10 years producing the Vail "King of the Mountain" Open.
30 years producing events.
7. Mission Statement:
To produce a professionally operated sporting event with the express purpose of bringing
destination visitors to the Town of Vail; as well as providing opportunities for local and regional
participants.
8. Organization's tax status: For Profit
Does the Event benefit a charity?
No. However, the express purpose of said Event is to benefit the lodging, restaurant and retail
community within the Town of Vail.
. EVENT DESCRIPTION: Beach Doubles Outdoor Volleyball Event
1. Brief description of the event and its activities:
Beach Doubles Outdoor Volleyball Competitions for all levels of players including high-school
aged juniors as well as adult and family oriented competitions.
2. Where will the event be located within the Town of Vail?:
Vail Athletic Field, Ford Park, and Sandstone Park.
3. Will any portion of the event take place outside of the Town of Vail?: Absolutely not.
4. Will additional in-kind services be required from the Town of Vail?: No.
5. Is this a new or existing event?:
Existing, for 39 years, with original Event taking place at Golden Peak and the Vail Athletic
Field. Current Event takes place at the Vail Athletic Field, Ford Park, and Sandstone Park.
6. People:
. Number of participants: 1,000 athletes anticipated.
. Number of volunteers needed: 10-15.
. Number of event staff: 7.
. Total Number of spectators/attendees anticipated and estimate: 3,000

o % Out of State: 5%.
7. Brief description of potential benefits to the Town of Vail:
Last year's Event generated approximately 550 room nights with 1,299 people staying in the Vail
area over Father's Day Weekend. We hope to generate even more this coming year. The
majority of the people staying eat-out and enjoy the various other activities offered within the
Town of Vail and the surrounding environs.
8. What return on investment should the Town of Vail expect?:
Not knowing what the Town of Vail sales tax and lodging tax revenues were for the that
particular time period, it would be hard for the Producers to guesstimate the actual ROI that Vail
receives. We would have to expect that that many people attending this particular Event during
the one of the last weekends of the spring "shoulder season" has to produce significant benefit to
the Town of Vail.

2. What % of the total event budget is the CSE being asked to fund?: 27%
3. Describe briefly how you will use the funds that you are requesting from the CSE.:
Operational, marketing, and production expenses.
4. Should the CSE decide not to support this event, will it still occur?: This will be difficult.
5. What is the $ amount of sponsorships from alternative sources reflected in the event budget?:
$15,000. However, we feel that, due to the size of our Event, now, we have a little more
“leverage” with potential Sponsors wanting to be involved. This figure could increase over the
next few years.
6. What % of the total event budget do you expect the event itself to generate?:
$25,000 in team registration fees.
7. If possible, would you intend to host the event in Vail beyond 2012?: Absolutely. Ad infinitum.
8. Do you anticipate requesting funding from the CSE next year?:
Yes. Approximately 15%. The Producers feel that, rather than being an extremely profitable
endeavor for the Producers, we are producing the Event to help accomplish the primary "mission
statement" and to keep this long-standing Vail Event a "community Event".
ADDITIONAL REQUIRED ATTACHMENTS:
1. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail
and a description of how you will track the number of lodging nights generated:
We will continue to market and promote our Event through established avenues pertinent to
contacting participants directly. We would hope that the Vail Marketing Distric would help
promote the Event towards outside spectators. We have a proven track record (as last year's
lodging indications have shown) with our marketing efforts. As such, we don’t feel that there is
a need to “track” lodging nights generated year-in-and-year-out. However, we do obtain lodging
figures from our “preferred housing representatives” which we work directly with. And,
although, approximately, 70% of our participants, et al, stay elsewhere – they are not related to
Vail’s Marketing District; so, it would be harder to track.
2. Marketing plan and detailed explanation of potential for sponsorships and media exposure:
Our marketing plan includes direct mail/direct e-mail towards past participants as well as
local/regional television, radio, and newsprint advertising. We also take full advantage of
numerous "online" and internet opportunities pertinent towards attracting participants within this
particular sport.
3. Previous year's event evaluation, including income and expense statement (if existing event):
2011 Wrap-Up Report has been delivered to all members of the CSE.
4. Past or projected demographics of event attendees:
Family oriented Event which not only includes adults (from 19-60); but, also, juniors from 12-18
years of age.
