The CSE will already have had a chance to review your entire recap. 2.You will have 10 minutes: 5 minutes for your presentation and 5 minutes for CSE to ask questions. 3.Please change the date on the front page 4.Add a few photos or marketing images to the presentation to break up the text. 5.Remove blank bullets from the document. 6.If you want feedback on your presentation send it to Laura a week in advance of when the final recap is due, which is the Wednesday before the CSE meeting 7.Convert your PPT to ONE PDF before you email it to Laura, we cannot receive .zip files or files larger than 5MB. You may also send it via DROPBOX. 8.Include all your documentation in ONE PDF –this includes P&L’s, budgets, etc. 9.If you have questions, don’t hesitate to email or call. lwaniuk@vailgov.com PS: Delete this slide  Event Recap: Event Name Cultural, Recreational & Community Category (Wednesday, December 6, 2017) Vail Pioneer Weekend: September 22-24, 2017 Alison Wadey Phone: 970.376.1661 alisonw@vailchamber.org 3 Overall Event Highlights & Successes 4 •List the top 4-6 successes you want to share with the CSE (consider this a snapshot for your recap). •Over 500 Vail Pioneers returned for the weekend •Increased event to 3 days, from 2 days five years ago •Created logo and branding for the event which had not been done in the past •50% came from out of town and stayed for 4+ days Estimated Attendance Results 5 •Estimated attendance: •500 •Number/percentage of people who came specifically for event:100% •Number/percentage of people who attended the event last year: 2012 for 50Th anniversary of Vail, 900 attended. Estimated Attendee Profile Results 6 •Attendees came from (local, regional, out of state, international): Estimated Spending Results 7 •Estimated average spending per person: •Dining: 3 days of events, only 2 meals were covered, so attendees had to find meals at other locations. •Shopping: •Lodging: Had 6 Lodging partners who were offering specials and each said they had 10+ rooms booked through event •Other Activities: Attendees visited Betty Ford Alpine Gardens, Epic Discovery, Ford Park •Town of Vail spending the event/program generated: NPS (Net Promoter Score) 8 Attendee Response: How likely is it that you would recommend this event to a friend or colleague? Thanks again to you and your staff, Sandy and Tom Troxell The NPS Calculation Calculate your NPS using the answer to a key question, using a 0-10 scale: How likely is it that you would recommend [brand] to a friend or colleague? Promoters (score 9-10) are loyal enthusiasts who will keep buying and refer others, fueling growth. Passives (score 7-8) are satisfied but unenthusiastic customers who are vulnerable to competitive offerings. Detractors (score 0-6) are unhappy customers who can damage your brand and impede growth through negative word-of-mouth. Event Strengths & Weaknesses 9 •How did the event exceed expectations? Many Pioneers had not been back to Vail in 5 years and were amazed at all the new businesses and amenities. Despite lower numbers than anticipated, we were able to stay on budget and deliver an event that many said was above and beyond all years past events. •What are areas for event improvement? Better mailing list upkeep and communication ahead of time to Pioneers. •How did this year’s event compare to last year? We added a Friday night event this year which was very well received. We also added branding and a Pioneer gift bag. Vail Brand Compatibility The Premier International Mountain Resort Community 10 •How did the event /program support the Vail Brand? Vail Pioneer Weekend is a reunion of those who lived and worked in Vail prior to 1983. It celebrates those you helped to build Vail into what it is today. It is a cross of business owners, ski patrollers/instructors, long time local families, and more. One attendee, Chef Siggy was the first cook at the Red Lion. He brought his daughters and grandchildren back this year for their first visit to Vail. Brand Positioning: •Town of Vail: The Premier International Mountain Resort Community •Vail Mountain: Like nothing on earth Community Contribution 11 •How did the event impact Vail’s sense of community? Pioneers who still live locally and those that travelled back gathered not only at the planned events but at impromptu locations (mainly bars) to visit with friends they knew from their time frame. Current local business owners reached out to say they enjoyed seeing old and new faces and hearing all the stories. The stories from Vail in the 60’s and 70’s was the best part! Topline Marketing Efforts 12 •What are the top 3 successful marketing tactics, executions or results from your event/program? •Save the Date mailing piece 6 months prior to event. •Email campaign two weeks after Save the Date was sent. •Follow up emails , ads in newspaper and other local media outlets. Formal invitation sent via mail. •Dedicated Facebook Page for Vail Pioneers. •Please attach complete marketing plan to end of presentation. Potential for Growth & Sponsorships/Media Exposure 13 •How do you see the event evolving next year? The event will most likely change in 5 years. Many of the original Pioneers may no longer be able to participate and it will be harder to track down those that moved to Vail in the 80’s. •What sponsors do you plan to target next year? TBD, next one won’t be until 2022. •How will you leverage media exposure and extend the marketing reach next year ? TBD Sustainability Efforts 14 •What measures were taken at your event/program to support the environmentally-friendly goals of the Town of Vail? Recycling bins at all event locations, compostable and recyclable materials were used at the Saturday event at Dobson. •What waste reduction methods were used during your event/program? Clearly marked Recycle and Trash bins. •How could you improve on sustainability efforts for next year’s event? The Town of Vail is committed to the stewardship and protection of our unique mountain environment. In consideration of both our local and global impacts and opportunities, our environmental vision is to demonstrate and promote: renewable energy, resource efficiency, ecosystem protection, and community awareness and education.
