Tier IV Event Funding Request VailLeadership.org   Event Details: 1. Overview: The Vail Leadership Institute is moving into a rapid expansion phase with a new management team and an increased level of strategic partners and donors. Due to these changes occurring over the past 6 months, many of the relationships are in the process of being solidified. For each phase of our development there are plans for developing larger events and programs in 2015 and beyond. With the phase of development that the Institute is currently at, it is crucial that all of our existing events are produced at a high level in order to procure the commitments from other sponsors and event partners. In the end, the Vail Leadership Institute is committed to growing into a global destination for leaders, and providing the local community with access to thought leaders that will inspire the community to reach for higher levels of success and significance. By investing in existing programs, the Town will provide the Institute the necessary resources at each phase of development to grow into the entity this Valley needs it to be. Although the Institute could formulate a new event for this funding request, we are hopeful the Town will look at “seeding” our development through their participation. In 2014 the Vail Leadership Institute will be reinstating the Tribute dinner with a modified program as a way to bring focus to Leadership within the Town. Although not publically announced, Rod Slifer will be the recipient of this lifetime leadership award in December. The addition of a top leadership speaker will add a new element to the event that will bring intellectual value while promoting the heritage and brand of the Town of Vail through this annual selection. 2. Where will the event be located within the Town of Vail? The location of the event will be set with an exact date once partnerships with Vail Resorts and Slifer, Smith, and Frampton are secured in order to determine the exact date. Considerations are the Lodge at Vail or the 10th during the first 10 days of December. 3. Will any portion of the event take place outside of Vail? No part of the event will take place outside of Vail. 4. Are additional in-kind services being requested from the Town of Vail? No additional in-kind services will be requested for this event. 5. Is this a new or existing event? The Institute has conducted two tribute dinners in the past, one for Pepi Gramshammer in 2009 and one for Bob Parker in 2008 at the Lodge at Vail. This event will be enhanced by the addition of a renowned leadership speaker to headline the presentation. VailLeadership.org   6. People: ¥ 200 attendees ¥ 5 Volunteers ¥ 4 Event Staff Year 1 Mix of attendees: 65% local 25% in state 10% out of state 7. Description of the Benefits to the Town of Vail? ¥ A new partnership with the Institute to promote leadership and learning experiences for guests ¥ Ability to support the 2014 recipient (Rod Slifer) as an exemplary of leadership standards that will be supported as part of the Town’s leadership program ¥ The ability to communicate and announce to key community stakeholders that are in attendance the future vision of Vail, which includes a higher level of lifelong learning opportunities The estimated # of room nights and ROI for the town at this phase are difficult to determine based on the # of guests that may have local housing during their stay in Vail for this event. Based on the level of funding requested for this event, marketing dollars will not be intended to draw a high level of out of town guests, but rather will be spent to continue to promote the brand of the Institute with key stakeholders in the community that will be necessary to elevate the Institute to higher levels in 2015. Although this may not be an immediate ROI for the town, the requested figure will make a large difference in “seeding” the growth of the Institute and it’s likelihood to develop more programming with the Town. VailLeadership.org   Budget: 1.  Event  Budget:        Ticket  Revenue    26,250     Sponsor  Revenue      8,500     Sub  Total  Revenue      34,750             F&B      20,000     Sales  expenses    5,000     Speaker  Fees      5,000     Local  Ads    5,000     On  Site  Signage      1,500     Participant  Gifts      2,500          39,000             Net      (4,250)   2. What % of the event budget is the CSE being asked to fund? The CSE would be funding approximately 21% of the overall event expenses. 3. Briefly describe how you will use the funds that your are requesting from the CSE? The Institute will be utilizing the funds to secure the space for the event as well as to be able to attract a speaker early on in the planning. The estimate for the speaker would be $5,000 and the remaining balance of $3,500 would be towards the advertising of the event and ticket sales. 4. Should the CSE not decide to support this event will it still occur? Yes, the event is planned and will occur. The ability to add a high level speaker and produce the promotion of the event will decline without the funding from the CSE. 5. What is the dollar amount of sponsorships from alternative funding sources reflected in the event budget? We are not forecasting additional sponsors in the budget based upon our assumption that community support of sponsors will come by purchasing a “table” for the event. This funding is reflected in our ticket revenue. By producing this event at a high level and inviting key sponsors for the future, the Institute will be able to command a larger level of participation in 2015. 6. What % of the total event budget do you expect the event itself to generate? Ticket sales will make up 89% of the total event budget. VailLeadership.org   7. If possible would you intend to host the event in Vail beyond 2014? Yes, the Institute plans of developing further Leadership events that will grow from this initial event. As our event budgets grow, it will become realistic to draw a large number of guests from the front range and nationally based on the selected topics and speakers. 8. Do you anticipate requesting funding from the CSE next year? Yes, the Institute see’s it’s next phase of development being a key long-term brand element of the Town of Vail. We would hope the Town of Vail will be a consistent supporter of the Institute, but our goal is to increase our operating budget 10x’s within the next 5 years, which will allow the Town’s % of involvement to decrease over time as a % of the total contribution. Marketing: 1. The budget supports marketing in the following ways The budget provides dollars for local advertising in print and radio for the event and for direct sales efforts through a contract sales person to connect with local companies. 2. Explanation of potential sponsorships or media exposure The Institute plans to secure additional sponsorship from Vail Resorts to help contribute to the venue or F&B. The Institute also has a marketing team that will be promoting the event via social media channels along with local TV that will provide pre-event interviews of the speakers and award recipient. 3. Specify any marketing support The Institute would like to be included in local seasonal signage and in the Lionshead welcome center with literature regarding the event and other upcoming events. 4.
