Does the event or program benefit a charity or organization? Yes 22a. Please name and describe the beneficiary The Vail Mountaineer Hockey Club is a non-profit youth hockey organization that was started in 1975. VMHC provides youth hockey opportunities for all ability levels in the Eagle County area for both boys and girls. In addition to individual and team skills development, the Mountaineers seek to create an environment where all members embrace the values of the "whole" child including such life skills as sportsmanship, mutual respect, responsibility, teamwork and friendship. Our teams include both competitive travel teams and recreational in-house programs and we work to instill the principals of respect and sportsmanship in these teams while emphasizing fun in a safe and healthy environment. The purpose of the club is to sponsor and operate an organization of youth players and families following guidelines, rules, regulations and policies of USA HOCKEY, the state affiliate, Colorado Amateur Hockey Association (CAHA) and respective VMHC member leagues. The VMHC is one of the region's premier youth non-profit entities which provides a material on-going benefit for local youth, local businesses and the community at-large. Currently, we provide a world-class experience for approximately 200 players and families within the Vail Valley. Through our scholarship fund, called The Gift of Hockey, we are dedicated to bringing children who cannot afford the sport of hockey into our organization for a chance to do what they love and develop as both and athlete and a young adult. The program has established a fiscal policy, which mandates that 60% of program fees be generated through player registration. The remaining 40% is "subsidized" through various fundraising initiatives. As such, we are highly dependent on partnerships within the community and our volunteers, and in these unprecedented times, that is more true than ever before. Funding requests are submitted to support ongoing efforts to create a program of excellence for the youth of our community. The club works closely with both Mountain Recreation and the VRD (Vail Recreation District) who manage the ice rink facilities in Eagle and Vail. The club purchases ice time at both of these ice rinks and strives to maintain a geographic balance to the program throughout the valley. In addition, the club provides coaching assistance to these organizations for their in-house hockey programs. Hockey is a wonderful sport for all ages. For 45 years, the club's programs have created great experiences for our skaters, coaches, and families. In order to ensure that that continues, we are working closely with the Eagle County Public Health officials and government officials alike to creatively and safely support the physical and mental health and wellness of our hockey-loving valley's youth. We look forward to continuing to encourage involvement in youth hockey and welcoming new generations of players into the club that we have no doubt will make memories that will last a lifetime. EVENT DESCRIPTION 1. Is this a new or existing event/program in Vail? Existing 1a. How many years has the event or program been produced in Vail? 3 1b. Please describe the location(s) of the event or program in previous years. In 2017, our Top Shelf Casino Night was hosted at Donovan Pavilion. It was our first year hosting an event of it's kind. In 2018, Top Shelf Casino night became one part of a weekend of events called Pucks, Parks, and Poker. In it's inaugural year, everything was held at Dobson Ice Arena. Last year, we changed the name to Avalanche Alumni Weekend and kicked things off on September 13. Top Shelf Casino Night was held on Friday, two youth hockey clinics coached by Avalanche Alumni were held on Saturday, a Meet and Greet at Grey Salt in Solaris was held on Saturday, and the Avalanche Alumni vs. Vail Yeti hockey game was held on Saturday evening. We also covered tee time costs at the Vail Golf Club for 5 foursomes on Sunday, 9/15/19. This included golf enthusiasts from our group of Avalanche Alumni and staff as well as interested sponsors. This year, we were slated to host the event at Dobson the weekend of September 11. Due to COVID and the limitations of event sizes, the event was postponed. We are still hopeful to find a weekend during the current hockey season to host our Avalanche Alumni Weekend, but cannot move forward without guidance from Public Health and the State of Colorado. 2. Please provide a detailed description of the event/program and its activities. Avalanche Alumni Weekend takes place the second weekend of September each year (under normal circumstances). We kick if off on Friday nights at Dobson with our Top Shelf Casino Night that features gambling, food, custom merchandise for sale, a DJ, and an incredible silent auction that usually raises over $20,000. On Saturday, our Mountaineer coaches team up with the Avalanche Alumni to get on the ice for two separate youth hockey clinics. That afternoon we hold a Meet and Greet with Avalanche Alumni at Grey Salt in Solaris, where hockey fans from all over can chat with and take photos with their favorite players and announcers. On Saturday evenings we end on a high note with an exciting hockey game that features not only the Avalanche Alumni facing off against the Vail Yeti, but includes Jake Schroeder singing the national anthem, Kyle Keefe and Marc Moser of Altitude TV and radio doing the announcing and commentating, six Ice Patrol members, and even Bernie, their mascot. New last year, Avalanche Alumni Hall-of-Famer, Joe Sakic laced up his skates and joined the rest of the guys on the ice, including well-known Avalanche Alumni players like John-Michael Liles (Vail Resident and VMHC Board Member), Pierre Turgeon, Cody McLeod, Peter Budaj, Stephane Yelle and Duvie Wescott (who literally said in 2019: we can't wait to get back up to Vail, it's paradise up there!). Because the players and Avalanche staff alike have had such memorable experiences at our event, the Colorado Avalanche Alumni Association has already confirmed their continued partnership with us and we plan to work together with them whenever we are given the go-ahead to reschedule it for the current hockey season. 3. Please list the specific venues that you plan to utilize, including dates and times, and whether or not you have contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary venues. As our county, state, and country are appropriately focused on keeping our citizens and communities safe, our event for 2020 had to be postponed. We do hope to host it at some point during the current hockey season and then will start planning for 2021. In a world without restrictions due to COVID, we plan to host Avalanche Alumni Weekend as we have in the past. Details below for what that would look like if we are able to move forward: 9/10/21 - Top Shelf Casino Night at Dobson Ice Arena (potentially 6-10pm) 9/11/21 - Daytime- youth hockey clinics with VMHC coaches and Avalanche Alumni at Dobson Ice Arena (potentially 12-3pm), Meet and Greet with the Avalanche Alumni at Grey Salt in Solaris (potentially 12-3pm) 9/11/21 - Evening- Avalanche Alumni vs the Vail Yeti in a hockey game at Dobson Ice Arena (potentially 7-10pm) 9/12/21 - Host interested Avalanche players and staff, as well as high-level sponsors at the Vail Golf Club. We would also like to discuss our options with the Town of Vail on where to hold a FREE street hockey initiative called Game On that would be organized in conjunction with our partner, the Colorado Avalanche Alumni Association, during Avalanche Alumni Weekend. Game On is the Colorado Avalanche's fully-mobile street hockey initiative, with the main goal of growing the game with kids of all ages. It is a fully funded program by NHL Industry Growth Fund. Each participant receives an Avalanche-branded street hockey stick and ball upon completion of their session and is able to play inside the mobile-inflatable bumpers that measure approximately 50x20 feet, although the dimensions can be modified to fit any area. In 2018, they had 10,000 sticks and balls in their inventory. They also have a pick-up truck and 26-ft trailer that is fully branded for the Avalanche, that shows up to all of these events as well as an inflatable A (the Colorado Avalanche logo) that measures at least 20 feet high and 20 feet wide for kids can practice their shooting into. We would like to find an appropriate location, near to Dobson, for this fun off-shoot of our weekend of events. We would like it to be located near to foot traffic and in either Vail Village or Lionshead. The most suitable time and location would be during the day on 9/11 in front of Dobson with the north side of the bus roundabout re-routed to the south side of the roundabout after securing TOV special permits approval. With this location, we could host our youth hockey clinics on the ice inside of Dobson, and host the family-friendly street hockey initiative on the concrete in front of Dobson at the same time, drawing people to spend the afternoon in Vail. If we are unable to secure the area in front of Dobson, we would request to use the Solaris rink during the day on 9/11, if available. 4. Do you plan to use Vail Recreation District Facilities? Yes 4a. Please attach letter or email confirmation from Vail Recreation District if using VRD facilities. Letter from Jared regarding AAW 2021.pdf 5. If any of the event/program takes place outside of the Town of Vail, please explain where the event will take place and why. n/a ENVIRONMENTAL PRACTICES 1. Which of these environmental practices will you commit to executing at your event/program? Remind guests to bring re-usable bags and water bottles, Encourage use of bicycles, buses, shuttles, carpools, walking or public transit to event, Enforce no idling policy for staff and guests, Recycling required in all areas of event, Use eco-friendly serving utensils (compostable or recyclable), Provide water bottle filling stations, Provide secure bike parking area 2. Please describe your commitment to environmental sustainability and detail measures that will be taken during your event to ensure minimal environmental impact and sustainable best practices. Recycling dispensers are utilized at Dobson Ice Arena for any events there. Our VMHC hockey players, as well as our clinic participants, are encouraged to bring their own water bottles and if needed, fill up at the water bottle stations at Dobson. In an effort to reduce our carbon footprint, we promote the use of both public and private group transportation and carpools. Our Board of Directors is very conscious about the impact on the environment and primarily communicates via email and digital attachments instead of unnecessarily printing out our agenda and documentation for meetings and board communication. Our Fundraising Director values environmental sustainability as well and when able has chosen to focus on sending documentation via email for sponsorship requests and correspondence instead of printing out a seven-page packet for each potential sponsor. However, VMHC's leadership would be open to ideas to show our commitment to environmental sustainability, and we would welcome guidance from the TOV on how we can do better in this area. EVENT/PROGRAM PARTICIPANTS 1. Number of participants (athletes, artists, exhibitors, etc.) anticipated 350 2. Number of volunteers needed 50 3. Number of event/program staff 2 4. Estimate of total number of spectators/attendees anticipated 1,400 SCORECARD CRITERIA QUESTIONS 1. Estimate the number of destination guests from within Colorado, with a focus on the Front Range that your event/program will bring to Vail 150 2. Estimate the number of destination guests from outside Colorado your event/program will bring to Vail 10 3. Estimate the number of international guests your event/program will bring to Vail 0 4. How will your event/program increase sales tax in Vail? In 2019, our Avalanche Alumni Weekend brought in 64 Avalanche Alumni staff, players and their families who all drove in using their own vehicles, from the front range. We booked 17 rooms at the Antlers, 7 rooms at the Evergreen Lodge in Lionshead for the weekend, and 1 room at the Four Seasons Vail for Saturday night. Our guests bought food and drinks at Yeti's grind, Vendetta's, Shakedown, Starbucks, Bol, Remedy, Bridge Street Bar, Red Lion, Antlers, Altitude Bar and Grill and Tavern on the Square. Players, members, and guests gathered at Grey Salt in Vail and spent almost $5000 at our Meet and Greet and over the weekend. We covered tee time fees for 5 Sponsor and Avalanche Alumni foursomes to spend the day on 9/15, playing golf, as well as eating and drinking at the Vail Golf Club. 5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council? With a vision to make Vail a premier International Mountain Resort and a mission to 'grow a vibrant, diverse economy and community and preserve our surrounding natural environment, providing our citizens and guests with exceptional services and an abundance of recreational, cultural and educational opportunities,' it is clear that the Vail Mountaineer Hockey Club and it's Avalanche Alumni Weekend are both in alignment with the Town of Vail's priorities. At our core, the VMHC offers recreational opportunities to approximately 200 local families through youth hockey, while providing the Gift of Hockey scholarship programs for those who are unable to afford the associated costs. We are dedicated to educating hockey players, parents and families about the life skills of sportsmanship, mutual respect, responsibility, teamwork and friendship and emphasize character development of the whole child. We have provided events that encourage non-locals to visit our vibrant community and have done so for 45 years. We also share your TOV mission by our commitment to vibrancy in the 4th of July Parade. Each year we enter an Award Winning Float in our category. VMHC players are proud to walk in the parade, hand out candy, and wave our colors to show our Vail Mountaineer pride. Whether our members and guests visit Vail for our tournaments, league games, practices, clinics, or fundraising events, we are vested in supporting the development of healthy youth in the beauty of the mountains that our membership calls home and are grateful to the Town of Vail for providing opportunities for non-profits like us to thrive. 6. CRC - Brand Fit: How will your event or program support the Vail brand identity? The Town of Vail has established itself as a Premier International Mountain Resort Community with the values of Respect, Trust, Integrity, Innovation, Collaboration, and Environmental Stewardship, and the Vail Mountaineer Hockey Club proudly supports that. Our one-of-a-kind town is represented in our own brand identity and values, not only because we share those values in our own mission, vision and value system, but we honor it in both our name and our logo. Our teams are comprised of hockey players from up and down Eagle County from Gypsum to East Vail, but we have "Vail" in our name and feature it in our logo for a reason - we recognize it's significance and are proud to support it. We are the biggest customer of Dobson Arena, spending over $60,000 a year in ice payment and dasher boards; we bring in hockey players, fans and families who may not otherwise visit our town; we work to collaborate with brands like the Colorado Avalanche and other front range businesses to bring awareness to our community; and we plan to continue this and much more for our next 45 years. 7. CRC - Event Timing: How is it the right event/program at the right time? The Avalanche Alumni Weekend has established a working relationship with the Colorado Avalanche Alumni Association who had been interested in collaborating with a mountain town since things ended between their organization and Aspen. In email correspondence in 2018 between their representative and our Fundraising Director, Trista Sutter, we were told: "And just so you know, the Avs are extremely excited to work with Vail on this very special weekend for our guys. We look forward to making Vail's weekend even better 'than it was in Aspen'. And that comes from the top of our organization." Last year, I received a text from their coordinator saying: "It's the perfect event for our alumni association! The guys continually look forward to it each year and have nothing but positive remarks afterwards. This event, especially this year's, is helping us grow our association which will lead to more opportunities for our guys and local communities." These comments not only demonstrate their excitement about the event, but also show that we ARE the premier mountain resort town and the timing is perfect to engage the Avalanche Alumni and foster our relationship for years of partnership to come. In addition, even though we have had to make the difficult decision to cancel our September 2020 plans for Avalanche Alumni Weekend, the Avalanche Alumni Association is very much still looking forward to making it work during the 2020-2021 hockey season when we are (hopefully) given the go-ahead. They are not deterred and still remain just as excited about our partnership as they were the first year. 8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and community members? The Avalanche Alumni Weekend event draws in local community members and hockey fans from across the region by giving them the chance to support youth hockey while rubbing elbows with some of Colorado's favorite NHL players. In 2019, not only were we able to appeal to Vail Yeti fans who were excited to come out and support them, thus getting them out on the town on a slow Saturday night in mid-September, but we were able to secure a larger roster of past NHL players, including Joe Sakic! 9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new programming, entertainers, adding additional days and activities.) In partnering with the Colorado Avalanche Alumni Association for Avalanche Alumni Weekend, we brought and will continue to bring an entire weekend of new activities that had not been featured in Vail prior to 2017. Last year, the roster of Avalanche Alumni players was elevated to include Peter Budaj, Cody McLeod, and most notably, Joe Sakic and we hope to continue to add to this list each year. We'd love to find a weekend that didn't conflict with Oktoberfest so that we could feature the Av's Game On Initiative and possibly take some of our events to Solaris and the heart of the Vail Village. 10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration? For Avalanche Alumni Weekend, we are lucky enough to have INCREDIBLE parent volunteers who helped with plans and ideas from the start of planning through the day of each event. Last year, they rallied together to help our volunteer Fundraising Director execute the details and did so with a supportive and celebratory spirit. Some of those details included involving the Avalanche's Ice Patrol and Bernie, the Avalanche's mascot, Jake Schroeder (he sings the National Anthem at Avalanche games) and getting Kyle Keefe and Marc Moser up here to get our crowd excited during Casino Night and the hockey game. Being that our fundraising is for the benefit of our children, we made sure that the kids were included and felt a sense of fun and pride in helping us raise money for the club. They participated in super fun relay races during the first intermission of the Avalanche Alumni vs. Yeti hockey game and walked through the crowds asking guests for donations in exchange for a puck for our Chuck-a Puck competition during the second intermission. We also added a few fun opportunities that we will undoubtedly continue in years to come. First, Grey Salt in Solaris hosted a Meet and Greet for fans to meet their favorite NHL alumni and get autographs and pictures. Stacey Gillett, the owner of Grey Salt, hired a DJ and provided food and drinks and fans as far as the front range showed up. One of them reached out to Trista Sutter following the weekend to thank her for setting it up as she was able to meet her "celebrity crush" - Marc Moser! We also decided to auction off the opportunity for 3 lucky people to act as Guest Coaches and not only sit on the Avs bench during the game, but also give speeches to the players in the locker room between periods. One of them was only 12 years old! Additionally, 5 lucky youth hockey players were given the chance to skate on the ice during pre-skate before the game, and stand with the Avalanche Alumni players during the singing of the National Anthem. The parents and kids couldn't stop smiling because it was such a special moment. 11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more marketing questions in a future section. (Reach refers to the total number of different people or households exposed, at least once, to a medium during a given period.) In 2019, our Avalanche Alumni weekend of events was promoted via the following outlets: Vail Daily ads for 3 weeks leading up to the event (reach = an estimated 40,000 readers per day), Radio spots that ran for 3 weeks and 2 interviews on KZYR, Posts on Colorado Avalanche Facebook FanPages (Colorado Avalanche Fans with 18,381 members, Avs Family with 1454 members, Colorado Avalanche Territory with 903 members, and Colorado Avalanche Avs Fans Forum with 366 Members), Posts on local Facebook groups (Vail Moms with 5893 members, Vail Mommies with 667 members, Eagle County Classifieds with 26,328 members, Breck Buy & Sell with 10,098 members, Promotion of the event on www.VailMountaineers.com and our social media accounts. Community flyers placed in local business windows and community bulletin boards, including recreation centers, Grey Salt, Perch, Skipper and Scout, Yeti's Grind, Dobson, Vail Health, and over 50 other locations from Vail to Gypsum. Instagram posts (@TristaSutter had 237k followers and an average of 20,000 views per story), Twitter posts (@Avalanche posted on 8/31/19 and 9/14/19 to 493k followers with all posts mentioning Vail; John-Michael Liles - @hoosierjm26- he posted multiple times to 64.3 followers; Marc Moser @marcmosertv posted multiple times to 18.9k followers; Kyle Keefe - @kylekeeftv- posted multiple times to 9,960 followers; Avalanche Amateur Hockey @COHockeyAvs posted on 9/3/19 to 129 followers, Darwin McCutcheon @OwnBeaverCreek posted on 9/4/19 and shared with 109 followers.) We know we were able to reach as far as Massachusetts as our silent auction received high bids from an Avalanche Fan there. 12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract sponsorship support? Over the two years of 2018 and 2019, VMHC implemented a successful multi-level sponsorship program for Avalanche Alumni Weekend with consistent sponsors and a system for our silent auction during Top Shelf Casino night and registration for the weekend of events. Each year, we strive to improve our event but are proud to have established a baseline and are able to focus on the priorities of obtaining sponsorship and getting the word out via our Fundraising Director and parent volunteers' contacts in the regional media world. We also intend to leverage the success of the event with the Avalanche Alumni and work closely with them to push out the event to their following. 13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to sustain and grow the event. Trista Sutter was elected to the Vail Mountaineer Hockey Club Board of Directors in April, 2018 after serving as the hockey manager for her son Max's first hockey team during the 2017-2018 season. She was then appointed as the Fundraising Director by the board and began to learn about her duties in May 2018, which included planning all fundraising events, grant writing, marketing, and securing rink board sponsorships. Trista has served the community in numerous committees and boards over the past 18 years, taking part in philanthropic event planning as a community member for the Black Diamond Ball; participant of the Star Dancing Gala; TedxVail speaker; judge, host, and designer of Project Funway; model in GirlPowHer fashion show; host of Evening of the Stars; host and featured participant of the Vail Undressed Calendar; trustee for the Education Foundation of Eagle County; board of directors for SheLift; and numerous roles at Eagle County schools including serving on the 3A Finance Accountability group, Wild West Days committee, Avon Elementary School PTA and Accountability groups and the committee to hire the Avon Elementary School Principal; as well as attending dozens of local events, like the Vail Veterans Program event at the Vail Fire Station. She has worked with Vail Resorts as an ambassador to the Vail valley after appearing on ABC's hit prime time show as the original "Bachelorette". On the finale that aired in 2003, Trista was engaged to Ryan Sutter (who recently retired from Vail Fire after 17 years of service) in which 31 million viewers tuned in to watch. They have been featured on multiple "The Bachelor" and "The Bachelorette" specials since then, getting married at Rock Resort's Ranch Mirage in December, 2003 and renewing their vows at SaddleRidge in Beaver Creek in December 2013. They have also brought numerous television productions to the Vail valley, including the Travel Channel for "Trista and Ryan's Honeymoon Hotspots", HGTV for a pilot called "Rocky Mountain Reno", and Gatorade's "Inside Endurance" series. Trista has worked in marketing for the past 18 years, building connections in the worlds of public relations, television, radio, non-profits, and social media advertising, that she utilizes for VMHC and their fundraising events. She is proud to call the Vail Valley home, and can't imagine raising her children, Max and Blakesley, anywhere else. In addition, Trista is lucky enough to be backed by the support of dozens of parent volunteers and friends, both locally and regionally, who generously offer their time and expertise from the worlds of graphic design, marketing, event planning and non-profit work. 13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. Over the past 7 months, we have all had to adapt to a new normal and our organization and events are no different. We work closely with public health officials and community partners on determining the best way to ensure the safety of our members while advocating for the benefits of youth sports on their mental and physical health and well-being, and will continue to do so. Our partner for this event, the Avalanche Alumni Association understands the obstacles we face with limited numbers and social distancing because we are all in this together. They share our hope that we will be able to host the event with key Avalanche Alumni members and once we are given the green light, we will work hard to produce an event that will build on the success of past years, regardless of the date. 13. EE - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. n/a EVENT ECONOMIC IMPACT 1. Potential benefits to the Town of Vail - Estimate number of room nights for your event or program. 60 2. Potential benefits to the Town of Vail - Potential benefits to the Town of Vail - Estimate increased spending generated by your event or program. $140,000 Example: Increased spend by attendees in restaurants, shops, lodging or activities. 3. Potential benefits to the Town of Vail - What estimated return on investment (ROI) in dollars should the Town of Vail expect? $140,000 ROI in this case refers to for each dollar the event/program is funded, how many dollars will be received by the Town of Vail from event impact.) Example: Estimated ROI - Formula: # of attendees x total average spending = $ (2000 attendees) x ($240 daily spend ) = $480,000 4. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges. For the 2019 Avalanche Alumni Weekend event, the VMHC partnered with Evergreen Lodge in addition to Antlers in Lionshead due to their proximity to Dobson, which was the venue for all of our events. The Antlers was our primary location for Avalanche Alumni and their families while the Evergreen Lodge was where the Staff stayed for the weekend. Joe Sakic was booked at the Four Seasons Vail for Saturday night. When we marketed the event on Avalanche Fan Facebook Fan Groups, we listed the Evergreen Lodge's code for the weekend and encouraged out-of-towners to book there. These were the only options provided to inquiring guests or in facebook outreach. We hope to continue our relationship with Antlers and Evergreen Lodge and will work closely with them to keep track of bookings for that particular weekend. BUDGET Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses. 1. Describe how you will use the funds requested from the CSE. The $10,000 being requested in this grant will go to cover the $10,000 appearance fee paid to the Colorado Avalanche Alumni Association. Their involvement in our Avalanche Alumni Weekend event is crucial as it was the reason we were able to garner the interest and attendance that we did as well as many of the sponsorships. Approximately 1,100 people came out to watch them play against the Vail Yeti in 2019 and we consider that a significant success, especially with numerous local events taking place in the Vail Valley as well as the start of the Colorado Avalanche Training Camp in Denver. We would not have been able to raise even close to the almost $55,000 that we raised without their support, assistance and participation. We would greatly appreciate the financial assistance to cover their fees as our expenses were much higher last year due to the popularity of the event and the subsequent increase in the number of Avalanche Alumni, staff, and their families who attended. 2. Please upload the provided complete event/program budget template here. Avalanche Alumni Weekend Profit Loss.pdf 3. What percentage % of the total event/program budget is the CSE being asked to fund? 25 4. If the event/program is not funded at full request, how will the event change with a lower funding allocation? In the event that all COVID restrictions will be lifted in 2021, the Avalanche Alumni Weekend event for will remain in place even if funding comes in at a lower amount than requested because we value our partnership with the Colorado Avalanche Alumni Association and want to continue to provide our locals with this unique and exciting opportunity while raising funds to support youth hockey in the valley. VMHC will continue to diversify funding streams by seeking out additional fundraising opportunities, an individual donor base, corporate sponsors, and grant opportunities. VMHC will continue in its mission to serve youth in the valley, which is clearly in alignment with the TOV, regardless of the CSE funding. 5. Should the CSE decide not to support this event/program at all, will it still occur? Yes 6.What dollar amount of the total event/program revenue do you expect the event itself to generate? (ticket sales, merchandise, food and alcohol sales, etc.) 55,000 7. Do you intend to host the event or program in Vail beyond 2021? Yes 7a. How many years beyond 2021? 4+ 7b. Do you anticipate requesting funding from the CSE for 2022? Yes MARKETING Please upload your event/program marketing plan and budget, include strategy, channel, method, budget and execution dates. Avalanche Alumni Weekend Profit Loss.pdf 1. Objectives: What are you trying to accomplish through your marketing efforts? The VMHC does not currently have an official event marketing plan as we run these events utilizing parent volunteers. The club has strategies and procedures in place to ensure success, as well as a strong volunteer base of professional families supporting the club in various ways. Every year we assess the capabilities of our team staff and volunteers, then construct a plan that leverages the individual and collective strengths of all. Bottomline, our goal is to spread the word about our fundraising events to surrounding mountain towns and the front range in order to raise the funds we need to support our membership, provide scholarships, and grow the sport of hockey. 2. Strategy: How will you meet your objectives? With a successful two years of Avalanche Alumni Weekend completed in 2018 and 2019, we plan on implementing a similar plan (when allowed) with a fresh focus on marketing, awareness, and sponsorships thanks to a committed Fundraising Director, Board of Directors, Executive Director, Director of Hockey Operations and a strong, engaged parent volunteer base. 3. Audience: Who is your audience? (You may choose more than one.) First time visitors, Returning guests, Primary and Second Homeowners, Local residents 4. Activation: Detail in town/in village activation opportunities to promote your event or program. (Definition of Activation: Create an expanded presence throughout the community and stimulate the participation of the merchants, restaurants, bars and lodges.) We were lucky enough to call Antlers Vail and the Evergreen Lodge our lodging partners at this year's Avalanche Alumni Weekend. The Avalanche Alumni and their families resided there all weekend, experiencing what Vail Village and Lionshead have to offer in terms of dining, bars, shopping, free transportation, and recreation at Dobson. We began a fruitful partnership with Grey Salt in Solaris where we hosted a Meet and Greet, helping to draw all our guests to the heart of the Vail Village. We also set the players and VIPs up with a dinner at Vendetta's in the village and hope to secure further restaurant, bar and merchant partnerships for our 2021 event to not only provide a draw for our visiting attendees, but to bolster revenue for our local businesses. 5. Channels: Which of these channels will you utilize to promote your event or program? (You may select more than one.) Print - Local, Print - Regional, Radio, Television, Online Event Listings, E-newsletters, Web, Grassroots, Facebook, Instagram, Twitter, Flyers, Signage – Banners, etc, Co-promotions, Partnerships, Local Vail Businesses 6. Please explain the potential for additional sponsorships or partners. We intend to utilize the connections of the Colorado Avalanche Alumni, Trista Sutter (our Fundraising Director), and the marketing and event-planning expertise of our families, to take us to the next level. Our hope is to finalize sponsorship levels early in 2021 and send them out earlier than we have in the past. We realize that the key to our growth is steady emphasis on the cultivation of local partnerships. We feel that this area is already a strength, but by the same token, it's also an area of focus for future development. 4. Please upload your sponsorships/partnerships presentation, pitch deck or letter. (Document sent to prospective partners or sponsors which provides benefits for participating in your event/program.) Avs Alumni Weekend Sponsorship Packet.pdf REQUEST FOR FACILITY RENTAL FEE RELIEF FROM THE TOWN OF VAIL This form does not guarantee approval of requested listed facilities. This is your ONLY opportunity to apply for 2018 rental relief for facilities, no other requests will be accepted. Please note that certain town services are not available as in-kind, such as permit fees, barricade rental, banner fees, extra duty police officers, Zero Hero, etc. 1. Do you need facility rental relief? No ADDITIONAL INFORMATION Are there any questions you have for the CSE or other things you'd like to share with the board that are not included in the application? As a nonprofit, we have been hard hit by the current pandemic. In order to provide hockey to the youth of our valley, we respectfully request that consideration is given not only to the events we are applying for (Avalanche Alumni Weekend and Sportsmanship Tournament), but also to the club in general. As we are the largest consumer of Dobson Ice Arena and bring local valley residents as well as non-locals to Vail to play hockey or support a hockey player, our club significantly impacts the Vail economy and will continue to do so as long as we are able. We hope to build on the success of 2017’s Top Shelf Casino Night, and 2018's Pucks, Pars and Poker with a continued partnership with The Colorado Avalanche Alumni Association! Well-known NHL players, including Vail Valley resident and VMHC board member, John-Michael Liles, will be joining in on each of our weekend festivities and working with us to offer unique experiences and valuable opportunities for each of our sponsors. Top Shelf Casino Night kicks everything off at 6 pm on Friday, September 13, giving locals and visitors alike, the chance to rub elbows with some of Colorado’s most beloved professional hockey players. During the day on Saturday, children from Squirt to Midget levels will get the chance to skate with the pros at hockey clinics run by the Avalanche Alumni and some of Vail Mountaineers respected coaches. From there, the premiere men's retailer in Vail, Grey Salt, will be hosting a meet & greet for the community and that night, we’ll get to watch the guys in action as they play an exciting game against our own semi-pro team, the Vail Yeti. To close things out, high-level sponsors will be able to play a scenic round of golf with the Avalanche Alumni on the Vail course. As a non-profit, we rely on the generosity of corporate sponsors and individual donors to provide an exceptional hockey experience for youth in the Vail Valley. We are dedicated to instilling traits of fair play, respect, and sportsmanship, in both our recreational and competitive athletes, and strive to cultivate individual potential in a safe and healthy environment. Through this weekend, as well as the club’s annual Sportsmanship Tournament that takes place each fall, we are able to directly offset program fees for nearly 200 local families, while providing critical funding for the club’s scholarship and outreach programs. In the Sponsorship Packet, I’ve outlined specific sponsorship levels. They offer a wide array of value- driven and VIP packages for our exciting weekend of events, but know that I am more than happy to customize a sponsorship that is tailored to what you find most valuable in order to support what is most valuable to us...our kids! Thank you, in advance, for your consideration and please be in touch with any questions.
