We Make The Details. 1:4 RULES & REGULATIONS TPP is excited to present the following Guidelines for hosting an outdoor event during these Covid-19 Times. We all know a vaccine would be the best scenario, but in the absence of one currently, here are the measures we are proposing in order to get back hosting outdoor events, in a safe, socially distanced, and clean setting. These guidelines are designed to require that all outdoor events follow current social distancing guidelines as outlined by the CDC and local health officials. Please keep in mind that as event producers, we want our patrons, vendors, sponsors, and partners to have a safe, fun, profitable, and incredible experience. We all realize that these events may not look like what they would have prior to Covid-19, however in an attempt to bring back events to all partners and get the events industry up and running, concessions will need to be made. We ask that you comply. GENERAL GUIDELINES FOR ALL In order to provide the safest and best Event Experience, we require each participant to observe the following rules: •Take personal responsibility. Don’t put others in harms way. •If you are sick, running a fever, or have been exposed to COVID-19, please stay home until you are healthy. •For the safety of others, We Require that you bring a mask and personal sanitizer. •Temperature monitors available at each entrance. •6ft social distancing required between all patrons/partners. •Social Distance Deputies – monitoring that everyone is following proper social distancing procedures. No reason to be rude but just a friendly reminder to be aware of spacing for your own safety. •Prominent signage throughout your venue highlighting the rules and providing reminders of social distancing measures. •Spacing markers required in areas where queues/lines are created. •Timed admissions: To maintain compliance with mass gathering regulations, producers are required to ticket all events, designate specific times of entry, and thus can limit crowd size. We Make The Details. 2:4 GENERAL GUIDELINES FOR ALL (CONTINUED) •For ticketed events: Patrons purchase the ticket that coordinates with the time they wish to attend. Once this timing expires, the next gathering of ticketed attendees can enter. This can be regulated by event staff and security along with running clocks and announcements. Think of Speed Dating. •No tickets will be transferrable. Your ID must match the name on your ticket. No Exceptions, All Others will be denied entry. This is to avoid extra touching of a ticket as well as a Will Call scenario. •For Free events: Patrons register online for the time they wish to attend using the event producers designated ticketing platform. The same process would occur for ticketed events for regulating attendance. As people leave early, one in and one out process may occur. A perimeter would need to be established to execute, however, if serving alcohol, it would already exist. •By ticketing all events, Rules and Regulations can be communicated via ticket copy as well as email communications. •Provide separate entrances and exits, with staff members counting visitors to control the number of guests at one time. •Souvenir glass/cups/mugs are not permitted. All sampling cups must be recyclable/disposable and handed out from the sampling booth. •Event producers to provide accessible sanitizers throughout the venue. Rule of thumb: 1 unit per 10 patrons. A 250 person event = 25 wiper dispensers or pump hand sanitizers. •May designate Sanitizer Marshalls who walk around and provide sanitizers to patrons upon request. •Event producers may elect to hand out at the door as a swag item. VENDOR & SPONSOR GUIDELINES In addition to complying with the guidelines outlined above, Vendors, Sponsors and all Employees must adhere to the following: •Required to wear masks and gloves at all times (PPE). •Provide disposable/recyclable servings items. •Maintain a 6-foot separation between employees and patrons. Consider 6ft markings for queues. •Encourage Credit card transactions only. NO CASH accepted. These may only be regulated per state discrimination laws. We Make The Details. 3:4 VENDOR & SPONSOR GUIDELINES (CONTINUED) •Conduct mandatory cleaning and disinfecting protocols. •Clean and disinfect all high touch areas frequently. •Provide proper sanitizing agents to keep counters/tables/surfaces and all items that may be handled by a patron sanitized. •Handwashing sinks for employees per standard health dept. regulations. •Err on the side of excess. •All booth spaces must be separated by a minimum of 8ft. This will allow booths to operate out of multiple sides and encourage further customer separations. •Create signage within your space for employees and customers regarding health protocols and social distancing rules. •Temperature checks before and during shifts. •Require employees with symptoms to stay home. •Encouraged yet optional: Install plastic protective shields to provide protection between employees and customers. ADDITIONAL RECOMMENDATIONS •Event producers should have a sanitation station (back of the house) equipped with back up sanitizers, wipes, disinfectants, masks, gloves, soap, towels, etc for those vendors who either run out, forget something or simply neglect to read. After all, we are event producers……BE PREPARED! •Assign a Covid-19 Event Czar. Their sole responsibility is to ensure that everyone is in compliance and not ruining it for others. They should train deputies with specific roles. This “Czar” will be the point person for City and Health Officials. •Signage, signage, signage! We all know people don’t read however that doesn’t excuse event producers from informing patrons who do. This also protects event producers from potential fallout in the future. •Consider removing all seating and tables to avoid contaminated areas. This will also protect from the Colemans extending their allotted timeframe. •Event Safety Rating: Implement a rating system called the Event Safety Rating (ESR). This would be a rating system measuring how each event is complying to these guidelines. Example: ESR of 100 would be a perfect score. Events must maintain a 70 or higher to continue operating the day of the event. They can be given an opportunity to correct a score that falls below 70. If a final score at the conclusion of an event falls below 70, they will not be permitted to produce another event during this current time. HOW TPP CAN HELP TPP is prepared to lead the way in implementing these guidelines within its own event lineup should the time come to reintroduce events in Colorado. In addition, we are prepared to educate and ensure compliance with these standards to all event producers in the following manner in order to assist a local government agency. •Videos on preparations, protocols, and implementation. •Resource for Q&A and guidance. •Application and acceptance procedures. •On-site regulations and ESR reporting. •Conduit to the local government agency. These rules may be adapted as CDC, State, and County guidelines are lifted. 4:4
