Attachments:proposed 2012 KAR course map.pdf; proposed 2012 KAR map_Village Detail.pdf Follow Up Flag:Follow up Flag Status:Flagged Hi All, I apologize for the back and forth on this event, b ut until recently, we did not realize the magnitude in which the Gondola construction on Vail Mountain would affect the Kids Adventure Race. After much discussion, we have come up with a plan for the 2012 KEEN Vail Kids Adventure R ace. It was made taking into account the safety of the participants first and foremost - limiting the potential for int eraction between the kids and construction traffic on the mountain; our ability to provide the “Vail Experience” to partici pants and their families with the resources and res traints we have this year; our need for support from Vail Resorts, Ski P atrol and SAC crew prior to and during the event wh ile respecting their obligations in regard to the construction and mount ain safety; limiting the event’s impact on a $20M c onstruction project that will affect the entire community (we c an’t ask VR to halt construction for two days); th e CSE’s desire to grow this event and the event’s positive impact on the village while respecting the challenges that a Sunday event has in regard to parking and Farmer’s Market crowding. In short, we have done our best to ensure that all shareholder’s concerns are addressed, but that the Kids Adventure Race continues to grow in the right way and deliver s the best, safest experience for the participants. We feel this is the most important thing for the future success of this event. While we had every intention to make this a two-day event this year and believe that that is the next logical step, based on the issues above, we have decided t hat this is not the year to make that change. This year, the race will be held on SUNDAY , August 12, 2012 and will be one day. Vail Resorts has committed to halting ALL construction on this day. We will offer option al skills clinics on Saturday for participants, inc luding Biking, Ropes/Climbing and Adventure Racing 101/Teamwork. E xact locations and times TBD. We will also do bag p ick up and check in in the Village on Saturday as well. For marketing purposes, the event dates are August 11-12, 2012. Time Frame :: 8am – 4pm Number of Racers :: Capped at 115 teams/230 racers max. Ages 6-12 year s old. (Up 15 teams/30 kids from 2011) Start/Finish/Transition are will take place at Gold en Peak in the area adjacent to the bottom of Chair 12 and Larkspur. We are still waiting on approval from Larkspur. If we cannot use this area, start/finish/transition ar ea will be in Ford Park and utilize the same course in a slightly different pattern. Parking :: Participants’ parents and spectators will be direc ted to park at the Vail Athletic Fields or Ford par k to leave room for Farmer’s Market parking in the structure. 2 I have attached a map of the proposed course as wel l as a detailed map of the Village portion for your reference. Because it is a little hard to read, below is a rou gh description of the course. We realize we may nee d to make last minute adjustments to this based on the state of co nstruction at the time of the event. Following discussions with Vail Mountain on Wednesd ay re: inability for mountain access this summer, w e’ve found a solution for the Vail Kids Adventure Race. IT IS ON ! However, due to unforeseen construction on Vail M ountain (the new gondola), we will be offering a NEW course that beg ins and ends in Ford Park. Because of the circumsta nces and conflicts that course will have with the Vail Farme rs’ Market traffic on Sunday, will only be able to offer one day of racing, 9 to 3 p.m. Saturday, Aug. 11. We will offe r new training sessions on Friday, Aug. 10 during t he day for those who preregister to include biking, trekking and adventu re race protocol . Ages will be 6-12 and we’ll expand to 115 teams this year. Next year, we hope to be back at the Vista Ba hn area and offer two days where we have more acces sibility to the mountain, can avoid Farmers’ Market Sunday traffic, of fer an expanded an age group and bring the race up to 200 teams like we originally planned. Sybill, Beth will get with you on the logistics. Sh e is with Billy and Helen Mattison, at this very mo ment, walking the course to figure out what different town support/po lice support might be needed that day as we may hav e two minor road crossings on Vail Road. We discussed and under stand that this will be need to be paid/funded supp ort and most likely not free. We also know that Aug. 11 it is th e final evening of the Vail International Dance Fes tival, so our plan is to have the race conclude as early as feasible with th e awards taking place at 4 p.m. in the village to e ncourage Adventure Racers and their families to move their cars out of Ford Park, should they park there for the race. It may be a paid parking day, so they choose to park at the Village regardless. Still in early stages of planning. But for Vail Sum mer Marketing purposes: KEEN Vail Kids Adventure Race Aug. 10-11 Ages 6-12 115 Teams Meggen, can you change this information on the collateral as we ll as add “Vail” after KEEN so that it reads KEEN V ail Kids Adventure Race Let us know if you have questions. We’re actually e xcited to offer a new course that will be a mix of urban and mountain adventure racing. Thanks for including us in the V ail Summer marketing efforts. Sybill, if you need u s to come back to CSE when we have a more finalized plan, please let us know as we know it is different than what we pre sented, but out of our control.
