Organization's Mission Statement The Vail Lacrosse Tournament laid down its roots in the Vail Valley in they year 1995. Our mission is to not only provide youth teams, from across the nation, great competition; but, feel it's imperative to give our youth athletes a space to build lasting memories, learn team building skills, and attend a family oriented event. 20. The ALS Association Rocky Mountain Chapter’s mission is to improve the quality of life for ALS patients and their families and to provide support services to help them manage throughout the progression of the disease. The Rocky Mountain Chapter provides care, comfort, and a community that links patients and families to others who share this common struggle. The Vail Lacrosse Tournament asks players and teams to compete in friendly competition to raise awareness. We also send donation links to families and have held virtual auctions for the cause. At the end of each year, Vail lacrosse Tournament makes a donation of their own to the cause. Learn more at www.alsarockymountain.org. EVENT DESCRIPTION 1. Vail Lacrosse Tournament occupies all athletic fields in the Vail Valley [Vail Mnt School, Ford Field, Vail Rugby Field, Eagle Vail fields] 2. Please provide a detailed description of the event/program and its activities. Known as the highest altitude tournament in the country, the Vail Lacrosse Tournament is a family-friendly competition, drawing nearly 2,000 players and 3,000 spectators to the Vail Valley! The Vail Lacrosse Tournament laid down its roots in Vail in 1995, just as Lacrosse was picking up name recognition and momentum nationally. One of the few high-altitude tournaments of its kind, the event draws participants from around the country to compete while taking in the gorgeous Vail landscape and all the activities the area has to offer. At 8,150 feet the Vail Lacrosse Tournament has something for everyone. Exposure to teams and talent from across the nation Approximately 100 teams in 4th,5th, 6th, 7th, 8th grade and High School boys and girl's divisions. A unique team building experience that helps players develop as individuals. Round-robin tournament format and divisional playoffs 3. The Event Producer is responsible for booking and securing any necessary venues. Set up: June 20th: 8am-5pm Tournament Run Dates: June 21 [6am-5pm] June 22 [6am-5pm] June 23 [6am-4pm] Venues: Vail Mnt School, Ford Field, Vail Rugby/Athletic Field, Eagle Vail (600 Eagle Rd) Our event producers are responsible for securing all fields and have already been in contact with the representative 4. If any of the event/program takes place outside of the Town of Vail, please explain where the event will take place and why. We also occupy fields in Avon and Edwards. This is due to the size of our event and the need for addition athletic fields. ENVIRONMENTAL PRACTICES 1. Which of these environmental practices will you commit to executing at your event/program? Use of Zero Hero Tents & staffing, Remind guests to bring re-usable bags and water bottles, Encourage use of bicycles, buses, shuttles, carpools, walking or public transit to event, Recycling required in all areas of event, Provide water bottle filling stations 2. Please describe your commitment to environmental sustainability and detail measures that will be taken during your event to ensure minimal environmental impact and sustainable best practices. The event partners with Vail Recreation District and Honey Wagon to provide trash and recycling programs to our guests. The event uses other platforms such as social media, mobile app, news letters to communicate to guest how to be environmentally responsible during the event. The event encourages use of recycling containers and alternate forms of transportation. Please note that the event's ability to commit to the environmental practices listed above is heavily dependent on available funds. EVENT/PROGRAM PARTICIPANTS 1. The event is structured to allow teams and families to plan events, dining and explore Vail. 67% of our guests stay in commercial lodging with the majority (57%) staying in Vail. With the majority of our guests staying in Vail, the event will provide an increase in sales tax in Vail through lodging, entertainment and other recreation activities 5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council? Yes. 53% of our visitors travel from outside of Colorado with the average travel party size of 5. Our research indicates that not only is there opportunity for group events with teams (20 plus players per team), but also family group business. Our event is structured to provide groups the opportunity to enjoy Vail in the mornings, afternoons and evenings. We are able to provide our guests these opportunities because the event schedule is structured so teams are done playing by 5pm and either play games in the morning (8am-noon) or afternoon (noon-5pm). This schedule allows teams or families to book group events 6. CRC - Brand Fit: How will your event or program support the Vail brand identity? As the highest altitude national youth lacrosse tournament, the Vail Lacrosse Tournament is all about playing competitive games and providing memorable moments of the field for parents, coaches and players. We promote and encourage all of our guests to explore the Vail Valley and experience all of its wonders and adventures. We believe in providing our guests with the best experience on and o 7. CRC - Event Timing: How is it the right event/program at the right time? The Vail Lacrosse Tournament is a great way to start the summer events in Vail. We are one of only a couple events that bring a large number of guests from out-of-state to vacation for a week in Vail, especially during the middle of the week and not on a holiday. June follows the mud season and a lot of local business return to the Valley to serve our guest and get ready for the event packed summer in Vail. 8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and community members? The event received a NPS of 52% with 64% being self promoters of the event. Respondents were asked to indicate how important the Vail Lacrosse Tournament was in their decision to visit the Vail area during their trip on a scale of 0 to 10 scale, with 0 meaning it had no influence and they would have come to Vail anyway and 10 meaning it was their only reason for visiting Vail. Results indicate that the sample was generally strongly influenced by the Tournament to visit Vail, with an average rating of 8.9. Seventy-two percent called it “my only reason for coming to Vail.” This is an important indicator of the strength of the tournament in driving visitation. the highest rated aspect of the Tournament was the “venue/location of the Vail Valley” at an average of 4.5, followed by “organization and functioning of the Tournament” and the “overall tournament,” both at 4.3. It is clear that our guests visit the event to experience Vail which means there is significant opportunity for the community to bene 9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new programming, entertainers, adding additional days and activities.) Over the last 25 years, (including the registration we had for the 2020 tournament, which was full on both ends) the event has continued to grow in participation and attendance. The ability for the Town of Vail to interact with the growing number of guests is a significant value add for the town and the event. There is an opportunity to host special events in the Village with music, food and entertainment on Monday or Tuesday night. Moreover, there is opportunity for small businesses to host special events or promote group discounts to the teams and families attending the event. Truth be told, the opportunities are endless and there is so much more that Vail can offer to our guests. Furthermore, with financial aid from the Town of Vail we will be able to strengthen our brand awareness and expand our marketing efforts to attract more teams. 10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration? The event is all about fun. We provide competitive games, competitions for prizes, photo competitions on Instagram, snap chat and other social media for our guest and athletes to participate in during the event. The event is working with sponsors and on site activation teams to create skill competitions, photo contests and other onsite activities for our guest. Please remember that our event is a youth tournament, so most of the time the guest are playing games and having fun with their teammates and family. 11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more marketing questions in a future section. (Reach refers to the total number of different people or households exposed, at least once, to a medium during a given period.) 500 athletes, 4,000 spectators, 64 male youth teams, 32 female youth teams, facebook 1,026 followers, 8,977 instagram followers, 10,000 news letter readers, 60,200 session on our mobile app. 638% increase (1,250) in IG fans (followers) since Jan 1, 2017 - 26% increase (96) in FB fans (likes) since Jan 1, 2017 12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract sponsorship support? The event will continue to expand and strengthen our brand recognition through the multiple channels on social media, google ads, and other social platforms. We will grow awareness through video collateral, news letters and partnerships with sponsors who have a strong following and brand 13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to sustain and grow the event. The event producers have been involved with the event since it started 25 years ago. Over the last 10 years, the produces have been successful growing the number of teams attending the event and expanding the brand awareness. The producers have invested a significant amount of capital over the last 2 years in marketing and re-branding the event. This pattern will continue as they work to improve the quality and customer service of the event. 13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. Vail Lacrosse tournament is committed to keeping its players, staff, and spectators safe, as well as the town and people of the Vail Valley. Vail Lacrosse Tournament will openly work with the TOV to ensure all health and safety protocols are met. Playing a contact sport brings challenges, but with the request of the additional funding, Vail Lacrosse Tournament would be able to provide better sanitary and safety resources to all its participants. There are many things we feel we can implement should they be necessary at the time of our event. 13. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges. In past years we have partnered with a local travel agent to promote our lodging called Peak Sports Travel. This has resulted with 53% of our guests booking lodging in Vail. We will continue to promote lodging through various partnerships and communicate the bene BUDGET Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses. 1. Describe how you will use the funds requested from the CSE. The funds will be used to improve our customer service and brand recognition. We are very interested in providing more onsite activation with staff and promoters of other activities in Vail. Our goal is to provide a high quality event with a hospitality feel and ease of booking reservations and planning other events in Vail. The funds will also be used to improve our marketing and brand awareness. Youth lacrosse is one of the fastest growing industries in the U.S. and 50% of our teams travel from outside of Colorado to attend event; however, there is still room to improve our demographics and pull teams from outside of Colorado. In addition, should additional health and safety protocols still be in place due to Covid-19, we fully intend on using the funds to help make the event meet all required guidelines and keep everyone healthy. 2. We will not be able to provide recycling programs, improve customer service, improve marketing efforts and access other programs that improve the guest experience and return dollars to the town of Vail. Should the current pandemic and safety protocols still be in place, the Vail Lacrosse Tournament will also need the funding to ensure we are able to provide the best safety to all involved. 5. Objectives: What are you trying to accomplish through your marketing efforts? We will continue to increase our brand recognition and penetrate out-of-state markets for the sport of lacrosse. We will do this by attracting larger partners and increase our marketing budget to target a larger demographic. Youth lacrosse is one of the fastest growing organized sports and we intend to keep pace with the popularity of the sport. 2. Strategy: How will you meet your objectives? Publications in major print such as Inside Lacrosse, Lacrosse Magazine, onsite activation with LaxAllStar TV, and online growth through targeted social media, google ads and other channels. 3. By working with the Vail Partnership, the Vail Special events team, and the Vail Restaurant Association and Chamber of Commerce we will partner on marketing efforts and special promotions for our guests. 5. As previously stated, the Vail Lacrosse Tournament has been in operation for 26 years and 2021 is going to be another great year. The event received funds for the first time in 2018 and they proved to be very valuable in creating our promotional videos and improving our marketing strategy. We believe the request is fair and mirrors requests of similar events in Vail. We are a family owned business and with financial help from the Town of Vail we will be able to take the event to the next level, but most importantly improve our marketing, tell our story and raise awareness of this unique event. As you can see from the collateral that we have provided, the event has strong marketing material and a story to tell. Please consider our request and help improve and grow the Vail Lacrosse Tournament into a national recognized event in one of the most iconic locations. Moreover, 187 responses were Partial which could have impacted the results •The information above is from 2018. Over 90% of our teams are return clients, so the NPS is strong for our event. However, weather impacts this year impacted visitors experience because of game cancellations or schedule changes Event Strengths & Weaknesses 8 •How did the event exceed expectations? Attendance was very strong this year with a couple new teams attending out of state or teams committing to bring multiple teams in each division. For a total of 105 teams vs 94 in 2018 What are areas for event improvement? We will continue to improve parking, communication and logistics for our guest. 17 miles of highway and 14 fields is a challenge and it is important that guest understand the size and logistics of the event so they continue to have a great experience •How did this year’s event compare to previous years? We were able to attract new teams, improve the girls youth division and host more teams at Ford Field, Vail Athletic Field and the Vail Mt School field. Vail Brand Compatibility 9 •How did the event support the Vail Brand? The event is helping support the Vail Brand by promoting the resort and the valley as a premier destination and encouraging teams and families to explore Vail. We will continue to design our event and game schedules in a manner that provides guest with the time and flexibility to watch their children play, but also vacation in Vail. We produced information packets to send to teams and parents promoting the Town of Vail and local business. The local lacrosse club had a team in the event this year and continues to increase its attendance. The event works with players not on a team to compete in the event as a free agent. Almost every year we have players from Vail, Aspen, or Steamboat who request to be free agents and placed on a team.
