Roles and Responsibilities 040115 Final April 1, 2015 To: Commission on Special Events From: Kelli McDonald, Town of Vail Subject: Roles & Responsibilities of Staff and Consultants Staff is providing information on roles and responsibilities of Town of Vail staff members and outside consultants regarding special events, which is outlined below. SPECIAL EVENTS COORDINATOR Duties and Responsibilities  Act as the single point of contact for all Special E vent inquiries and services  Manage a balanced yearly event calendar for the Town of Vail, and provide information on scheduled events as requested  Administrate the CSE Board  Prepare Letters of Agreement for all funded events, manage all payments and track fulfillment requirements  Oversee the Town of Vail Special Event permitting process  Attend events in other resort communities for basis of comparison EVENT LIAISON Scope of Work  Create a proactive support system to align CSE processes and presence with the Vail brand  Assist in the preparation of CSE meeting materials  Oversee marketing and public relations of CSE funded events  Collaborate with community calendars to ensure comprehensive event listings ECONOMIC DEVELOPMENT MANAGER Duties and Responsibilities  Manage Town staff and consultants responsibilities, deliverables and budgets relative to Special Events  Represent the Town Manager’s Office on behalf of Special Events  Prepare economic and marketing materials for CSE meetings  Act as liaison between CSE and VLMDAC boards and meetings  Manage research projects on behalf of the CSE  Oversee alignment between CSE and VLMDAC on objectives and strategies  Continue collaboration on the year-round Vail brand
