Timber Ridge Operating Committee Agenda Regular Meeting Tuesday, June 26, 2018 8:30-9:30 AM Town of Vail Municipal Administration Conference Room 75 South Frontage Road West, Vail, CO 81657 Members Present: Members Absent: Greg Clifton John King Greg Hall George Ruther Kathleen Halloran Staff: Lynne Campbell Agenda: George Ruther called the meeting to order at 8:35 AM. 1. Review and Approval of May 29, 2018 Meeting Results Motion: Kathleen Halloran Second: George Ruther Vote 4-0 (Hall wasn’t present for vote) 2. Building M Renovation Update David Leiby, Corum, stated project on track to complete by July 7th. Retexturing and firewalls are completed in all units. Painting is to be done on Thursday June 28th. Baseboard is installed in 15 of the 18 units. Some doors need replacement which was not anticipated. Currently budget is on track. Kathleen Halloran asked if turnover access is still an issue. Per Cecily Crampton and David Leiby upper management VR will provide a window from move out to new check ins for Corum to do inspections. 3. Laundry Room Water Heater Replacement Update Fred’s Plumbing and Heating was hired to do emergency repairs. Work was completed on June 20th. A permit has been pulled which is exempt from fees as Timber Ridge is a Town property. 4. Lion’s Ridge Apartments Rockfall Mitigation – HP GeoTech Update David Leiby has received a $7-8K proposal from HP GeoTech to do rockfall mitigation report. David will forward report to all members. He requested the work scope be similar to Lions Ridge Apartments. King suggested moving forward with the report and stated work most likely would be done next year as it will be difficult to find someone this year. Halloran will mark 8K for supplement as this cost was unbudgeted. 5. Other: Kathleen Halloran mentioned the outstanding VR storage is not included in lease. Greg Clifton is discussing with VR tonight and sought clarification of changes and storage usage. VR is using 6 storage spaces located in 3 different buildings. VR had been approached previously to give up a parking space which they were not in agreement. The additional 2 week delay will cost $12,150.00 in lost revenue that was not budgeted. Painting has begun on the second floor and is anticipated to be completed by Thursday of this week. Flooring installation and cleaning is anticipated to begin Monday of next week. We will be working through the weekends to ensure a 7/23/2018 turnover date. We did experience more trouble with my paint sprayer forcing us to purchase one while mine is being repaired. The paint sprayer belongs to the property. Thanks and Have a great day! After the last meeting, we had a few plumbing issues mainly with O-01. We also experienced electrical repairs needed in O-03 and L-06.Normally we would contract out but we have had a very difficult time getting contractors on-site. In most cases, I have heard a “couple weeks just to get on the schedule.” We have also experienced down time with the paint sprayer as we have had to train someone to use it. The majority of the work is completed. The work remaining is as follows : 1) Complete painting of 12 units 2) Flooring installation 3) Cleaning of 18 units Thanks and Have a great day! We lost our painter and our best all-around temp last Friday. The second floor has been completely painted and the third floor has two units completely painted as well. The final 4 units are being prepped for paint now and should be ready for paint mid-day tomorrow. Flooring installation has begun as of today, 3 units will be completed by the end of today. Cleaning will begin as soon as each unit has its flooring installation completed. Arbor carpet has scheduled all the flooring as quickly as they could but will not be able to complete all the units until July 31st. I plan on speaking with Vail Resorts to turnover units to them as they are completed instead of the normal building turnover. If they are agreeable to this, it will cut down on any possible extra concession having to be given. I will update the group once I hear back from Vail resorts Management. The first 4 units will be delivered tomorrow and the last of the units will be turned over on 8/1/2018 due to flooring complications. We will be turning units over roughly every 3 days or so. Using conservative estimates, the project will come in a few thousand below budget due to the contractor cost for work versus on-site staff work performed. The conservative estimates include the extra concession having to be given to Vail Resorts due to delays. The projected savings may be more considerable than a few thousand once the project is complete. Once we have finished, I will send a comprehensive cost analysis to show the actual savings total.
