Mission Statement: The Colorado Grand strives to bring together car enthusiasts in order to raise funds for Colorado charities while enjoying the natural beauty of Colorado. 8. Tax Status a. 501(c)3 Organization b. Colorado State Patrol Family Foundation; Robert Sutherland Foundation; Pieta House, Association for Community Living; Morgan Adams; Provident Flight for Life; Central Visitation Program and many others with $3 million dollars given and over $1 million to the Colorado State Patrol Family Foundation. c. Tax Payer ID #84-1115630 Event Description: 1. The Colorado Grand is a vintage and historic race car tour of Colorado. The event takes place the third week of September each year and is limited to 95 participants. Many of the participating vehicles spend the other 51 weeks of the year in museums or other similar tours. The event begins and ends in the Town of Vail, with the Vail Cascade acting as our host property. We are asking for funding for the Finish Line (traditionally taking place at the east end of Lionshead Mall) on Friday afternoon, and the Concours (car show) that will take place Saturday Morning. 2. The Finish Line will be at the east end of the Lionshead Mall and the Concours will be staged throughout the Lionshead Mall and Arrabelle Square or within Vail if construction prohibits Lionshad Mall as the venue. 3. After leaving Vail on Tuesday, the event will tour through Colorado returning to Vail for the Finish Line on Friday. 4. In Kind Services requested from the Town of Vail include: a. Police/Code Enforcement i. Facilitate the Finish Line Drive through on Friday and load in and out of the vehicles for the Concours on Saturday b. Public Works i. Provide addition receptacles and staff for trash removal during the event ii. Lower bollard at the west end of the mall to allow cars to make a full loop through the mall and park on the mall iii. Have staff available to relocate flower receptacles and benches as needed for the Concours c. Transit i. Reroute busses from East Lionshead bus stop Friday afternoon and Saturday until 2:00 ii. Allow vendor trailer parking at Lionshead RV Lot and softball parking area d. Fire Department i. Schedule walkthrough prior to event to confirm placement of vehicles to code. 5. This is an existing event. 2012 will be the 24th year of the event in Eagle County and the 9th year in Vail. 6. People: a. Number of Participants – up to 95 vehicles (190 people) b. Sponsors – 7 (21 people) c. Staff and Board Members – 17 d. Colorado State Patrol – 8 e. Volunteers needed – 10 f. Total Number of attendees – 1000 i. Local 50% ii. In State 35% iii. Out of State 15% 7. Potential Benefits to the Town of Vail – approximately 120 participant rooms, 50 attendee rooms. The Finish Line and Concours will encourage participants and attendees to spend extra time in Lionshead and Vail to visit the shops and restaurants. 8. Non-Local Attendees will receive email marketing blast BUDGET: 1. Complete Event Budget attached 2. 10% of the total event budget requested from the CSE. 3. Funds will be used to hire entertainment, provide décor, advertise event, plaques and gifts for finishers, purchase required oil pans, provide placards for each car, brunch for entrants and guests, and volunteer gifts, overnight stays, dinner and brunch. 4. The event will occur if not funded by the CSE though with less impact 5. Other sponsorship dollars equate to 90% 6. No sales will be conducted; the event is free to the public. The event is non- income producing 7. The event is expected to continue in Vail indefinitely 8. We do anticipate asking for funding in the future at 10% of the total budget ATTACHMENTS: 1.
