needs to sit outside. Hence, the lower fence portion of the
overall screen with a matching access gate. The combo of wood sided header
and fence to match existing appears to be a simple and very reasonable
solution.
I have attached a copy, dated 5-10-10, of the original screening sketch. It
supersedes the current sketch in the submittal documents. If you need
wet-stamped, hard copies hand-delivered to your office, I will be happy to
do so.
Concerning the roof, Vail Run is preparing in the very near future to submit
for a permit for reroofing at the 5th floor level. They are proposing the
new roof over the pool/spa room to be the same material. I will get that
contact and spec information from Vail Run and supply it to you.
At this time, all other aesthetic details regarding the new pool/spa room
roof are proposed to match existing. The replacement guardrail at the
existing roof edge will be similar in design, except that the vertical
member spacing will be tightened up as required to meet code, per Martin
Haeberle.

Dave- Did you get the email I sent you yesterday? I am concerned about the
screening only blocking half the mechanical area from view. Can you amend
the application to cover the whole room ground to ceiling? As for the roof
portion, you will need to provide me with information regarding the roof
material, and any changes in design (if applicable) as this is not included
in the DRB submittal package. Ultimately a staff approval is likely, I just
need to get a final submittal from you. What are your thoughts on the
screening?

Just touching bases about the recent DRB submittal for the equipment
screening over at Vail Run. Even though the deadline was this past Monday,
we turned it in mid-week last week. Hopefully, it got routed to you
directly. It is our understanding that the current DRB submittal and
subsequent approval is tied to the removal/repair of the of the existing
pool/spa building roof.
We have been dealing with Mr. Martin Haeberle at the Building Department and
he is fully aware of the fact that the roof needs to come off and be
replaced ASAP. With the Building Departments permission and permitting
process, Vail Run has removed the existing ceiling and exposed the
deteriorating roof structure.
We are ready to proceed with the required structural, mechanical and
electrical engineering disciplines, but want to comply with the Town's DRB
process first. Hopefully, the DRB review can go the "staff approval" route.
If that appears to be the case, it would be great if we could have the
confidence to proceed with engineering even before an "official" DRB
agenda/meeting approval date.

The plan drawing that was submitted as part of the DRB application package
indicates that the lower fence protrudes a maximum of 5'-0" horizontally
from the existing structure and is approximately 6' to 6'-6" high from
existing grade.
The idea for a little bit of flexibility in the field is so we can actually
stand back while the screening structure(s) are being built and tweak
in-field dimensions here and there so that everything works visually. You
or another representative from the Planning Department are welcome to be
part of that process. I also assume that the Town is not particularly
enamored with fences much more than 6' high.
We would also like the flexibility to not have to remove sections of the
existing old tennis bubble equipment that we are proposing to screen. A 5'
maximum protrusion would do that. It also would accommodate and hide any new
mechanical equipment for the repaired pool/spa room that is required to sit
outside the building line.
Obviously, if it is determined that sections of the old tennis bubble
equipment need to be removed, and the new outside mechanical equipment
requires less space, then we would use less than the 5' maximum protrusion.
That "determine in the field" thing.
In addition, a 5' maximum horizontal fence protrusion allows us to keep the
existing outside parking spaces in front of that section of the building the
same size. The parking wouldn't change.
If necessary, we propose a gutter/downspout arrangement on the existing roof
overhang, should rain water and snow melt present a problem on the inside of
the fence. As it is now, the equipment we are screening is already exposed
to the elements and any new required HVAC equipment is designed to sit out
in the weather. If we use a gutter arrangement, the color will be
compatible with existing siding/fascia colors. We don't see this weather
exposure as a particular obstacle.
I have attached a section sketch of the above information to help clarify
everything.
Regarding the roofing material/color, as you suggested, I recommend at this
time that we apply under a separate application. It is my understanding
that Vail Run will soon be submitting for a re-roofing application for a
separate area of the building. It is also being considered for the
repaired/replaced roof over the pool/spa area.
The potential proposed roofing system is Conklin Roofing Systems "Quality
Cool Roof Solutions". The finish color is white, and reflects up to 85% of
the suns rays. There are two other options, but they reduce the

reflectivity. Rapid Kote 3"tan" which has 65-70% reflectivity. The other
option has a wide range of color choices to choose from, but all lose
reflective value.

We have addressed the current DRB issue of equipment screening and parking
lot lighting. The existing pool/spa area roof needs to be replaced ASAP,
and we need to move forward with demo, the engineering disciplines, ordering
materials, scheduling, etc., etc.
Since the final roof color is not critical to the pool/spa roof work that
needs to be started right away, I recommend that we delete the roof/finish
color from the current DRB application and deal with it as a separate
application when the major "big picture" submittal is ready for the rest of
the building. That submittal will be presented to the Town by others.
It is imperative that we move forward ASAP with the pool/spa area
replacement and repair process.

The roof portion of the project requires DRB approval. I can include it in
this application or you can fill out another application. You will need DRB
approval prior to application for a building permit (even if it is the same
material, design etc). If you would like to include it in this application,
please submit the specs of roof material and any changes to design.
As for the screening, how far will the lower fencing protrude from the
building? If you are attempting to find space for new mechanical, can you
remove the old mechanical systems so that there is minimal bumpout? The
latest design you just sent me is much better than the previous design.

However, can you make the lower fencing taller so that it meets the header?
This will improve screening, especially if you go with taller mechanical
systems. A fully enclosed space is obviously the best option for screening.
However, if you need to leave it open for circulation that is
understandable. It will however allow for snow/rain/debris accumulation.
