Vail Local Marketing District Lodging Liaison
Background
The Vail Local Marketing District Advisory Council (VLMDAC) is a 9-member council appointed
by the Vail Local Marketing District (VLMD), to plan and manage summer and shoulder season
marketing programs, funded by a 1.4 percent Vail lodging tax passed by the voters in 1999.
The service area and general boundaries of the District are the present legal boundaries of the
Town of Vail, Colorado. The types of services to be provided by and within the District are as
follows:
●(i) organization, promotion, marketing and management of public events;
●(ii) activities in support of business recruitment, management and development; and
●(iii) coordinating tourism promotion activities.
Opportunity
The Vail Local Marketing District (VLMD) would like to bring in a Lodging Liaison to engage the
local lodging community on various subjects and issues and to enhance communication.
Through this effort, the lodging liaisons should bring the lodging community in closer alignment
as regards the activities of the VLMD. The lodging liaison will collaborate with lodging sales and
marketing representatives to form a collective voice and gain insights to inform the VLMD’s
marketing effort.
Duration: October 1 – December 31, 2020
- RFP will be published later for 2021 contract
- This position will require annual appointment
Payment: $12,000
Scope of Work
Including but not limited to the following:
●Create and represent “Lodging Community Alliance”
○Cultivate effective relationships with each participating lodge leadership
representative(s)
○Gain consensus on key issues and report out to VLMD
○Organize quarterly Lodging Round Tables (in conjunction with VR, VCBA and
VVP)
○Be a collective voice at civic meetings including but not limited to Town Council,
VLMDAC, etc.
○Increase awareness of VLMD efforts, goals and results in lodging community
○Monthly email communication with lodging community
■Provide monthly and quarterly market performance reporting to properties
■Survey of lodging properties as needed
■Share VLMD metrics and resources that relate to Lodging Community
●VLMD Partner Collaboration
○Collaborate with VLMD partners and lodges on tactical efforts
○Inform VLMD marketing strategy with lodging community priorities and success
metrics
●Assist Town of Vail/VLMD with increased visibility, offers and information on lodges
●DiscoverVail.com Lodging
○Manage the lodging listings on Discovervail.com via Book Direct
○Explore retail/lodging offerings on DiscoverVail.com
○Consider creation of non-branded lodging landing pages on DiscoverVail.com
○Create content to enhance lodging presence on DiscoverVail.com
●Database Growth
○Support lodging collaboration with Adara to ensure highest lodging participation
and connection.
○Work with partners to develop and support plan for database growth as it relates
to Lodging Community
○Work with partners to develop and report on quantifiable deliverables
○Ie: Develop KPIs for growth using lodging property resources and report
out monthly
●Town of Vail Collaboration
●Assist Town of Vail economic development staff with regular outreach to lodging
community
●Assist TOV/CSE/Event promoters with connections to lodges for bookings and
tracking
●All work will be evaluated bi-monthly via benchmarks that are set between VLMD and
Lodging Liaison
Independent Contractor
Contract for services will be as an independent contractor. All personnel assigned by contractor
to perform work under the scope of work shall be, and remain at all times, employees or agents
to perform the services outlined in the scope of work. Contractor agrees to procure and
maintain, at its own cost, a policy or policies of insurance sufficient to insure against all liability.
Submittal Requirements
●Statement of qualifications: brief statement covering experience, client list and
references including specific Goals and KPI’s
●Relevant experience in Hospitality
●List of recent references with contact information
Selection Criteria
The successful individual will demonstrate the ability to best fulfill upon the scope of work based
on the review of what is submitted.
Timeline
RFQ Question and Answer Period August 27, 2020
RFQ Due Date September 7, 2020
Selections Made No Later Than September 14, 2020
