HomeMy WebLinkAbout2019 Vail Thanksgiving proposal EVE July 18, 2019 Town of Vail Economic Development Department Jeremy Gross, Special Events Director Via E-mail jgross@vailgov.com In Response to RFQ Vail Thanksgiving Traditions Dear Jeremy— Thank you for the opportunity to present ideas in response to the Town of Vail RFQ for 2019 Thanksgiving Activations. Our ideas will encompass the dates of of November 22 – 30, 2019 and will take place within the Town of Vail. Our Event Production timeline would include: - Consultation with Vail Resorts Marketing Team to ensure guest target personas that the Ski Company has aligned with are also our personas as we plan the activities - Consultation with various Town of Vail departments to identify key activities planned and budget considerations of each department as the activity directly impacts staffing capabilities and creation of activity (i.e. public area décor, possible parade, etc.) that may impact various departments late in the budget year - Interface of our design and production team with Vail Mountain marketing team and Town of Vail communications teams to ensure continuity around messaging and advertising We view the Scope of the Project to be the following: - Our team will facilitate and deliver the event’s message across the organizations within our Community. These organizations include, but are not limited to: • Vail Chamber & Business Association • Vail Valley Partnership • Vail Recreation District • Vail Merchant Community • Vail Valley Arts Community - Our role would be to forge partnerships among the various groups identified and beyond to present an interesting, fun week of activities targeted to our guests and community residents. - The mission of the event would then be met by our production team, consisting of both staff and sub-contractors. The facilities we anticipate using for some of the activities may include the following, depending upon the budget: • Dobson Arena • Vail Nordic Center • Donovan Pavilion • Vail Mountain locations Eagle Valley Events, Inc. will assemble a team of the following to accomplish this task: • Production team • Subcontractors • Organizational representatives from various public/private agencies • Town of Vail department representatives • Community members At this time, our ideas for the event could include both ambient and activation-related activities: • Holiday lights/Roundabouts, key public spaces, etc. • Night time ambiance, lighting displays, walk through Town, view lights at various locations • Torchlight parade (could there be guest participation based on location?) • Holiday Art and Gift Fair • Nordic Center skiing/skating • Retail shopping promotions leading up to Small Business Saturday • Various on-mountain activities including pods of free music in various locations on the mountain to tie in with Daily Bell Ringing; on-mountain promotions tied to various terrain and Vail Resorts promotions • On-mountain giveaways • Cross-promote restaurant options/5 star vs. family experience • Community Thanksgiving dinner – for resort workers, residents, guests or choose restaurant options • Ski with Santa or Mrs. Claus • Tie in with Daily Traditions outlined by Vail Marketing (free hot chocolate at base areas, or other component during Thanksgiving week) • On-mountain fireworks nightly Sample schedule: Daily activities to coincide with Après Bell Ringing and Free Hot Chocolate, Free music at alternating base areas. Day and night time ambient activities based on event themes Fri, 11/22 Band at LH base area Sa, 11/23 Band at Vail Village base area Sun, 11/24 Church service at Eagle’s Nest 11 am; Band at LH base area Mon, 11/25 Local’s talk LH Welcome Center; Band at VV base area Tues, 11/26 Skating Show, Dobson Arena Wed, 11/27 Skating Show, Dobson Arena Thurs, 11/28 Community Thanksgiving Dinner, promote various dining alternatives restaurants throughout the week for guests to dine Fri, 11/29 Ski with Santa or Mrs. Claus Sat, 11/30 Small business Saturday shopping promotion; band at base area Focus on our Strengths: Vail Mountain, Community leaders, residents and business owners, Town Infrastructure, Town history contribute to what makes Vail a great place to visit, live and work. Eagle Valley Events, Inc. has over 20 years experience producing events that enhance both resident and guest experiences. Collaboration with agencies, Town departments, business owners, community leaders and Vail Resorts is key to many of the events we produce and manage. In addition, collaboration between all communications departments and marketing design will be key to the event’s success. Once I understand the direction the event will take, I am happy to provide a more detailed budget for the entire event. Eagle Valley Events, Inc. would charge a base fee of $15,000 for this project. Established property Management Company to promote, book and manage events at the Donovan Pavilion and The Grand View, multi-use events facilities in Vail. The facilities host approximately 120 special events per year including weddings, social functions, corporate meetings and events and non-profit functions. 2000 - 2002 Communications Coordinator, Eagle County School District Served as Communications Coordinator for the administration on a part-time basis. Duties included issuing of press releases, advertising coordination with school principals, administrative and district staff, promotion of District throughout Eagle County. 1999 – Present Established Eagle Valley Events, Inc. Established private event Production Company based in Eagle County with the goal of promoting and producing public events throughout the mountain region. Our company produces the Vail Arts Festival and has produced Top Shelf Harvest and the Vail Italian Festival.
