1. Approval of minutes from October 7, 2013 meeting.
The Board compliments the detail kept in taking the minutes. Molly explains her process of recording the
meeting and listening and taking minutes after the meetings. The Board and Molly both find it helpful in
tracking the meetings in general. Doe remarks that it is good to review minutes prior to meetings, so that the
Board does not find themselves repeating topics at later meetings.

3. Review of Seventh Annual Triumph Winterfest/Logan Luminescence
Molly reviews the new sketches from Thomas Barlow for the Slifer Square installation. The drawings illustrate
the chandeliers, the added trees, and ice signage for the installation. Molly thinks that much of the placement
will unfold during the installation. She shows the lanterns by the Covered Bridge, the bus stop planter, and
beneath the illuminated trees. Molly has concern about these lanterns because the trees are already
illuminated and they may be hidden too much behind the stone wall. Doe confirms the dates. The installation
will begin on December 20 with the tree lighting taking place the evening of December 22. Doe questions the
life of the installation. Molly states that we really never know with the weather, but we would like it to have
some life to it beyond the tree lighting – hopefully several weeks. Molly comments that we can always look at a
contingency if the weather does not agree with the installation. She comments that if we could have cross over
with the MLK installation it would be optimal. Wendy asks about the scale and where we ended up. Molly
explains that we asked that the 16 inch sculptures be increased to 24 or 30 inches. She makes note that on his
contract he does have 16 inches stated as the starting size, so she will want to clarify that with the artist. She
thinks that even if we have 10 fewer sculptures, it would make sense to have scale to the overall installation
increased to 30 inches. Molly agrees that we were very clear in our minutes with the size request. Kathy
mentions that perhaps the 16 inch sculptures are meant for the trees. Molly comments that in the few times
that she has met with him about the project he has been very agreeable and wants to see the success of the
project. She will call him to confirm the size of the sculptures, as 16 inches is too small. Doe asks if Kent and
Vicki Logan and Triumph will be present. Molly explains that Highline is putting the program together for the
tree lighting and they do want a representative from AIPP. Molly will reach out to both the Logans and Triumph.
Doe questions whether Highline will be involved in promoting the second installation of Winterfest. Molly
explains that it will fall on AIPP and that she will be doing most of the promotion for Logan Luminescence as
she wants to ensure that both installations get great exposure. Anything Highline does will just be added.
Highline is just contracted through Vail Holidaze and the New Year. Molly explains the responsibilities in
programming and events that Highline is taking on for Vail Holidaze. While Highline is in charge of the
programming for the evening of the tree lighting, she wants to make sure that all of our sponsors are properly
recognized and that we do not fall short in any promotions. She states that it is very important that the re-
vamped tree lighting is a great success so that our sponsors see the benefit in funding these visual art projects
in snow and ice for the Vail community. Molly has had several meetings and has another today to ensure the
clarity that our sponsors are recognized in all printed collateral, etc. Doe states that we need to keep our brand
and that AIPP is not an entity of CSE nor Highline. She recognizes that we need to make sure that this
understanding is clear that this is an art event and not a commercial event. We need to make sure that our
accreditations are there and that AIPP does not become absorbed. We need to delineate our programming
especially for our sponsors of the Triumph Winterfest. Kathy comments that she too understands. Molly states
that she was very clear that our branding needs to be on everything that Highline puts out there regarding
promotions. The Triumph Winterfest logo should indeed be included on anything in regards to the Vail Tree
lighting. Doe thinks we need to look at the future and how this has allowed AIPP to elongate the Winterfest
exhibitions, but we need to maintain the integrity of our branding. Doe asks about the budget and if it is
$15,000 for each. Molly confirms that we are at $15,000 for the Barlow installation. She explains that we need
to iron out some details with Paul as the lighting aspect has added to his costs. He is working with Nathan Cox
of Pink Monkey to come up with lighting solutions as the installation is more complex. She thinks that Paul’s
installation should not be more than $22,000. The balance will come from the AIPP winter budgets. Molly
states that this is 80% privately funded and that we need to recognize those contributions as it is going towards
temporary installations in snow and ice. Doe asks if Highline is going to market the tree lighting with the élan
that it calls for. Molly comments that Highline is supposed to with the marketing, as is the town. Wendy asks
whether the logo needs to state that it is in conjunction with AIPP. Molly shows other printed materials where it
is very clear that it is an AIPP project. Molly explains that we introduced this logo to have consistency with the
branding of the event which has been very helpful. It is in line with Triumph’s branding as well. Molly confirms
with Doe that we will be creating banners for the main Vail roundabout and a street banner. We will need
alternate with Holidaze, but it is important to our sponsors that we are in the main Vail roundabout. Doe asks if
we have confirmed that we are opening Wertin on January 17. Molly asks the Board what their thoughts are on
that date and if she should reach out to Matt Morgan about that date for a celebration thanking our sponsors.
Molly comments that the tree lighting does cover the public celebration for Triumph Winterfest and that the
January 17th event can be a private thank you for our sponsors. Doe thinks we should try to find some sort of
give away for the guests. Doe thinks it is an important event that we should target those interested in
supporting AIPP along with Triumph and Logan’s guests, Council, AIPP Board, etc. Paul is looking to begin the
installation around January 6. Molly asks the Board what they would like regarding one versus the two walls.
The Board would like to invite Paul to the December Board meeting. He is calling the installation Arches. Doe
likes the concept of two openings and keeping it clean versus too busy. Doe comments that we need to start
thinking about integrating Lionshead into some of these winter events. Molly mentions that with the unveiling of
the playground there may be opportunity there. She comments that Karl Krueger struggled with Lionshead
because most of the shady spots fall upon the heated pavers. Doe thinks we could look down the road at an
evening/weekend event versus a longer installation. Perhaps the lanterns can be integrated at a future date.
Doe encourages the Board to visit the new playground because it looks fantastic.
4. Paper Lantern Workshops with Helen Hiebert
Molly passes around two books written by Helen Hiebert on paper. She is a talented local artist who is
incredibly knowledgeable about the art of paper as a medium. We have decided to host two two-hour public
lantern making workshops at the library.
Dec 15 (ages 15 and older) 3:30 – 5:30 pm
Dec 22 (all ages, families, etc) 2:00-4:00 pm – before the lighting
Molly remarks that she would like paper lantern project to evolve into a larger community-wide driven public art
project by encouraging others (schools, Vail Rec, Girl Scouts, library, etc.) to have or host paper lantern
making workshops and projects as well. By incorporating it into a community aspect of the tree lighting we will
invite everyone to bring their handmade paper lanterns to the tree lighting. AIPP will provide the LED battery
operated lights by having various pick-up stations around Vail. It will become interactive and show to the Vail
guests that there is an active year-round community in the valley. The tree lighting has turned into a
celebration of light with Logan Luminescence, the tree lighting, paper lanterns. The message has evolved into
a celebration of light and hope for the holiday season. We want to encourage people to participate in our
workshops, but to also have their own. Molly shows the Board the lanterns that were created by Helen. The
Board compliments the lanterns. Molly shows the instructions for making this type of lantern as illustrated in
Helen’s book. She uses recycled containers like cottage cheese, etc., so Molly asks the Board to collect
containers for her. Doe thinks that the more lights available the better. She suggests reaching out to the hotels
and having some pre-made lanterns also available. Slifer Design has donated 7 books of wallpaper samples to
go towards the project. Molly shows a lantern that she made using the wallpaper. Doe suggests the various
pick-up locations of the lights will create an ethereal means of getting people engaged and creating curiosity
about the natural procession of lanterns. Doe hopes that this is something that can become an annual event
that can truly grow perhaps into a parade connecting Lionshead. Molly mentions that this is something that the
town had wanted years ago. It will fall upon the Board to generate the enthusiasm and disseminate the
information about the paper lantern public art project. Molly mentions that the suggested donation for
participating in the library workshops will be a children’s book drive that will go to the Colorado flood relief. It
makes a nice connection with the use of paper in an art project at the library in a generous spirit. Molly
suggests the Lionshead & Vail Welcome Centers and the Vail Library. Doe suggests reaching out to the hotels
where the families stay and provide lanterns for some of their guests. Molly will provide the hotels with Helen’s
information and Lauren from Alpine Arts Center if they want to have their own programs. Doe thinks the
window for guests arriving on Saturday will be a very short window. The Sunday arrivals will have next to no
notice. Molly emphasizes that we really want to also have the community for the year round residents of the
Vail Community. Molly suggests to Jen that 2015 should make some lanterns. The Board is fine with the book
drive as well.
5. DIA Meeting/2015 update
Molly recently met at DIA with Kate (VVF), Steve Sander, and Christ Stevens (DIA Art) to discuss the snow
globe concept. Molly reminds the Board that initially the thought was to work with the Dream it. Live it. Share it.
2015 campaign by having interactive snow globes at DIA, one in Vail, maybe one in Beaver Creek. It would
connect the entities participating in the races. The “share it” could also be the creating of 2015 snow globes for
purchase (souvenirs). It would harken the international clientele in for the races and we could call it “Snow
Global.” The ideas were received well at DIA and with Sanders (marketing for DIA/Denver). Sanders proposed
purchasing globes that Cherry Creek Mall is interested to sell. Molly describes the globes to the Board and her
concerns are regarding condition, freshness, and that they look like they belong in a mall display. They have
brass finishes, finials, and plastic diamond ornamentation. Molly then asks the Board what they think makes
sense for AIPP. Doe clarifies the concept of having a limited number of snow globes and what are the sizes
and materials. Molly had envisioned something more contemporary and interactive that can be blasted out to
social media. People would be able to step into the globes and have their photos taken before back drops. The
backdrops could be the starting gates, gates on the race, podiums, etc. Molly and Kate had discussed reaching
out to Vail Resort’s Epic Mix photographers and making it a really great social media campaign as well. Molly
shares some of her research on interactive snow globes. Molly tells them about Absolute Hollywood and some
of the projects they have done. Kathy questions where the globes would it be located. Molly confirms that
these details all need to be sorted out. Kathy asks about coordination with Beaver Creek. Molly has concerns
that this may get too complicated and if we should focus on the Vail snow globe and let DIA work on their
globe, etc. Doe and the Board think it might make most sense for us to work on a Vail globe. They ask that we
work on our own funding and making it a part of Winterfest. It is in our interest to make it relevant and artistic
and powerful. We should start pricing out our options now. Doe would like to see Lawrence Argent back in Vail.
Doe confirms that we want something magical and not commercial. Doe comments that AIPP should steer the
Vail portion, but only collaborate together in Denver. Molly mentions some fabricators that have been
contacted in these discussions. Molly thinks we need to look at designers, set designers, etc.
6. Coordinator/collection updates
John Wenner is fine to keep Rider 01 in the planter on International Bridge through the winter
Ram is now relocated at LH entry plaza
Winter brochure and website updates – Molly hopes to have all printed collateral by Dec 1.
Public Art Walking Map – Kathy is going to help with proofing/editing.
Lionshead parking structure update with Randy Milhoan – painting will take place in spring.
The Board needs to finalize location for Bird of Paradise. It may be able to be integrated into the new
Lionshead entry at the parking structure.
