Page 1 At a meeting with several Town representatives from the Building and Fire Departments we discussed what additional information is need to review and process your request. I have included Martin Haeberle, Chief Building Official, and Mike Vaughan, Fire Marshall, on this email as many of the items requested aid these two departments in addition to Planning, in reviewing the request. 1) Please provide a detailed written narrative of what it is you are looking for, how you plan to operate the tent, what the purpose is (open house?), hours, restroom facilities, etc. Include a site plan showing the tent location on the properly. The best way to handle this would be to make a copy of the approved field set site plan and draw in your tent to scale. On this site plan and in your narrative please describe how people will enter and exit the site and get to the tent. You can not be too descriptive. 2) You will need to obtain a tent permit and temporary heat permit from the Fire Department. It was suggested by a representative of the Fire Department that you should be looking at using natural gas for heat not propane. Apparently a company named Fresh Aire is working with Layton Construction to provide natural gas heat on site currently. Using natural gas apparently has some advantages for the tent you wish to use. 3) Provide a letter from Layton Construction acknowledging that they are aware of this request and that they are comfortable with their liability insurance covering this function on the site and that they too will be responsible for operating it in the approved manner. Furthermore, a statement from Layton explainig how construction will be altered to make this tent a safe on an active construction site. 4) No signage shall be erected with this request. 5) No sales shall occur within the tent. This probably is not your intent, but please describe your functional goal as described in item number one above. 6) There shall be no drop off or pick up on Meadow Road. All arrival and departure shall be on foot or contained within the site. I believe this captures all the comments. Martin and Mike if it looks like I have missed something please send and email response to all letting us know what else is needed. I will be out of the office December 11 through December 15th. We have been in contact with Christa Johnson, Marketing and Project Manager for Playground, we have agreed on an area on the south side where a tent can be erected that will not conflict with construction activities and should provide a safe environment for visitors where they will not be required to enter the site where construction activities are taking place. Agate will be provided to them from West Meadows that will lead them directly into the tent. There will be no access from the tent to the jobsite and no one will be allowed onto the site without an escort and proper PPE. Construction activities in this area over the holidays will be minimal, we will closely monitor activities in this area. The 15' x 15' tent that DSC would like to put up on the Four Season's construction site is a hospitality tent whose sole purpose it to provide information to people about the Four Season's hotel. It will be open from 1:OOpm-5:OOpm daily, from December 19th, 2008 until January 4th, 2009. The tent will be erected on December 18th, 2008 and torn down on January 5th, 2009 by Alpine Party Rentals of Eagle, CO. Furniture will be delivered at 1:30pm on January 18th via a rental truck, and will take less than an hour to unload. There will be a simple sign on either side of the tent door (a solid door) with the Four Season's logo and the words "Hospitality Tent." We would like to put a sign on the construction fence with the Four Season's logo and the words "Please visit our Hospitality Tent for information." Since it is a temporary structure that guests will be visiting intermittently, restroom facilities have not been provided for. People will enter the tent from Meadow Drive (after seeing the sign on the fence) by a solid door that opens out. Once inside, we will have a small table in the far right corner that will have a coffee service on it, consisting of two coffee makers plugged into dedicated 110v circuits, creamer and sugar. On the right side of the room will beatable measuring 3 '/z feet across with two chairs, and in the back left corner we will have two leather lounge chairs and a small coffee table. The corner to the left will have a live, potted tree in a 24" pot decorated with white Christmas lights. Heat for the room will be via a propane heater, provided by Alpine Party Rentals, also on a dedicated 110v circuit. The propane and the heater will be located outside, and heat will be channeled inside by a duct. We will also have an "Exit" sign, a "No Smoking" sign and a fire extinguisher in the tent.
