Town of Vail: Commission on Special Events Meeting

CSE Chair, Jenn Bruno, called the meeting to order at 8:30 a.m.
Administrative Items:
• Approval of the Minutes of the meeting of the CSE meeting held March 7, 2012.
Motion to approve the Minutes of the meeting of Ma rch 7, 2012, as presented.

• Approval of the Minutes of the meeting of the CSE Special meeting held March 21, 2012.
Motion to approve the Minutes of the CSE Special m eeting of March 21, 2012, as

• Financial Report and Contract Status: CSE members reviewed the status of financial report and
contract status and no issues were raised.

• Update on Kids Adventure Race: Beth Pappas provided an email giving a brief updat ed on
the Kids Adventure Race being held on August 11-12, 2012. Due to summer construction at
Mountain Plaza, there have been some challenges. Al though they are respectful of the CSE’s
request to make to this a two day event, this year the race will again be held on one day,
Sunday, August 12, 2012 due to construction impacts resulting from the new gondola
installation at Mountain Plaza Vail Resorts has ag reed to halt all construction on that day. On
Saturday, participants will be offered skills clini cs, including biking, ropes/climbing and
Adventure Racing 101/teamwork. Pappas will be atte nding the CSE May 2, 2012 meeting to
give another update to the members.
Winter TEVA Games Recap:
Mike Imhof, representing the VVF, provided a recap to the CSE members on the first Winter
Teva Mountain Games. This being the inaugural yea r the goal was to start small and to do it
right. The games had approximately 873 athlete regi strations and 680 more room nights were
sold in 2012 vs. the same weekend in 2011. Fox Spo rts National, Universal Sports Network
and Outside TV all will be airing a 30 min. TV show of the winter games. Next year the VVF is
hoping to increase athlete participation by 10 -20%; spread event schedule more evenly from
current Saturday heavy schedule into Friday and Sun day. Imhof affirmed the VVF’s long term
commitment (10 years minimum) and added that the “7 Wonders of Vail, ” a participatory
event created to showcase Vail’s Back Bowls, has tr emendous potential for growth.
All CSE members thought the event was a big success but did recommend more banner/flags
placed on the mountain to inform skiers that there is an event in progress.

Updates on upcoming Special Events:
James Deighan with Highline Sports and Entertainmen t stated that they are “full steam” on the
Memorial Day Weekend event, MojoMan. Currently the re are over 500 athlete participants;
5200 followers in Facebook; all permits have been t urned in and granted by the Forest Service,
billboards are going up and sponsorships are being finalized. Deighan stated that they are still
finalizing the course map on account of the const ruction in Lionshead and on Meadow Drive,
but that they are 95%there. He stated that they hav e contracted for billboards along I-70 both in
Dumont and in Denver and are hoping for upwards of 3000-5000 registrations.
CSE members are looking forward to the event and su ggested Highline talk with local
restaurants, stores and lodging to encourage the bu sinesses to be open by Memorial Day
Weekend. Deighan affirmed that they would like to s ee the merchants embrace the event and
added that the Sonnenalp has already signed on as a sponsor.
Special Event Permit Application Process:
Navas reviewed the Town’s special event permit appl ication process with the CSE members
and informed the members that the event producers w ill be invited to come to the May 2, 2012
CSE meeting to provide input on how to streamline t he process. There have already been some
suggestions including the development of a comprehe nsive online calendar listing all events in
the Town of Vail, not just events the CSE has alloc ated money towards. Also, the ability to
complete and submit permits online has been an ongo ing request from event producers. Navas
will invite a Town of Vail IT representative to the meeting to assist in providing all attendees with
information on the cost and compatibility with the Town’s current programing and a realistic time
frame within which these programs can be initiated.

New Business:
“Loose lips, sink ships” Brandmeyer reminded CSE me mbers to be conscious of what they say
with respect to specific events and vendors who may not be present. Brandmeyer requested
members limit comments to the subject at hand and t o be aware of how things that may be said
in one context can be translated back to the public differently.
Other: Gedelman-Viers suggested that allowing more signage such as banners or lamppost
flags could create more awareness of events through out the community.
