Soecial.Events Meeting Vail Town Council Chambers July 22, 2008 at 9:00 a.m. CSE Members Present: Bobby Bank Meggen Kirkham @ 9:1.5, Rayla Kundolf, Robert McKown, Heather Trub and Chairman Dave Chapin CSE Member Absent: Scott Stoughton Others Present: Kelli McDonald, Joel Heath, Luke Schryver, Susie Tjossem, Joyce Gedelman- Viers, Sean Cross, Scott Cross, Lorelei Donaldson, Susan Fritz, Amy Oberly, Mickey Werner and Sybill Navas Chairman . Dave Chapin called the meeting to order at 9:05 a.m. Administrative Items: • Motion to approve the minutes of the meeting of June 24, 2008, as presented. NUS/P: Bob McKown, Rayla Kundolf, Unanimous • CSE members reviewed the financial report. No issues were raised. • Coordinator Report: o Status of LH Kiosk: Since VRI has not been able to staff it; the Town of Vail has requested that the kiosk be removed in the fall, after the Lionshead Oktoberfest weekend. The work cannot be done sooner, since work in the right-of-way is prohibited until after Labor Day and the concrete pad on which it is sited must be removed and replaced with pavers. The removal of the kiosk will greatly increase the available space and facilitate the use of the plaza as an event venue. o The status of the Colorado Grand car show remains undetermined, as the Fire Department has been reluctant to allow the placement of a large number of vehicles in the Lionshead Mall. The Fire Department will present their final determination on car placements to the ERC later in the week and the decision as to whether or not to hold the show will be based on that discussion. o Follow-up: Contracts w/producers re:, Bands and "unacceptable". behavior: Sybill reported that none of the event producers she spoke with would be willing to accept liability for behavior of bands. Diane Moudy provided sample language that she "writes-in" on each contract, specifying that illegal or lewd behavior will not be tolerated. This appears to be an acceptable compromise. Event producers receiving public funding or producing free concerts in the public right-of-Way understand that the entertainment must be suitable for all ages. o The Vail, Valley Foundation announced the cancellation of the Colorado Stage on account of their lack of success in securing a presenting sponsor. o Arrabelle Events: Sybill explained that this first year of holding events at the Vail Square in Arrabelle has been a learning experience for all. This week it was discovered that there are conflicts with the Thursday night Jazz concerts and the set-up schedules for the Antique Festival and the Arts Festival. Both Sarah Franke and Laurie Asmussen have had to completely reconfigure their venue plans, and will do everything possible to keep their events within the mall area. Additional challenges have come from the fact that the ice rink area does not have any power sources and vehicular access to the square for d. .rYing off large event infrastructure is extremely limited. The Town is working with Arrabelle to see if power can be added to the area so that events can be held within their site without having to place a generator in the Town's right of way. o Final budgets for The Session were included in the packets. CSE members agreed by consensus to accept it as closure on their contractual requirement to supply the event's final accountability. Final Event Reports: TEVA Mountain Games and IFSC World Cup Climbing: Stating that Vail is now described in a Supreme Court decision on the water park issue as an icon of how to utilize outdoor adventure to boost the economy, Joel Heath presented a short video highlighting the various activities of the games. From grassroots beginnings to the world's largest outdoor adventure event, he stated that the Mountain Games has sustained 20% growth in athlete participation from year to year and attracted an estimated 35,000 spectators this year. Joel expressed his pride in their "family" of sponsors, while recognizing the most difficult market in which to sell sponsorships that he has experienced. The very significant national and international media exposure and demographic information was described in a PowerPoint presentation. Highlights included: o PR exposure with a distribution of over 57M: greater than the entire Vail summer marketing program. o A Town Wide ROI of $31.24 per $ of CSE investment and a Sales Tax ROI of $.25 per$ of CSE investment, with $179,416 direct sales tax generated in Vail o National Geographic dubbed the event as "the other Olympics." o Demographics: Described as "young at heart, affluent, and socially conscious." Average age 31, Household income avg. $34K, 50% over $200K, origins balanced between national, regional and local with 3% international. o Strong positive impact on local businesses during an otherwise slow period, particularly for restaurants. o Lodges that were completely "sold out" during the games included Sitzmark, Evergreen, Lodge at Vail, Riva Ridge and the ve" ( RA n L, o of ?fz_ . o Ozotmath Street Concert: an up and coming band, w 'ch was less expensive and provided better energy than a big name group, Gore Creek Drive was packed. o TEVA shot their entire $2M 2009 marketing campaign in Vail o The world's largest competition climbing wall- stored at the Wolcott dump! Moving the presentation to the IFSC World Cup Climbing, Joel stated that the event set every record for number of athletes, countries and spectators at a 1st year event. By popular demand from the coaches and participants, World Cup climbing will return to Vail again next year, with the additional requirement for a roof over the climbing wall. Climbing has received Olympic status for 2016- having met the requirement of being hosted on every major continent- the US was the last step, right here in Vail. In closing, Joel stated that the plan for next year's event includes targeting 2 demographics: 2% athletes and 98% spectators, with more attention to attracting the "weekend warriors, by adding more participatory events such as a half marathon up Vail Pass. BBQ on Bridge St: Joyce Gedelman-Viers distributed a photo-recap of the 2nd year event highlighting the event's success as a kick-off to summer and the huge growth since last year, CSE/sn Minutes: 7/22/2008 Page 2 of 5 with 24 restaurants participating vs. only 10 in the first year. Describing the event as a "business community event," rather than a "Chamber" event, she added that with the CSE's cut in funding this year from $20K to $9800 made it very difficult, but that the restaurants really made the event successful with the excellent quality of food and the gourmet preparations of BBQ. Joyce, while stating that the shoe sale was a great success as well and added energy to the event, she apologized for the poor quality of their signage, explng that the VCBA did not take part in this aspect of the event. Sybill added that in light of the embarrassingly poor image these signs put forward the ERC has determined that hand-written signage will not be allowed in the Town's right-of-way in the future. Joyce stated that the competition was a popular addition this year, and the VCBA has been asked to produce a similar event in Lionshead next year- noting that the Chamber does represent businesses throughout both villages. CSE members offered the following comments: o Improved "restaurant signage." It was difficult in many cases to know which restaurant was serving what. o Increase the number of places selling drinks; particularly other than beer. o Distribute more "flyers; ' of the type that accompanied the presentation. o A reminder .that the final budget accounting is required as part of the CSE's contract for funding. Susie Tjossem, President of the VCBA, closed with the statement that they know they can identify opportunities to develop other sponsors and that there are other revenue opportunities available as well, such as increased alcohol sales and participation fees. Vail ]Film Festival: Sean and Scott Cross distributed Film Festival programs, the final event budget and a media coverage overview indicating over 200M impressions. While they acknowledged that the Taste of Vail and the state of the US economy had an impact on the attendance this year (12,500 vs. 14,000 last year), they stated that they had the best sponsors ever as well as huge increase in number of films, both submitted (1200) and shown (80, with 27 premieres). Highlights included: o Amy Redford, daughter of Robert, compared the Vail Festival to "how Suridance used to be." o The popular showing of the Oscar Shorts: unique to the Vail Film Festival. o Screenwriting. contest. o Pixar animation workshop. o Apple demonstration of "Final Cut Pro," a computer program for film editing 0 48-hour filmmaking contest: filmed in Vail with everyone using the same story and script, but with amazingly different results. o The exclusive film festival affiliation with Product RED, helping to create global awareness about. AIDS. o Awards: which help to boost the celebrity attendance. They added that they continue to struggle with event venues. The Arrabelle screening room was difficult because of the low ceilings, which forced the screen to be low and made viewing for audience members who were not seated in the front difficult- but at the same time, it was important to have a screening venue near the Best Life tent. CSE members asked for more advance distribution of information, noting that the programs arrived quite late this year. Taste of Vail/Lamb Cook Off: Susan Fritz and Mickey Werner distributed an overview of the media coverage for the larger Taste of Vail event and an event budget for the Lamb Cook Off, CSE/sn Minutes: 7/22/2008 Page 3 of5 stating that without the CSE's support they would lose money on that component of the event. Susan explained that the "whole" Taste of Vail has worldwide recognition and is not just an event, but is about promoting Vail. She explained that this is one of only 2 major food events in the country that takes place during the ski season, and that the combination is an important illuaLation of the "Vail lifestyle." Moving to summer would cast the event as "just another festival," competing with many others for both participants and sponsors. She added that the event relies on a strong base of community volunteers and is dependant on VRI and the hotels for support, as well as the availability of restaurants to participate. Changing the focus to the Lamb Cook Off, Susan stated that the event continues to grow in popularity, with over 2%Z times greater attendance this year than last. American Lamb donated 80 lbs of lamb to each of the 35 participating restaurants and there is high demand from the wine-makers to participate- citing the Taste of Vail as their favorite event. She added that the timing of the event is deliberately sensitive to not creating a conflict with the times that restaurants are open. Susan closed her comments by stating that the Taste of Vail just celebrated its ISO year. When they started it was to create business in the slow period and to give people a reason to come to Vail. They have come a long way: April is now busy, the event.shows off Vail's epicurean status and sells out every year. Discussion: Issues surrounding the scheduling of multiple events for the same time frame: Sybill introduced. the topic by explaining that the feedback with respect to the Taste of Vail and the Vail Film Festival being held on the same weekend this year has been uniformly negative. The Town is concerned that public dollars would be better utilized in spreading out the events throughout the year and getting a better bang for the buck, community members were frustrated that they could not fully enjoy both events, each of which is considered to be among our best. Town of Vail staff and infrastructure, particularly parking availability, were stressed and impacted the guest experience. Additionally, some lodges and restaurants felt that they were asked to contribute too much in in-kind support at one time. While recognizing the importance of maintaining the same time frame each year, both events feel they cannot be successful on an Easter weekend, and therefore adjustments are made depending on where that holiday falls with respect to the ski area closing dates. Although on the surface it would seem to be a benefit to each event that sponsors are more interested in supporting both events, the Film Festival producers ?.1,y?essed their frustration that the actual dollars are diluted because the sponsors do not double their commitment, but expect to get twice the benefit for the same price- leaving only half as much in actual benefit to each event. Both events feel strongly that skiing is a significant component of their success. The Film Festival agreed to look at the ramifications of moving to the first week in March, if their CSE funding would not be put at risk, if the venues and hotels support required would not be priced out of reach and if the national and international calendar of Film Festivals will not cause a conflict. Meggen and Sybill will put together a spreadsheet of Vail Mountain closing dates, Easter and expected dates for Taste of Vail, Vail Film Festival and Spring Back to Vail to see if this year is an anomaly, or a regularly expected issue. 2009 RFP Development and Funding Allocation Schedule: Sybill stated that she plans to post the RFP on the Town's website by August 31, with a submittal deadline of Friday, October 3. Applications will be reviewed at the CSE meeting on October 28. CSE members agreed to move the November meeting from the 25'h, which would be the regular 4`h Tuesday meeting date, to Tuesday, November 18 in order to avoid Thanksgiving week. CSE members requested that more emphasis be placed on sending the message that event producers should seek more sponsorship support in future years, rather than returning to the CSE CSE/sn Minutes: 7/22/2008 Page 4 of 5 fig year after year with ever increasing funding requests. Sybil] will make, the suggested changes and email the revised RFP for final approval prior to posting it on the Town's website. The CSE also revisited the wording of the mission statement, and agreed to consider any changes as part of the Strategic Plan update in 2009. New Business: No new business was discussed. NOTICE IS HEREBY GIVEN that one vacancy exists on the Town of Vail Commission on Special Events (CSE). Applicants must be residents of the Town of Vail, own real property within the Town of Vail, own a business in the Town of Vail, or be employed within the Town of Vail. The terms of the member shall be for the balance of the vacancy which ends on December 31, 2009. Members of the CSE shall serve at the. will of the Town Council. The CSE shall support the Town Council's goals and objectives and makes decisions in alignment with the Town Council's marketing direction. The mission of the CSE is to support street entertainment and special events for vitality, year-round fun, sense of community and increased quality of experience for guests and. residents. The Functions and/or duties of CSE_ shall include, but are not limited to: hiring and overseeing a director and/or staff, as well as event producers and/or promoters; creating, funding and seeking special events for the Town of Vail; evaluating event applications and event success; submitting an annual budget for operations and events; coordinating the community calendar for special events, seeking out additional funding for special events through sponsorships and donations; evaluating and executing contracts for special events; and all other functions as directed by the Town Council. CSE meetings are generally held on the morning of the fourth Tuesday of each month. Although the position is voluntary,. the Town provides each member with a blue parking pass in appreciation, of the contribution to our community. Persons interested in serving on the CSE board should submit letters of interest and experience to the Vail Town Council, Attn: Lorelei Donaldson, Town Clerk, 75 South Frontage Road, Vail, CO 81657 by mail or in person no later than 5:00 p.m. on Wednesday, September 10, 2008. All applicants will be interviewed by the Town Council at their afternoon work session on Tuesday, September 16, 2008, with appointments to be made at the evening Council meeting on September 16, 2008. The event ran for five weeks total, beginning Friday, July 11th and culminating on Friday, August 8th. It included a variety of activities centered on families including a 60ft inflatable obstacle course; bull riding, an inflatable boxing ring, a pizza tossing contest, a kids' crafts center and children's theater productions. The Lionshead FFAC created a great deal of activity in the Village; repeatedly drew in a local crowd, and added value to the experience of destination guests staying in Lionshead. 1.)..Overview - Event Strengths and Weaknesses: a. Strengths: L Gave the Village a sense of liveliness and activity that has been missing from the area for quite some time. ii. Added value to the guest experience of those already in the Village and attracted locals to the new Lionshead Village. iii. Exposed the "New and Improved" Lionshead to a large number of Vail Valley locals and • - guests. - iv. Retained a portion of the Top of the Mountain FAC guests in the Village, capturing additional customers for surrounding businesses. b. Weaknesses:. L The permitting process was lengthy for everyone involved. The Town of Vail Events Committee was very patient with the Moon River Ranch staff, but due to our lack of experience planning events in Vail we were behind quite a bit in the permitting process. ii.. The location of the event seemed to cause a bit of tension among Lionshead Merchants. Due to the fact that this was a first year event with a very limited `budget, all activities associated with the event were centralized in the Vail Square area. The budget only allowed for a certain number of event activities and in order to create the sense of a energy and the area of critical mass necessary for a successful - event, all activities needed to be grouped.together. While.some merchants understood thin reasoning, others expressed disappointment that the event was not spread throughout the Village. iii. Some kinks were experienced in the load-in and out processes of this event that will need to be worked out in the future for all of Lionshead and Vail Square events overall. 2,) Event Budget and Use of Allocated. Funds Please see the attached Event P&L to compare actual expenditure versus the proposed budget. Please note that the original budget proposed to the CSE was based on a ten week event. Based on the recommendation of the Commission and the level of funding received, the event ran for five weeks, rather than ten. The CSE allocated funds were used primarily to pay for the FFAC activities. These activities were also paid for by the sponsorship of the Vail Chophouse and Vail Blue Moose. The Lionshead Merchant Association paid-for all event advertising efforts and Arrabel.le.paid the expense of event. set-up, event breakdown, and trash removal. The Vail Blue Moose additionally sponsored a pizza tossing contest, in which. participants competed in the contest, made their own personal pizza that was then baked for them at the Blue Moose, and received a goodie bag filled. with a Blue Moose.t-shirt, sticker, certificate of participation and free pizza slice token. We currently plan to continue the event next summer. Based on that fact we plan to ask for a similar amount from the CSE this year, but intend to cut that amount in half by the event's third year and hope to ask for no funding by the fourth year. We wanted to note this only to emphasize the fact that we do greatly appreciate the funding that has been offered to the Lionshead Merchant Group to get our current summer event schedule started, but that we also understand the importance of driving our own funds to Lionshead events in the future and will work towards that goal each year as we move forward and grow these events. 3.) Marketing Efforts The following marketing efforts were made to promote the Lionshead FFAC in Vail (Examples of all advertising efforts have been attached at the end of this overview). a. Bi=weekly advertisements listing the schedule of events taking. place "This Week" and within the "Upcoming Schedule" were' placed in the Vail Daily by the Lionshead Merchant Association. b. The Lionshead Merchant Association put together event brochures that have been in distribution for the past two months. c. The Lionshead Merchant Association created radio ads specific to driving business to the event. d. The Lionshead Merchant Association created A-Frame signs that list the overall event calendar for Lionshead Summer 08, hold Lionshead Event Brochures, and have slide-in signs that advertise whatever event is taking place at that time. e. Press Releases sent to media outlets resulted in mention of the event in the Vail Daily on Wednesday, July 9th, twice on Thursday, July 24th, and on Friday, August.8th. f. Promoters went on TV8 to discuss the Lionshead FFAC throughout the five weeks of the event. g. Check Presenter cards were placed in each bill at the Vail Chophouse thro ugh out the five weeks of the event. h. Concierge and front desk staff, throughout the Valley, were emailed with details regarding the event on a weekly basis.. L The event was listed on local websites such as, vail.com, visitvailvalley.com, and vailpm.com. Additionally the Vail Valley Partnership posted the event on their blog site. • 4.) Statistical Information a. Attendance and, Demographic Profile The event seemed to draw a diverse crowd of both Vail Valley locals and destination guests. It appeared that none of the destination. guests traveled,to Vail specifically for the Lionshead FFAC but saw the event as added value to their stay in Vail. A good portion of locals also attended each week, some that seemed to come specifically for the event and some that were . in the Village for other reasons but decided to stick around and take part in the activities. The crowd was almost entirely family based. It is difficult to differentiate the number of guests that came to Lionshead with the intent. of attending the FFAC event and those that came for other purposes but stuck around regardless; however, we have made our best estimate as to the numbers in attendance regardless of what drove them there. That said, the numbers we have estimated for each day are the following: L Friday, July 11th: 550 people ii. Friday, July 18th: 300 people ***Rain*** iii. Friday, July 25th: 700 people iv. Friday, August 1St: 500 people v. Friday, August 8th:450 people b. Though at this point we are too close in to have detailed information on the economic impact of the each FFAC, based on the experience at our two restaurants we can say that the event did increase business for both locations each week.. Due to the family nature of the crowd, the Blue Moose received a larger amount of business than the Chophouse, but both received additional business nonetheless. Based on the comments of Chip Nelson and Terri Hanley at the Arrabelle in Vail Square, it appears that Starbucks also experienced an increase in business as a result of the FFAC. Two retail business owners mentioned that they saw an increased number of people in the Village and through their stores, but. were unsure of the effect on sales at this point. And though I have not received numbers supporting these claims, several retail, shop and restaurant owners have mentioned that they have been doing an increased number of sales this summer and that Fridays were particularly strong for them during the FFAC time period. • c. The Lionshead FFAC is not designed to be an event that draws destination guests to the area solely for the purpose of attending that event. It does however have the intent of adding value to the experience of those guests and therefore, hopefully will have an effect on the return of guests to Lionshead in the future. Additionally, several locals became "regulars" of the event. We saw many return families that began to make a habit of spending their Friday evenings in Lionshead. In speaking with Brian Hall of Blue Creek Productions (who provided the Children's Craft Center and Children's Theater portions of the event) it became apparent that they were seeing the same families again and again. 5.) Potential for Growth and the Development of Sponsorships and Media Exposure This event has HUGE potential for growth. Based on the success of the first year of this event it seems very apparent that the Lionshead FFAC has tremendous potential to grow in size and attendance in future years. Attendance varied slightly this year based on the weather each week, but it was clear that as word spread this event began to grow. As it becomes a better known activity we feel it has potential to become a huge draw to the Lionshead Village. Additionally, after just the first few weeks of the event, different businesses throughout the area began to express interest in possibly sponsoring a portion of the event; all of which will be taken in to consideration and incorporated in to the event plan for upcoming years. Finally, as sponsorships come on board and the event grows we expect media exposure to also increase. 6.) Impact on Vail's "Sense of Community" Sense of community is truly what this event is all about! In line with the overall goal of all Lionshead events for this summer, this event created a great sense of community in Vail. Repeatedly guests walked through commenting on the change in activity level and the liveliness of the Village. Additionally, it not only brought the Lionshead Merchants together through the planning process, • but week after week several of the merchants were visible at the event, enjoying the festivities with their own families. Paul Lovelace, Front Office Manager of Lion Square and Montaneros, mentioned that guests frequently commented on the fun family atmosphere the event created. Rob Levine, General Manager of the Antlers, further commented that he received "a ton of positive feedback" on the event and that a good friend of his from another ski resort attended the event and was jealous of what the event offered the resort community. Conclusion: Overall, this event aimed to create an active and energetic atmosphere that catered to families in the area; and though there is definitely room for growth, we feel that the Lionshead Family Friday Afternoon Club achieved this goal and was overall a huge success. The Festival ran for three days, open 10am-6pm on Friday and Saturday, and 10am-5pm on Sunday. It hosted 19 upscale antique vendors that occupied over 30 booth'spaces (slightly below our estimate in the proposal given to the CSE in October). In general, the antique vendors and the Lionshead Merchants were ecstatic to have the Festival located in the Lionshead Village and all seemed thrilled with the level of activity present in the area versus years past. 1.) Overview. Event Strengths and Weaknesses: a. Strengths: L Due to the size of this year's festival we were able to spread all tents out within the Lionshead,Village. This appeased the merchant's requests to have the events focused throughout all of Lionshead, and not just within the new Vail Square area. ii. It gave the Village a sense of liveliness and activity. iii: It created a sense of togetherness among the Lionshead Merchants. Bringing activity and energy back to Lionshead, has been a common goal of the Merchants that has united them in a manner that hasn't been seen in that Village for quite some time. iv. Added value to the guest experience of those already in the Village and attracted locals to the new Lionshead Village. b.. Weaknesses: i' The permitting process. was lengthy for everyone involved. The Town of Vail Events Committee was very patient with the Moon River Ranch staff, but due to our lack of experience planning events in Vail we were quite a bit behind in the permitting process. ii. The event does not necessarily draw a destination crowd to the area at this point., Efforts could be made in the future to target the Front Range audience and draw more people to the Festival and Vail as a whole. iii. Though attendance was strong for a first year Festival, it seemed to be affected by the timing of the show. Due to the fact that the event occurred one week after the Beaver Creek show and was competing with the Beaver Creek Arts Festival the Vail Antique show did not necessarily draw the largest possible crowd. The show was small for this first year, but has great potential for growth in participation and in attendance. iv. Communication between the variety of promoters and event planners for venues throughout the Village wasn't as strong as it could have been; which slightly affected the layout of the event. By adding steps to the permitting process this should be easily avoided in the future. Communication of event logistics to local merchants could also be improved. v. Some kinks occurred during the load-in and out processes of the event. All seemed to be related to the fact that this was the first event of this nature since the construction has ended in Lionshead and I am extremely confident that all can be resolved for future events. • 2.) Event Budget and Use of Allocated Funds Please see the attached Event P&L to compare actual expenditure versus the proposed budget., The majority of the CSE funds were put towards additional advertisements in the Vail.Daily, the Summit Times, the Aspen Times, and the Glenwood Post. By using some of the. funds driven by the Beaver Creek Festival to create combined posters and advertisements in the Vail Daily, we were able to just about break even with the show this year. 3.) Bi-weekly advertisements listing the,schedule of events taking place "This Week" and within the "Upcoming Schedule" were placed,. in the Vail Daily by the Lionshead Merchant Association. k. The Lionshead Merchant Association put together event brochures that have been in .distribution for the past two months. 1. The Lionshead Merchant Association created radio ads specifically aimed at driving business to the Festival. m. The Lionshead, Merchant Association created -Frame signs that list the overall event calendar for Lionshead Summer 08, hold Lionshead Event Brochures, and:haveslide-in signs that advertise the event taking place at that time. n. The event was listed on localwebsites such as, vail.com, visitvailvalley.com, and vailpm.com.. Additionally the Vail Valley Partnership posted the event on their blog site. 4.) Statistical Information a. Attendance and Demographic Profile The event seemed to draw a diverse crowd of both Vail Valley locals and destination guests. It appeared that of the destination guests, very few, if any, were guests that traveled to Vail specifically for the Antique Festival. On the other hand, a good portion of the locals in attendance seemed to have visited Lionshead with the specific purpose of attending the show. While the numbers listed below indicate approximately how many people we feel traveled through the show, it does not account for whether or not guests came intentionally for the 2 Festival or were simply passing by for other purposes and walked through as a result. That said the numbers we have estimated for each day are the following i. Thursday, July 31st: 300-500 people ***Load-in Day*** r ii. Friday, August 1st: 2000-2500 people iii. Saturday, August 2"d: 2500-3000 people iv. Sunday, August 3'd: 1500-2000 people ***Rain"* b. Though at this point we are too close in to have detailed. information on the economic impact of the Festival, based on the experience at our two restaurants we can say that the event did increase business for both locations throughout all days. It seemed to draw a crowd that more commonly visited the Vail Chophouse, but both received additional business nonetheless. Based on the comments of Chip Nelson and Terri Hanley at the Arrabelle in Vail Square, it appears that the Antique"Festival also drove quite a bit of additional business at Starbucks and drove a lunch crowd to Centre V. c. As mentioned above, thus far the Rocky Mountain Antique Festival has not drawn a strong destination guest crowd. Therefore, regarding intent to return, it has become apparent based on results in Beaver Creek that the Festival does draw a strong local following and has created return guests in that manner, but has yet to bring in return destination guests. 5.) Potential for Growth and the Development of Sponsorships and Media Exposure Based on the success the Rocky Mountain Antique Festival has experienced in Beaver Creek I would say the, is an incredible potential for growth in the Vail show. Due to the fact that we did not have a great understanding of what it would take to run the event in Vail this year, we did not include all of the aspects of the Festival that we currently incorporate in the Beaver Creek show (e.g.. music, culinary demos, children's activities, food vendors). All of the afore mentioned items add a certain ambience to the Festival and encourage more guests to attend. Additionally, we kept the number of dealers fairly low this year due to our uncertainty on load-in processes and festival layout. As that number increases and the number of vendors participating in Beaver Creek increases the Festival becomes open. to more potential for large scale sponsorship and more potential for media exposure. The potential for Festival growth overall and the development of sponsorships and media exposure is endless at this time. 6.) Impact on Vail's "Sense of Community" In line with the overall goal of.all Lionshead events for this summer, this event created a great sense of community in Vail. Repeatedly guests walked through commenting on the change in activity level and the. liveliness of the Village. Rob Levine, General Manager of the Antlers, mentioned that he was attending the Vail Farmer's Market when he overheard another person remark that it was "just about as busy in Lionshead." We have not heard many comments of that nature regarding Lionshead 'in the past few years. Additionally, the "sense of community" was strengthened among the merchants themselves. This festival spread throughout the Village and brought a feeling of energy to the entire area. All the merchants came together to help the Festival succeed and it has united that community in a manner that hasn't. occurred for quite some time. Conclusion: As mentioned in the proposal given to the Commission on Special Events last October, the goal of the event this year was to create an event that added value to the experience of the Lionshead summer guest; created a sense of energy within the Lionshead Village and amongst the Lionshead Merchants, and that improved the level of merchandise and the general attendance of the prior Vail Antique Festival. TOWN OF VA COMIhpSSION ON SPECIAL EVENTS MEMO: To: Vail Town Council From: Sybill Navas, Special Events Coordinator Date: August 19. 2008 Greetings All- In response to questions raised at the Council Meeting today: Vail Arts Festival: The Vail Arts Festival was held on East Lionshead Circle this year because we did not forsee the problem with set-up timing caused by Jazz @ Vail Square. The Jazz Foundation has a 60'x40' tent set up each Thursday evening in August for their concert. The Arts Festival required space for 100 canopies- 45 of which were planned for placement on the lee Rink- in exactly the same spot as the Jazz tent. Even if the tent had been removed late on Thursday, at the close of the Jazz concert, it would have been nearly impossible to set up the Arts Festival on that site by Friday morning. Arrabelle was not friendly to the idea of a crack-of-dawn set up due to the possibility of disturbing sl",yng guests. Because there is no vehicular access to the Arrabelle plaza and the artists would have to bring all of their displays into the plaza via handcart, it was not feasible to complete the set-up in time for the show's advertised At. L. Also, VRI has not yet released the grass area in the ski yard for events use, as the sod has not yet "taken." Tent sites within the mall itself are extremely limited due to fire access. Laurie does not feel that the Arts Festival is a financially viable event if it is broken up into small areas. This is an issue that the CSE willlook at carefully prior to next year. Car Show Cancellation: The Colorado Grand is scheduled for September 19 and 20, and is right now going through the permitting process. The finish "c.;,:,.uonies" are scheduled for Friday afternoon, September 19 and the car show is scheduled to take place within the LH Mall and Vail Square on Saturday morning, September 20. This is the event's 2e anniversary and the participation is expected to be higher than in previous years. Packy Walker had talked about producing another car show earlier this summer, but no date was ever formally scheduled. The Lionshead Merchants Association did not budget to include this in their programs this summer and it is my und,..,Widing after talking with Sarah Franke that Packy decided to cancel it on account of the high insurance costs. This is another event that the CSE might look at for next year if an application for funds is submitted. I wanted to introduce you to a new event, Vail's Tannenbaum Christmas Festival, being planned for Vail Village and Lionshead Village November 28-December 13, 2008. Tannenbaum is a German word for Christmas tree. The new two-week festival will officially kick-off the pre-holiday shopping and dining season in Vail and Lionshead with the Lighting of the Trees event. The festival will be heavily marketed in order to draw overnight visitors, shoppers and diners into Vail and Lionshead during a normally slow business period. The villages will be transformed into a sparkling holiday setting the perfect inspiration to get all the family into the Christmas spirit. Each participating retailer will decorate their outside windows and decorate a holiday wreath that will be auctioned off. In addition, participating retailers will offer a Tannenbaum special during the event and can participate in a German style holiday market to be scheduled one evening during the festival. Vail will sparkle with festive celebrations, featuring street markets, special events and outdoor ice-skating. Warm up with a mug of gluhwein (mulled wine) at the German market before watching the Christmas Parade or glide across the outdoor ice rink at Arrabelle. Enjoy the cookie decorating and snowman building, listening to carol singers or take part in the giant Santa Fun Run! Net proceeds from the event will go to support two great non-profit causes; replacing Lodgepole pines that have been removed due to Beetle Kill and development of a Vail History Exhibit at the Ski Museum. I wanted to introduce you to a new event, Vail's Tannenbaum Christmas Festival, being planned for Vail Village and Lionshead Village November 28-December 13, 2008. Tannenbaum is a German word for Christmas tree. The new two-week festival will officially kick-off the pre-holiday shopping and dining season in Vail and Lionshead with the Lighting of the Trees event. The festival will be heavily marketed in order to draw overnight visitors, shoppers and diners into Vail and Lionshead during a normally slow business period. The villages will be transformed into a sparkling holiday setting the perfect inspiration to get all the family into the Christmas spirit. Each participating retailer will decorate their outside windows and decorate a holiday wreath that will be auctioned off. In addition, participating retailers will offer a Tannenbaum special during the event and can participate in a German style holiday market to be scheduled one evening during the festival. Vail will sparkle with festive celebrations, featuring street markets, special events and outdoor ice-skating. Warm up with a mug of gluhwein (mulled wine) at the German market before watching the Christmas Parade or glide across the outdoor ice rink at Arrabelle. Enjoy the cookie decorating and snowman building, listening to carol singers or take part in the giant Santa Fun Run! Net proceeds from the event will go to support two great non-profit causes; replacing Lodgepole pines that have been removed due to Beetle Kill and development of a Vail History Exhibit at the Ski Museum. The weekly Farmer's Market, jazz and rock concerts, antique and arts festivals, food & wine events, kids programming and a host of specialized seminars and sports tournaments help enrich the experience for Vail's guests and locals alike. The Commission on Special Events (CSE) is responsible for evaluating opportunities and providing seed funding for many of the events that take place in Vail. One of the primary resources on Vail.com is the Calendar of Events. The calendar provides information throughout the summer of when events are taking place and provides links to each event's web site for guests to get detailed information to plan their vacations. Marketing dollars are allocated to drive traffic to Vail.com through web optimization and paid key word search. Additionally, monthly email blasts are sent out to past guests and opt-in subscribers promoting event packages with special rates and added value offers. Advertising in the Denver Post helps target the Front Range market for guests seeking that last-minute get-a-way. Our partnership with the Denver News Agency (Denver Post/Rocky Mountain News) provides additional value in marketing and advertising for special programs like Spa'd at Vail and $81.50 to drive business during our off- peak periods. Our goal is simple - drive visitors to Vail. But it's a competitive market out there and standing out among the crowd is as challenging as ever.
