Hi Sybill:
It was great to speak to you today! As a follow up to our conversation, we would be honored to work with your fine community. Please allow the prepared info that I have sent you to act as an addendum to the RFP. Please accept the following possible dates for your selection.
June 28-29 2014...or July 5-6 2014 or if there is a conflict with scheduling, our last
alternative would be August 16-17. We will not require too much in-kind services
besides security. HAE is basically self contained. All funding assistance would be
earmarked for advertising.Please
let me know if there is any additional info that I can provide you.
Thanks for your help and I hope that we can have the opportunity to work in Vail and deliver a great art affair!
all the best:

Hi Howard,
I left you a message just a bit ago, and am sorry to have missed your call this morning.
I am in the office all day today, but may step out for a few minutes once or twice,
please give me a call back at your convenience.
It would be fine to use what you presented earlier as an addendum to the RFP – what
we need is more information on what is required from the Town of Vail- particularly
in the realm of in-kind services. Also, regarding the 100 tents- that number is an
absolute maximum in the Lionshead area based on venue constraints and health and
safety access.
I look forward to speaking with you.

Hi Sybil:
Thanks for taking our event into consideration. I was on the road producing an event on
Friday through this weekend and just had chance this morning to review your e-mail. Frank
Hall suggested that we use what we already sent you as an amendment to your requested
proposal.
In response to your questions, Beaver Creek is the first weekend in August and the Frisco is
the second weekend in August. We are proposing to produce our show in Lions Head in the
last weekend in June or first weekend In July 2014. For the first year we can work with your
100 booth space allocation.
If you please advise me on what additional info I should submit or can we make the original
package an addendum to your requested proposal, your response is greatly appreciated.
Thanks agin for the opportunity to work in your beautiful town.
Yours truly:
Howard

Hello Howard,
Thank you for sending this beautiful presentation of your events. My apologies for
such a delayed response- I have been on vacation the last two weeks, and was buried
in meetings the few days immediately prior- so am playing a bit of catch-up. I am not
clear on what exactly you need from us to produce the event in Vail. I am assuming
some level of in-kind support would be requested? It seems that many of your
festivals are quite large, and I believe we could accommodate roughly 100 tents
(10x10/12) in the Lionshead Mall area, including the ski yard. Do you have dates set
for Frisco and Beaver Creek this summer?
If you would like the Commission on Special Events to consider your proposal, I
request that you submit your information in response to the RFP we have posted at:
http://www.vailgov.com/release.asp ?r_id=7802&type=33
I have also attached a “Word” document of the basic application, so that you can fill it
out online.
Please don’t hesitate to contact me with any questions you may have.
Many thanks,
Sybill

Dear Sybil:
Please allow me the opportunity to introduce myself: my name is Howard Alan.
My organization has been approached over the last several years by several of
your retailers in Vail, headed
up by Frank Hall.Locally, we have been orchestrating the Beaver Creek Art
Festival for the past 15 years.
It would be a pleasure to have the opportunity to produce a high calibre art affair
in Vail with your fine group. We are proud to produce some of the top art affairs
in the US.
including the Beaver Creek Art Festival.( Avon, Colo.) Downtown Aspen Art
Festival,(Aspen,Colo.) The Alexandria Festival of The Arts,(Alexandria,
Va.),The Las Olas Art Fair (Fort
Lauderdale) The Chicago Tribune North Michigan Ave Art Festival(Chicago,Ill.)
The Downtown Delray Beach Festival of the Arts (Delray Beach,Fl.)
Shadyside..the art fair on Walnut St.
(Pittsburgh,Pa.) as well as many other fine shows throughout the US.
Sybil: we would be proud to add Vail to our great tour! The show would be
comprised of some of the top artisans from all over the US. This event would be
promoted locally, regionally
and nationally. This would be a signature event for your
organization. We specialize in producing shows in high end retail
districts, for the shops, restaurants, and hotels in the area.
My organization which is comprised of seasoned event makers,
publicists, event organizers, social media etc. would produce this
event on a turnkey basis. There are festival goers that
come to our shows travel from all over the country. We like to use the
expression,"heads and beds" as we have the ability to fill hotel rooms, ring
registers in shops and restaurants, and
generate a tremendous amount of tax revenue for our intended properties.
Frank Hall's group is looking for us to produce an award winning art fair in
Lions Head, featuring some of the
top exhibiting artists in the country, increase the number of exhibitors, and the
quality of the art displayed and make a big impact on the crowd that the art show
can create in Lions Head
and in Vail Village. The intended date would be either June 29-30 2014 or July
5-6 2014.
Enclosed and attached please find our pictorial PDF that I sent to
Frank. If you have any questions, we would be happy to answer
them. We look forward to producing a fine art affair in Vail.
