Town of Vail: Commission on Special Events Meeting

AGENDA:
Administrative Items: (5 minutes)
• Approval of the Minutes of the meeting of the CSE meeting held April 4, 2012
• Financial Report and Contract Status
• CSE Vacancy: to fill out the term of Amanda Jensen , expiring December 31, 2012.
Letters of intent are due to Town Clerk, Lorelei Do naldson, no later than 5:00 p.m. on
Tuesday, May 29, 2012. All applicants will be inte rviewed by the Town Council at their
afternoon work session on Tuesday, June 5, 2012, wi th appointments to be made at the
evening Council meeting on June 5, 2012. The new a ppointee should be plan to attend
the CSE meeting on Wednesday, June 6, 2012, from 8:30 a.m. to approximately 11:30
a.m.

• Rocky/Central J3 Junior Ski Championships: Ski and Snowboard Club Vail, Emmy

Updates on upcoming Special Events:
• America Days: Discussion of fireworks options and status of the e vent to date. Human
Movement Management, Tony Landon (15 minutes)
• KEEN Vail Kids Adventure Race: August 11-12 Beth Pappas (5 minutes)
Mojo Man cancellation creates a $75,000 surplus in the CSE’s 2012 budget.
(15 minutes)
Options to consider:
1. Issue a new RFP for events that will occur in 20 12. Events that have already received
support may apply, but will have to show specifical ly how their event will be enhanced
with additional funding. Staff recommended option.
2. Review 2012 events that applied for CSE funding, but did not receive the full amount
requested
3. Leave the money unspent, and return in to the To wn’s General Fund.
