CSE Chair, Jenn Bruno, called the meeting to order at 8:30 a.m.
Administrative Items: (5 minutes)
Motion to approve the Minutes of the meeting of October 5, 2011, as presented.

Bruno reviewed the following schedule of upcoming meetings and important dates:
Wednesday, November 16: CSE Special Meeting to determine recommended funding allocations:
West Vail Fire Station 8:30 am - 2pm
Tuesday, December 6: Presentation of CSE Funding budget to TOV Council
Reschedule Joint Meeting w/ERC and Event Producers to February 1, 2012
Navas explained that it would make sense to postpone this meeting for the following reasons:
1. Given the “crunch” time to prepare for the presentation of the budget to the Town Council on
December 6
2. New CSE members will be sworn in
3. Special Event Permit revisions will not be completed in time
4. Early season and holiday commitments, that have resulted in less attendance from the event
producers the last two years
All CSE members were in agreement that it would be better scheduled after the first of the year.
CSE Appointments: Letters of interest will be due by December 13, interviews and appointments will
occur on Tuesday, December 20. The terms of Rayla Kundolf, Jenn Bruno, Bobby Bank and Bob
McKown will be expiring, although none of these are term-limited.
CSE members reviewed the event recaps and RFP’s submitted for 2012 Special Event Funding, as described
below. All RFP’s submitted will be posted on the Town of Vail’s Laserfiche site (www.vailgov.com/weblink8) after
the final allocations have been determined, in order to protect any proprietary information.
• Vail Restaurant Month (VRM): Ilene Rapkin, representing I Openers Holding Co. LLC, presented a PowerPoint
recap of this year’s event. She emphasized that they had listened to the CSE’s direction following last year’s
event and reduced the repetition of events, many of which sold out this year. The independent intercept
survey that was taken showed that 82% of VRM attendees were 1st time visitors to Vail, with 74% indicating
they would be likely to return. She stressed the compatibility with the “Vail Brand” and that outside
sponsorships were delivered as promised, growing from $35,000 in year one to $50,000 in year two. Rapkin
announced a commitment to deliver $70,000-$75,000 in 2012.
When asked why an increase in funds is requested in 2012, Rapkin replied that they are intending to add a big
“driver” Iron Chef style ticketed event. Gedelman-Viers noted the beautiful weather we have had in Vail over
the last two autumns, and asked Rapkin if good weather was important to the success of the event. Rapkin
responded that 98% of the events are indoors; only the Farmers’ Market is outside. Adkisson then asked,
“How important is the Farmers’ Market?” Rapkin replied, “Very!” It attracted 8000+ people and is an
important factor to Food Network’s sponsorship commitment. She closed by saying that Martha Rose

Shulman, who had hosted a Thanksgiving themed event at Terra Bistro, mentioned VRM in the New York
Times.
VRM: 2012 Request: $60,000. Proposed Dates: September 17- October 14, 2012
• Vail Farmers Market (VFM): Angela Mueller and Marc LeVarn represented the Meadow Drive Partnership and
presented a recap of last summer’s highly successful market. Mueller pointed out that they have not asked for
an increase in funding, and highlighted the market’s sponsorships from Ritz Carlton, the CSE, B&G Foods and
the Meadow Drive businesses. Jensen complimented them on working collaboratively with the other events.
All CSE members felt that it would be good to see more farmers.
VFM: 2012 Request: $44,000. Proposed Dates: Sundays, June 17 – September 16, 2012
• Colorado Grand: Sarah Franke, representing the LionsHead Merchants Association, gave a brief recap of this
year’s event as Angie Getchel was unable to attend. Franke noted that the Colorado Grand spends $16,000 on
a Saturday brunch which entices people to stay and display their cars, which they did in spite of serious rain!
She explained that the extra money being requested in 2012 would allow for enhanced Finish Line activities.
She closed by stating that LionsHead Merchants take on the brunt of the advertising cost.
Colorado Grand: 2012 Request $5,000. Proposed Dates: Friday/Saturday, September 14 & 15
• Highline Sports and Entertainment: James Deighan presented recaps of Gourmet on Gore (GOG) and
Oktoberfest (OKT) and explained that their philosophy in producing these successful events is one of a
“partnership with the Town, ” and that funding from the Town is a critical component, especially for those
events that are not supported by Vail Resorts.
Beginning with Gourmet on Gore, Deighan stated that they want to do the brunch again next year, making it
bigger and longer. He stated that “Vail should have a nationally recognized sponsor,” and that they are
pursuing a relationship with Food and Wine. He closed by stating that there is “too much going on” on that
weekend, with the Market, Duck Race and Jazz, and noted the strong difference between GOG and VFM. The
additional dollars being requested were described as “weather insurance.”
Bruno complimented the children’s activities and asked whether a duck race would be a benefit to the
Monday brunch. Deighan answered a resounding, “Yes!”
Kundolf suggested adding jazz to the Monday brunch and having the market be “Farmers only- no ‘food’ ” on
that Sunday.
GOG: 2012 Request: $75,000 Proposed Dates: September 1-3, 2012
Moving on to Oktoberfest, Deighan explained that the success of the event is strongly weather dependent
and they can’t pare back to one weekend because of the weather risk- losing only one day of beer sales can
make or break the entire event. Kundolf suggested adding more traditional, German merchandise. Deighan
stated they are looking seriously at “blowing up” the more traditional aspects. Several CSE members stated
that the kids’ activities were not as good as at GOG, but Deighan responded that “it is a beer fest.”

OKT: 2012 Request: $85,000 Proposed Dates: September 7-9 and 14-16, 2012
CarniVail: Deighan explained that this is an event historically heavily supported by Vail Resorts that the Town
has benefited from and that it is likely to go away without the support from VRI. No Friday night concert is
planned for 2012, and only the parade and associated food/music activities are budgeted this year. It was
noted that PHAT Tuesday falls the day following President’s Day in 2012. He closed by stating, “We consider
ourselves your partners.” 2012 Request: $30,000 Proposed Dates: February 19-21, 2012
Spring Back to Vail (SB2V): Deighan explained the traditional closing week party will be one week only, closing
week, in 2012 and that they want to make it bigger and better. Highline Sports’ partners in this event include
Rolling Stone, Men’s Journal, Ski and Skiing magazines.
2012 Request: $10,000 Proposed Dates: April 9-15, 2012
Mojo Man: Deighan explained that this is a big event that is not weather dependent that they have been
developing together with Vail Mountain Marketing, who will contribute the mountain operations component.
With a start in LionsHead and finish in Vail Village, the course will not be high up on the mountain and
spectators will be able to follow it around. He stressed that this event “does not happen” without the full
support of the Town.
Kundolf asked if this was the right demographic. Deighan replied, “They killed it in Beaver Creek.”
Bank reaffirmed, “$150,000 or nothing?” Deighan affirmed. Jensen commented that she thinks they are
underselling themselves on the sponsorship opportunities this event could attract.
2012 Request: $150,000 Proposed Dates: Memorial Day Weekend, 2012
Vail BBQ Festival: Deighan explained that they had been approached to offer a proposal for an enhanced
version of the traditional BBQ event and that they accepted the opportunity to produce this. Additional
components would include craft beers, national BBQ experts and live music.
2012 Request: $75,000 Proposed Dates: June 9-10 or 16-17, 2012
Vail Snow Daze: 2012 Request: $100,000 Proposed Dates: December 3-9, 2012
Vail Holidaze: The 2011 event is built upon the success of last year’s debut and the popularity of the ice
skating shows. Designed as an event that people will “fall upon,” and “discover, embrace and enjoy” it will
focus on several skating shows in Solaris, featuring the current world figure skating champion. Additional
components include a snowshoe run from LionsHead to Vail Village, a strong kids zone, Colorado Children’s
Choir, “skating with the stars,” and a Solstice on Ice celebration. A traditional tree lighting is scheduled for
December 17 and Deighan added that they are working cooperatively with Eagle Valley Events on that
component and the traditional Vail New Year’s Eve activities.
2012 Request: $100,000 Proposed Dates: December 17-25 and 31, 2012
America Days: Deighan explained that here again, in the absence of another proposal for Vail’s iconic summer
celebration of Independence Day, they were asked to submit a proposal with the charge of enhancing the
event in a substantial way: keep people in town following the parade and make it a “day,” not a “morning.”

He added that input from the Town Council would be needed, as well as a sponsor for more fireworks and a
band. 2012 Request: $75,000 Proposed Date: July 4, 2012
• Vail Chamber and Business Association Events: Rich tenBraak, Executive Director and Lourdes Ferzacca,
President of the Board of Directors. All three events are proposed to be produced under a contract with
Ferzacca Management.
Vail Sidewalk Sale: tenBraak explained that the goal of this event is to make shopping a destination activity,
extend the length of the event of cover a whole week and get a jump on the big winter sports sales in the
Front Range. He added that Specialty Sports Ventures has taken on a sponsorship role and that they would
like to make this a “community event,” not just a Specialty Sports Ventures event.
2012 Request: $5,000 Proposed Dates: August 5 - 11, 2012
South of the Border Fiesta: Bank commented that “we’re told this event is not compatible with the “Vail
Brand,” and asked Ferzacca whether she agreed or disagreed. tenBraak responded that they want to please
retailers with the fashion show and restaurants with the food and make it a community oriented event.
2012 Request: $10,000 Proposed Date: June 9, 2012
Vail BBQ: Ferzacca commented that this event was “well-done for the available funding….and was surprised
that Highline had been asked to submit.” She added that they “certainly do a ‘Kick-ass’ event for $75,000.”
There was discussion as to whether the event should be moved to a weekend that would not compete with
the Farmers’ Market, as there had been complaints from both market vendors and attendees that the area
was too congested. tenBraak remarked that the market may have had vendors complaining, but he felt that
the BBQ worked well with the market. Ferzacca stated the event is not a “sanctioned” BBQ.
2012 Request: $20,000 Proposed Dates: June 29- July 1, 2012
• Vail Valley Foundation Applications: Mike Imhof and Scott Bluhm
Teva Winter Games: Imhof explained that this event was developed as a way to replace the Honda Session
using Teva as the overarching sponsor and the strong brand recognition of the Teva Mountain Games. Bluhm
explained the proposed schedule, indicating that there remain challenges with the LionsHead venues.
Registration will be held in the community room in the new Welcome Center. Planned competitions will
include: mixed ice climbing, slalom bikes on snow and a “Boot Run” knock-off of the Teva Mud Run at Golden
Peak; Gear Expo in Vail Village, Outdoor Reels film series, and free concert at Checkpoint Charlie; Nordic
Freestyle Ski at the Nordic Center; and on-mountain competitions including ski mountaineering (Ellen Miller’s
Ultimate Mountain Challenge Event, X-Country Snowshoe race and the Seven Wonders of Vail- an event
where competitors will attempt to ski all 7 bowls in one day.
2012 Request: $75,000 Proposed Dates: February 9-12, 2012
Teva Mountain Games: 2012 Request: $110,000 (includes the $45,000 allocated to the IFSC World Cup
Climbing event) Proposed Dates: May 31- June 1, 2012
• Pink Vail: Michael Holton, representing the Vail Valley Medical Center’s application for a “simple, easy”
cancer awareness event on Vail Mountain, with all funds raised going to support the Shaw Cancer Center.

Gedelman-Viers asked if there were no other communities in the county participating. Holton responded,
“Correct.” He added that Vail Resorts contributing to the event with in-kind and on- mountain operational
support and that this weekend has been identified as a slow winter weekend time leading up to Spring Back
to Vail. 2012 Request: $25,000 Proposed Date: March 3, 2012
• Taste of Vail: Angela Mueller, accompanied by new Taste of Vail board members Randall Martinez and Allison
Krausen, presented the proposal describing their vision of an expanded, re-branded and re-tooled version of
the 22 year old event which aspires to be the “cornerstone” gourmet event in the Vail Valley, 365 days a year.
The proposal includes expanding the Lamb Cook-off onto Meadow Drive and holding new events throughout
the year, including wine-maker dinners and a larger, marquis event in the fall. Gedelman-Viers noted that
there was a significant increase in the funding requested, but no specifics on how it would be used. Mueller
stated that without a $50,000 allocation, the event would not occur. Kundolf noted that the CSE has
historically only supported the Lamb Cook-off component.
Gedelman-Viers also asked if they were continuing their commitment to charitable organizations. Mueller
replied that they have just come out of a deficit, and are hold funds back in reserve.
2012 Request: $50,000 Proposed Dates: April 5-7, 2012
• Living at Your Peak, An Interactive Health and Wellness Experience: Alby Segall with John and Jamie Stone
presented the application on behalf of the Vail Symposium. Jamie Stone presented a PowerPoint
presentation, describing the event as “not the typical ‘Health and Wellness Conference’ set up in a class
room,” but rather an experiential, inter-active experience which engages participants physically as well as
mentally. 10 speakers have been confirmed, all of who have achieved their “peak” in their respective fields.
Kundolf observed that September 15-16 is already a busy weekend, and not identified as a “need” time, and
that they should confirm that hotel space will be available to meet their needs. Stone closed by stating that
four of the winter speakers series are tied to the budget, in order to promote the event year-round. 2012
Request: $50,000 Proposed Dates: September 15-16, 2012
• Women’s Empowerment Workshop: Susie Kincade and Christy Martin represented the proposal submitted
by Envision.Believe.Create., stating that in it’s first year, the event was based at the Vail Racquet Club and that
all of the attendees were enthusiastic about their experiences. Bank observed that the number of hits on the
website, and the level of exposure the event received did not “jive” with only attracting 35 participants.
Kincade replied that they are looking to develop the event into a health and wellness fair.
2012 Request: $15,000 Proposed Dates: September 13-16, 2012
• Gran Fondo World: Chris Laskey, representing Star Events USA, LLC, gave a brief PowerPoint presentation of
the concept, which he described as a blend of Italian Fest and cycling, and which would be part of an
international series. He stated they would be open to alternate dates, but not in September. Adkissson asked
if the Vail event would be promoted at other destinations around the world. Laskey replied that it would.
Bank suggested adding a Friday night activity in order to drive another day of lodging.
2012 Request: $50,000 Proposed Dates: August 18-19, 2012
• Vail Valley Cup Soccer Tournament: Shannon Moller, representing the Vail Valley Soccer Club, thanked the
CSE for their past support and noted that they are at their size limit, having turned away 35 teams this year.

Gedelman-Viers suggested that they should contract with a host hotel in Vail. Kundolf remarked that the
Town of Vail logo should be prominent on the website if they receive support from the CSE.
2012 Request: $4,200 Proposed Dates: October 6-7, 2012
• The America Cup International Fly Fishing Tournament: John and Jodi Knight announced that they have re-
organized the event as a non-profit and distributed the new articles of incorporation. John announced a goal
of raising $5,000 for Project Healing Waters and that he has reduced his funding request from $10,000 to
$7,500. He stated that the September 20-23 dates are very important, as all of the other international events
in Europe are scheduled in May and July; so many of those teams will come to Vail next year. He added that
the key component to this year’s success was that so many of the teams came with their families, and that he
want’s this to be a “signature event” in vail for years to come. Next year’s fishing venues have been secured,
and will again include Sylvan Lake and Nottingham Lake (assuming that the liner leak is resolved.)
2012 Request: $7,500 Proposed Dates: September 20-23, 2012
• King of the Mountain Volleyball Tournament: Leon Fell presented the request for next year’s event and
stated that the lodging surveys he was asked to take provided very helpful and positive information. Adkisson
requested that more effort be put into submitting a complete recap, including hard data, demographics,
lodging numbers, ROI, etc. Gedelman-Viers asked why there was an increase in the amount requested. Fell
responded that it would go towards operations. 2012 Request: $15,000 Proposed Date: June 15-17, 2012
• Divas Half Marathon: Robert Pozo, Continental Event and Sports Management in Miami, Florida, participated
by phone. Pozo stated that the event held in Vail in August, which attracted just fewer than 1000 runners, was
the first time they had ever lost money on a race. He explained that there were a number of factors that had
contributed including having to move the date from the originally scheduled September weekend, and facing
direct competition from the Warrior Dash in Copper Mountain as well as Vail’s intense focus on the USA Pro
Cycling Challenge. Stating that they “need to be the only game in town,” Pozo stated that they very much
appreciated the community support and the beautiful course. Laurie Asmussen, with Eagle Valley Events, had
been hired to help facilitate the event locally, added that they would like to expand the entertainment and
“around town piece,” but on a different date. Pozo stated that 2000+ is a viable number of entrants, and he
expects they can achieve that as their brand is growing stronger. 2012 Request: $75,000 (Pozo agreed that
they could be a “go” with a minimum of $45,000) Proposed Dates: September 7-9, 2012
• Q & A Session with the following event proposers:
RMUSSSA Softball Tournament: Bobby Ladd, representing the Vail Valley Softball Club, stated that the June
tournament had the effect of diluting the fall event and that he will focus on only the Labor Day tournament
in the future. 2012 Request: $3,527 Proposed Dates: September 1-3, 2012
Vail Automotive Classic: David Campbell stated that the event is called the “Vail” Automotive Classic and they
want to expand their presence here in Vail. The funds requested will be used to defray the hard costs of the
car show in Vail on Sunday, which features the prize winning vehicles from the major event at the Vail Valley
Jet Center held on Saturday. 2012 Request: $3,350 Proposed Date: September 9, 2012

Rocky/Central J# Junior Ski Championships: Tiffany Hoversten represented Ski and Snowboard Club Vail’s
request. 2012 Request: $2,500 Proposed Dates: March 3-10, 2012
Vail Kids Adventure Race: Jamie Gunion and Beth Pappas of the Vail Recreation District (VRD) explained that
the VRD is a partner in the production of this event with Grand Traverse Adventures. They would like to take
the event to two days and double the participation next year, with the younger kids competing on Saturday
and the older kids competing on an expanded course on Sunday. They stated that half of the CSE’s
contribution in 2011 went to purchase climbing harnesses and that moving forward; they hope to be able to
invest in other capital purchases that facilitate a safe and efficient race. They do not want to grow the race
too quickly, but rather carefully to insure success. Gedelman-Viers suggested development of hotel
partnerships. Bruno stated that Saturday and Sunday are good, but that stretching the event out to Thursday
evening and scheduling Friday as a practice day would be better. Kundolf stated emphatically, “This has so
much potential and your are treating it like a high school bake sale!” Bruno commented that they are in a
dangerous position- adding that “someone will steal this event before you get it off the table.”
2012 Request: $5,000 Proposed Dates: August 10-12, 2012
Kick-It 3v3 Soccer Tournament: Team Championships International. Dan Cramer was contacted by phone. The
CSE members had no questions. 2012 Request: $40,000 Proposed Dates: July 27-29, 2012
Vail Lacrosse Shootout: Colorado Lacrosse Promotions. Jim Soran was contacted by phone. The CSE members
had no questions. 2012 Request: $20,000 Proposed Dates: June 30- July 8, 2012
• Vail Soul Music Festival: Legacy Entertainment. Rhonda Jackson participated by telephone from Atlanta,
where she was pursuing sponsorship opportunities for the event. She stated that she is actively pursuing what
she heard from the CSE at the event recap: more sponsors, engage the community sooner, gospel celebration
on Sunday. She added that she was pleased that they had met the goal of getting attendees to come up and
stay longer; and the intercept survey results confirmed that the average length of stays had more than
doubled. Gedelman-Viers asked if a lodging partner had been secured for next year. Jackson replied, “Not
yet.” When questioned about the $80,000 request, Jackson noted that it was less than what was requested
last year, that the event needs to be a win-win for all, and that she had heard the CSE’s request for a “name”
performer.
Kundolf suggested advertising in the programs of other major music festivals, such as the New Orleans Jazz
and Heritage Festival.
Jackson closed by stating her goal of securing major partners by February 1.
2012 Request: $80,000 Proposed Dates: August 17-19, 2012
• Vail Whitewater Kayak Demos: Alpine Kayak, represented by Sean Glackin, who stated they had not
extended the season this year after the high water passed because the run-off had dissipated so quickly.
McKown stated that this event is “the best bang for the buck.” McDonald remarked that the town’s
Whitewater Park may provide a PR opportunity for the VLMD.
2012 Request: $3,000 Proposed Dates: 6 Tuesdays, May 15- June 19, 2012

• Vail Film Festival: Sean and Scott Cross presented the request from the Colorado Film Institute. They
withdrew the request for the Winter Screenings, stating that support for the 9th Annual Vail Film Festival
should be the focus and that they believe they can secure sponsors for the winter screenings from other
sources. They explained since moving to Los Angeles they have been building great relationships and PR
opportunities. The additional $40,000 requested is intended to grow the even and the marketing and to
produce “Vail Film Festival” screening events in other major markets, such as New York, Chicago and Los
Angeles. They stated that it was “good to be back in Vail” and that they have recognized the challenges of the
small size of the Cinebistro screening venues and are taking steps to expand into other areas to insure that all
pass holders will be able to get full value. 2012 Request: $100,000 Proposed Dates: March 29- April 1, 2012
LionsHead Family Fun Club: Presented by Brian Hall, Blue Creek Productions. Gedelman-Viers stated “It is
great to see kids entertained in such a quality, fun, caring way.” Bruno added that it works well in the
LionsHead venue. Bank remarked that the name change is good.
2012 Request: $16,800 Proposed Dates: 6 Saturdays, July 7- August 11, 2012
Vail Arts Festival: Laurie Asmussen, representing Eagle Valley Events, said that she was working with Brian
Hall to re-invent a 27 year old event and make it more entertaining, adding music and enhancing the
“boutique” feel that has made the festival successful. Adkisson asked if she had considered a silent auction
component. Asmussen replied that she is not a non-profit. Kundolf suggested that a jury be designated to
choose the art work for the poster. McDonald thought that the Town’s Art in Public Places board would be a
good choice. There was some discussion about adding food vendors, although Asmussen expressed concern
that the venue is already very tight, but that she can offer information about where to dine.
2012 Request: $15,000 Proposed Dates: June 22-24, 2012
Vail America Days Discussion: No applications were received for Vail America Days within the time limit of the
RFP. Highline Sports and Entertainment did submit a proposal after the deadline, requesting $75,000. Bruno
explained that she, Kundolf, Navas and McDonald had talked with Laurie Asmussen about “raising the bar” on this
event by developing sponsorships to help fund what is currently nearly 100% paid for by the CSE. Additional
components suggested include afternoon activities, food vendors and entertainment to keep people in town
throughout the day, and adding a “headliner” concert that would lead into an expanded fireworks display. Bank
asked Asmussen to explain why she decided not to submit a proposal this year.
Asmussen stated that she had done some soul searching and that she wants the event to be successful, but didn’t
feel she has the resources to take it up to another level. CSE members agreed by consensus to issue an RFP
specifically seeking proposals for an enhanced Vail America Days.
Brian Hall indicated that he is interested in submitting a proposal.
McDonald and Navas will draft a proposal for the CSE’s review, with the intent of posting it in early December and
with a submittal deadline by the first of the year. The CSE will plan to review any proposals received at their
meeting on February 1, 2012.

Motion to approve the event recaps presented at today’s meeting, so that final funding allocations can be
distributed. Recaps requiring approval included: Vail Restaurant Month, The Colorado Grand, Vail
Farmers’ Market, Gourmet on Gore, Oktoberfest and King of the Mountain Volleyball and RMUSSSA
