M/S/P: Ian Anderson, Todd Gehrke, Unanimous Proposed Meeting Dates for 2006: CSE members agreed to accept the proposed schedule of meetings for 2006 as presented. CSE Member Re-appointments: Sybill reminded the CSE members that the terms of Steve Rosenthal, Todd Gehrke and Stephen Connolly expire December 31, 2005. A letter of intent to apply for a CSE appointment must be submitted to the Town Clerk, Lorelei Donaldson, no later than Wednesday, December 14. The Town Council will interview candidates for CSE positions at their work session on Tuesday, December 20. Dave Chapin congratulated Mark Gordon on his election to the Vail Town Council and thanked him for his service to the CSE. The CSE heard presentations from the following persons representing entities who had submitted proposals within the RFP, deadline of October 14. Discussion and funding allocations are scheduled for the CSE meeting of November 22, 2005. LM Lntraditional marketing Commission on Special Events c/o Sybill Navas Town of Vail 75 South Frontage Road Vail, CO., 81658 The following is a co-proposal with Untraditional Marketing and Business Marketing Consulting Services for conducting the Special Event research for to 2006 event season. Background: The Commission on Special Events ("CSE") evaluates, selects and sponsors special events that are held to attract visitors and generate incremental business for the Town of Vail during the skiing off-season. The special events underwritten by the CSE are of four types: Cultural, Participatory, Ambient and Anchor events. During the past few years, the CSE has commissioned research to evaluate the special events it underwrites. The research has provided a good base of information regarding individual events and each one's financial contribution to the Town of Vail. However, an in-depth analysis of events by type -has not been conducted. At this time, some questions have arisen as to what type of events the CSE should underwrite, how the contribution of these events should be measured and how the variety of events can be managed as a "portfolio." Consequently, more in-depth research is warranted. Purpose: The purpose of the 2006 research is to develop information to evaluate special events by type: Cultural, Participatory,, Ambient and Anchor. This information will enable the CSE to manage the events it sponsors as a "portfolio" and enhance its ability to set its strategic direction and plan by type of event as opposed to by individual event. Goals and Objectives: The goals of the 2006, research are to determine the key variables for evaluating events and help establish the strategic direction for the CSE. The specific objectives of the 2006 research are to develop the following information by type of special event as opposed to individual special event: 1. Distribution of attendees by type (Locals, CO Day, CO Overnight, Out-of State) 2. Reason for attending the event. 3. Type of activities engaged in while attending. 4. Expenditures by type on a per attendee basis. 5. Intentions to return to Vail for the event or for another reason. 6. Event characteristics that most impact their impression of Vail and intention to return. PO Box 1430, Vail, CO 81658 970.926.4799 www.untraditional.com LfT1 Lntraditional marketing Methodology: The research will be conducted through the use of in-person intercept interviews at eight special events, two in each of the four event categories: Cultural, Participatory, Ambient and Anchor events. A total of 150 interviews will be conducted at each special event to yield a total of 300 interviews for each type of event. Interviews will be conducted during the event with attendees who appear to be 21 years of age or older. The questionnaire will be one legal sized page in length, printed in 10-12 point font and be administered via paper and pencil. The questionnaires will be coded and keyed for tabulation via SPSS (Statistical Package for the Social Sciences). Data for the two events in each event category will be combined to provide statistics for each type of event. Data for individual events shall not be provided unless requested as a supplemental project. Timing: The first draft of the final report shall be completed within two weeks of the close of the last event and the final report within one additional week. Costs: The total costs for the project, including study and questionnaire design, interviewing (150 per event), data tabulation, analysis and final report is $24,000.
