HomeMy WebLinkAbout5. 2014_08_23 Colorado Craft Celebration RFP Colorado Craft Celebration August 23 & 24, 2014 - We are flexible on this proposed event date $5000 Steven Wallis Steven Wallis, Director Colorado Events 2525 Arapahoe Ave, E4-720, Boulder CO 80302 720 -272-7467 : Phone 208-247-3233 : Fax coloradoevents@gmail.com www.coloradoevents.net 12 Years Our mission is to organize community events that increase public knowledge and appreciation for visual arts and fine crafts by creating opportunities that connect artists and local businesses, with the community for their mutual benefit. Their events help support numerous local artists, businesses and non-profit organizations, benefiting the local small businesses that make up the unique fabric of our society. In addition to the organization’s overall mission, Steven Wallis, the director would like to provide an additional narrative regarding his goals and connection to this event: “I moved to Colorado in 1995 for various reasons but top of the list was to live closer to Vail. I am an extremely passionate skier and I, like many of you have fallen in love with Vail. As a matter of fact my final wishes are to have my ashes spread amongst Blue Sky Basin. At first I came to Vail primarily for the Mountain but then I really grown to love the town as well. I would be honored to have the opportunity to produce an event at one of my favorite places on the planet. I started blowing art glass in 1997 and quickly realized the economic challenges that artists face. I feel that events such as these are critical to the survival of artists in our community. I have made it my life’s work to organize community events that focus on supporting local artisans and crafters. I have chosen the Autism Society of Colorado as the non-profit beneficiary for this event because my family has been touched with Autism. My 9 year old son is on the spectrum and this has had a tremendous impact on our entire family. I sincerely hope that the contribution that this event creates can help some other people that have also been affected by this epidemic. Being the founding director of Colorado Events, I have successfully planned and organized over 300 days of events over the last 12 years. I will ensure a well managed event that is focused on art and fun. This event should increase economic activity in Lionshead and the Town of Vail and directly benefit all the stakeholders involved. This includes the surrounding merchants, the visitors that attend, the exhibitors that participate, and the family in need that will be supported by the Autism Society of Colorado.” Colorado Events is a Colorado Non Profit Corporation. A certificate of Good Standing is included with this application. We will donate 5% of the total sales from each participating vendors to the Autism Society of Colorado. We also plan to donate 100% of the proceeds from the sale of the community art project. Please see below for more details. The Colorado Craft Celebration is a juried and curated craft event showcasing contemporary craft and design. The event will feature a vast array of independent designers producing original handcrafted goods from a wide array of media including metals, paper, glass, fibers, food, fabricated objects, clay, paint, wax, gems, and more. The Colorado Craft Celebration will be a shopping destination full of both emerging and experienced artisans and crafters. These exhibitors will interact directly with their customers, hence sharing resources, ideas, and building a sense of community. The Lionshead Village is one of the most perfect venues I can think of to host such an event. Additionally we hope to raise funds for the Autism Society of Colorado. One way to do this will be to require each of the participating vendors to donate 5% of their sales to the Society. This event should be a lively happening with a colorful array of participant exhibitors and possibly enhanced by some of the other ideas presented below. The main event will be featured around the craft showcase but we are hoping to have a few other fun activities to further ensure the overall success of the event. We are hoping that the Vail CSE will guide us to which of these ideas they would like to see us produce at the event. We could do all, some, or none of these additional features based on the recommendations of the Vail CSE. Here are some of the proposed additional fun activities at the event: • Community Art Project Paint By Numbers – Large Canvas Community Art Project will be a feature at the event where we will have 1 Large Scale Canvas per event day to be painted by the attending public. The large scale canvas will be prepared with an artistic Paint by Numbers design. There will be an ample supply of paint and paint brushes for the participating artists. The prepared design will be similar to a giant coloring book and will be an outline of a painting from a Colorado artist. The plan would be to do 2 of these community paintings, 1 on Saturday and 1 on Sunday. Also the have a silent auction throughout the event for the finished pieces, with 100% of the proceeds going to the Autism Society of Colorado. • Live Music throughout the 2 days We wish to provide a fun and lively atmosphere that includes live music. The level of live music can range from solo performers and background ambient music to full scale concerts. The direction that the live goes will be base on the suggestions of the Vail CSE and the Lionshead Merchant Association. • Lionshead Sidewalk Sale This aspect of the event will allow the Lionshead Merchants to get out and involved. We are proposing that all the businesses in Liosnhead will be invited to set up a 10’ x 10’ canopy tent to promote their business and sell featured merchandise. The businesses that have a retail store front can set up in Lionshead Village in front of, or near their retail establishments. The businesses that do not have this option will be invited to join together for the Sidewalk Sale section of the event. There will be no cost for the local businesses to participate in the Sidewalk Sale. We hope that the sidewalk sale will help cultivate the local business community by engaging them to participate thus creating a positive economic impact. We like this idea but would like input from the Vail CSE and Lionshead Merchant Association on this part of the event. • Vail’s Got Talent The general public is invited to participate in local talent show. The participants will try to entertain the crowd by performing music, some talent, skill, or variety act. There can be some informal judging and prizes will be awarded to the winners. The prizes will be gift certificates that we will purchase from some of the merchants in the Lionshead Village and possibly any donated item of value that we may gain from sponsorship. The event will take place on the Lionshead Mall and Vail Square at Arrabelle.in Lionshead. 7:00am – 10:00am Saturday = Event Set up time 10:00am – 6:00pm Saturday = Saturday Open Public Hours 6:00pm – 10:00am Saturday night = Overnight security 10:00am – 5:00pm Sunday = Sunday Open Public Hours 5:00pm - 7:30pm Sunday = Take down and clean up No No additional in kind services are being requested. This is a new event although we have produced similar events throughout the last 12years. One of our current events that is similar is the 5th annual Handmade in Colorado Expo which just happened and had a very successful public turnout. On the next page is a copy of the poster / advertisement for that event: 60 – 90 Craft Exhibitors or more as space permits. No volunteers required but gladly welcome. 4 30% 35% 35 5% We think an event like this that is focused on art and fun will draw people to the Vail Valley. This will result in increased economic activity primarily in the restaurant, retail, and hotel sectors. The merchants in the town of Vail and Lionshead should directly benefit from the number of people that will visit Vail and Lionshead specifically for this event. Even though there is not an exact matrix to calculate ROI on an event like this, we think all of the stakeholders will be please with the tangible, intangible, and intrinsic value that this proposed event creates. These stakeholders that should directly benefit are the Liosnhead Merchants, the Vail CSE, the town of Vail, the visitors that attend, the exhibitors that participate, and the Autism Society of Colorado. Expenses: • Cost of Employees $2500 • Live Music, sound and staging $4000 • Supplies for Community Art Project $900 • Marketing and advertising $5000 • Insurance – Already have but itemizing $1000 • Miscellaneous items not accounted for $1000 Revenue: • CSE Funding $5000 • Exhibitor fees $10,000 • Sponsorship Typically in kind The CSE is being asked to fund 1/3 of the event budget. See the above budget Yes. Our experience has been that most sponsorship tends to be in kind services. Therefore I did not include an exact dollar amount for sponsorship. However, things like a media sponsor could stretch the marketing budget further. The event can successfully generate 2/3rd of the operating budget from exhibitor fees. We hope to be part of the event calendar for many years to come. We have a long term vision for the future of this proposed event. We hope to grow this event so that it can self sustain without the need for funding. This is very realistic as we have been successfully organized similar events for 12 years without funding. However we feel that the funding will give us the necessary resources to properly create and market a world class event. This is the preliminary marketing plan: Large Print advertising campaign in the Vail Daily Newspaper Radio Advertising on 97.7 the Zephyr and 104.7 KKVM - the Mile from Minturn. Event Posters printed and hung in advance Rack cards Social Media – Facebook, Twitter, Pinterest, and Google+ Advertising in Several event calendars both online and in print Possibly bus advertising on the Town of Vail Transit Department buses Pre-approved and permitted banners and signage during the weekend of the event. We would like to develop media sponsors with the Vail Daily and a local radio station. This should allow us to build a synergistic relationship and also get more exposure for our advertising budget. Being a new exciting event in the Vail Valley we anticipate being featured in a story or 2 in the Vail Daily as well as gaining notice amongst the community. Some of the other organizations that we plan to approach for sponsorship include the following organizations: Vail Summer, The Colorado Mountain Express, Alpine Bank, and The National Endowment for the Arts, Vail.net, and a Hotel with a strong presence in Vail. We will handle all the marketing and we are not requesting and marketing support specifically. However we would like to be included on the Town’s event calendar.
