HomeMy WebLinkAbout2012 Summer Caricature Entertainment Proposal1/3 of the amount upon receipt of an invoice from the event producer, accompanied by verification of the placement of advertising for the event and the submittal of a complete Special Event Permit Application (if applicable), which is due a minimum of 45 days prior to the start of the event 1/3 of the amount upon receipt of an invoice from the event producer following the completion of the event and the CSE’s approval of the final post-event review presentation Producers should submit the required information electronically in PDF format, plus 1 hard copy (unbound on 8 ½ x 11 size, minimum 30% PCW paper), to the Commission on Special Events no later than 5:00 p.m. on Tuesday, May 29, 2012. Qualifying applications will be reviewed by the CSE at their regular monthly meeting on Wednesday, June 6, 2012. Applicants will be notified of their status by June 28, 2012. Mission Statement : "To provide entertainment, a unique gift and a sense of community to the guests of Vail" Organization's tax status: For Profit (in the form of contracted entertainment ) EVENT DESCRIPTION: Brief description of the event and its activities: Having lived in the Vail Valley since 1984, it has always been an important observation of mine that the guest experience must include the feeling of community: that people live here year-round and, are happy to extend themselves to all who come. By having live entertainment, the guests make a personal connection which in turn, inspires them to return, year after year. I will be setting up an easel and 2 stools or chairs, twice per week for 3 hours,within the village, and providing FREE/complimentary caricatures of our visitors! These amusing sketches will also incorporate their favorite activities, jobs or memorable moments in the valley! A unique souvenir of Vail! Where will the event be located within the Town of Vail? In the village at fixed location, of which there are several options~ Will any portion of the event take place outside of the Town of Vail? No Will additional in-kind services be required from the Town of Vail? No Is this a new or existing event? New People: Number of participants (athletes, artists, exhibitors, etc.) anticipated: 1 Number of volunteers needed: None Number of event staff None Total Number of spectators/attendees anticipated and estimate : 10-40 sketches per day! This will vary from day to day! Brief description of potential benefits to the Town of Vail, including an estimated # of incremental room nights and increased spending generated What return on investment should the Town of Vail expect?: The return to the TOV will be in the form of Goodwill, entertainment and, a reason to return NEXT summe r to reconnect and get updated souvenir of themselves! BUDGET: Since this is to be a free service/amenity to our guests, the budget is in the form of a contracted payment for services provided. The daily fee, for 3 hours, is to be $175.00 per day, twice per week during an afternoon time slot, when people have returned from their days activities. By setting up it twice per week, guests will have the chance to come back the next day! The artist will supply all materials for performing the service!
