Discussion Points: How can we better facilitate the production of Special Events in Vail?
Given: The Town of Vail is not a producer of events (see CSE Strategy)
Producers must plan their event/secure their venues and submit the permit with all info
included.
Challenges:
No central booking “service”
Small town: impacts on day-to-day business activity
Chamber of Commerce
Parking
Deadlines
Minimal Staff support
Trash removal and “zero waste” requirements
Colorado State Special Event Liquor Regulations
Ford Park: managing the often conflicting interests of multiple users
Special Event Permit process insures:
Protection from liability (insurance)
Respect for public and private property
Compliance with TOV code
Is the Town Council interested in changing some o f these parameters?
Wildlife Ordinance
Noise Ordinance
Health and Safety
Maintain Fire access
Police/Security issues
Food Safety
Support of the Local Business Community
Positive guest experience compatible w/Vail’s bra nd and image
Maintain Loading and Delivery access
Special Event Sales Tax Licenses
Sponsor/Exhibitor Oversight
Maintain business access and competitiveness
Encourage participation
Need to develop online submittal process
“Staff” approval for small events
ERC: weekly meetings with TOV staff representing a ll departments that support
Special Event production. Large event producers are part of the approval discussion, and
are asked to participate in a de-brief following th e event.
Staff support is limited.
Timing of deadlines is an issue for producers
Venues: managed by a number of entities
