Vail Beaver Creek Restaurant Week (Final Name Still TBD)
Friday, September 27th – Sunday, October 6th 2013
Local event producer:
GROUP970 has decided that it is not necessary to hire a specialized event producer for the event at this time, as it
will be a very simple premise and roll out for this first year. In future years, as the event develops, a local event
producer will be considered. For 2013, Group970 Restaurants (Brian Nolan) will take responsibility for the
production of the event, with support and consultation from Matt Morgan of Sweet Basil and Mountain Standard.
In its role, Group970 Restaurants is committed to finalizing the event budget, creating a timeline for event
development, coordinating efforts between local partners and compiling the post‐event summary/report.
Specifically, Brian Nolan will serve as the main contact for operations, Ruthie Carlson from Group970 will serve as
the main marketing point person and Sarah Franke from Group970 will be the back‐up contact for both. If another
contact is needed for any particular reason that person would be Matt Morgan.
Additionally Group970 Restaurants will engage third party help for the following tasks:
Logo design and branding
o Third party will be James Bahan Design Via BCRC client account.
Solicitation of restaurant participants and collection of special menus and other pertinent information
o Ruthie will be the contact for this and will reach out as a group and individually to all restaurants in
Beaver Creek and Vail. She will have a final list of participants by June 21st.
Solicitation of lodging and collection of lodging package information and booking details
o Group970 has met with Rob Levine (Antlers), Bryan Austin (VR) and Robert Purdy (BC Hyatt) and
they are currently discussing possible lodging offerings. Additionally, at the next Beaver Creek and
Vail lodging meetings we (Ruthie specifically) will meet with the full lodging community to
disseminate information and further knowledge of the event and how to sign up.
Web site design, launch and management
o VRI/BC and BCRC will be promoting through their websites in addition to their commitment to
create a new website for the event dedicated to solely Restaurant Week.
Marketing (print, radio, tv, web)
o We have met with Tim Baker at BCRC and Jim Kellen at VRI/BC and have a preliminary plan through
them, please see attached.
o Additionally confirmed support from Site marketing which will be in the form of Front Range print
and digital media.
Collateral Development and Distribution (brochures, posters, check‐presenters, etc.)
o Design work again from VRI/BCRC combined efforts and distributed by Group970.
PR
Social Media
o Again, we have met with Tim Baker at BCRC and Jim Kellen at VRI/BC and have a preliminary plan
through them which includes social media, please see attached.
The eagerness of our key community partners (VVF, BCRC, Vail Resorts, VLMD, TOV and the Restaurant, Lodging and
Merchant Community) to help and participate thus far has been phenomenal. We are still coordinating the manner
by which each of these entities will participate but plan to have each line item delegated and a plan in place in the
very near future.

Budget:
Due to the incredible support and in‐kind services being offered by the partners listed above, we are still in the
process of finalizing the budget for this event. We are currently meeting with the various entities to discuss what
aspects they might be able to assist with and what fees may result. Upon completing these meetings and receiving
final bids on any services that require reimbursement or outsourcing, we will produce the final event budget. We
anticipate having this completed, along with the final event production timeline and plan in early June.
We feel by waiting to complete the budget until we have been able to spend time with each community partner we
will be able to minimize the dollars actually needed for Restaurant Week and produce the most cost effective event
possible and appreciate your understanding of our desire to do so. The Beaver Creek Resort Company is still fully
committed to match dollars as necessary once we have finalized event costs and the plan for spending.
Marketing Plan:
Our marking plan begins with logo and branding design which will be done through James Bahan Designs via BCRC’s
preferred client account.
See attached proposal for traditional marketing plan as put forth by VRI. Additionally print collateral will be
distributed to all participating restaurants, lodges and welcome centers. Further we expect to have material at all
TOV and BC events leading up to our dates (Oktoberfest, Wine & Spirits Festival, Gourmet on Gore, etc.). We will
also require all participating restaurants to use their own means of marketing to promote the event which would
include in‐restaurant collateral, e‐blasts, website, social media and at Vail Farmers Market (for those who are
already vendors).
Other ways we plan to reach out to our local audience includes personal outreach to various clubs, HOA’s and locally
based organizations such as VCBA, VVP, Vail Recreation District, etc.
We will soon be meeting with Ceil Folz to finalize the VVF marketing details. The VVF has agreed to feature and help
market the event at the Ford Amphitheater in addition to marketing to their membership, donor and volunteer list.
Furthermore, they would be able to cross market this event at their upcoming events such as Dancing with the Stars,
etc.
Our marketing plan, approach and overall premise is very unique and cannot be compared to any past Vail or Beaver
Creek events including what was Vail Restaurant Month.
Run of Show:
Because there is no actual ‘event’ where people gather in one place at one time there isn’t an appointed Run of
Show. This is very common for this type of event and a prime example can be seen on the Denver Restaurant Week
website http://www.denver.org/denverrestaurant . As you will see on this site there is no event schedule but more
information separated by neighborhood and cuisine then the ‘event’ attendee can dine at their leisure.
Which restaurants have signed on to date?
To date all Beaver Creek restaurants have committed to participation with the exception of a couple who are
normally closed this time of year. These two restaurants however are working on the possibility of staying open and
we hope they will commit.
At the last Beaver Creek Merchants meeting with nearly 100% attendance it was agreed upon by all restaurants that
the $20.13 Restaurant Week was something they would support and are committed to. All restaurants will finalize
commitment when they fill out their application which is due by June 21st.

Additionally we have approximately ten Vail restaurants committed and hope to have many more after our Vail
Restaurant meeting in the coming week. We haven’t yet begun individual outreach and plan to do so starting
Monday, June 3rd. We plan to have a full list of committed restaurants by June 21st at the latest, although we will
accept restaurant participation past this date. Once fully committed, restaurants will be required to sign an
application agreeing to the terms put forth but Group970 Restaurants.
We have created an application for all participants which outlines the week’s marketing plan and message. It will
also state clearly the terms for participation, including support of a VVF donation night, assistance with marketing of
the event and an emphasis on individual outreach.
