2. Please provide a detailed description of the event/program and its activities.
The Vail Classic Invitational gives gymnasts from around the state of Colorado as well as surrounding states such as Wyoming the
opportunity to travel with their club to compete on the four gymnastics apparatuses; vault, bars, beam and floor. There are
separate sessions per level and each session has age groups in which athletes are placed in order to award the winning scores on
each event and the all around. There is also team awards presented in each session. This competition is presented by Vail
Gymnastics and the Vail Recreation District.
3. Please list the specific venues that you plan to utilize, including dates and times, and whether or not you have
contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary
venues.
We plan to use Dobson Ice Arena for the event. For the entirety of the weekend of the event. We have already contacted them
and confirmed.

ENVIRONMENTAL PRACTICES
1. Which of these environmental practices will you commit to executing at your event/program?
Use of recyclable materials - banners, paper, etc., Remind guests to bring re-usable bags and water bottles, Encourage use of
bicycles, buses, shuttles, carpools, walking or public transit to event, Enforce no idling policy for staff and guests, Recycling
required in all areas of event, Provide water bottle filling stations
2. Please describe your commitment to environmental sustainability and detail measures that will be taken during
your event to ensure minimal environmental impact and sustainable best practices.
The VRD embraces environmental sustainability and responsibility and creates an atmosphere as such. We provide a water
station for competitors and spectators to refill water bottles, eliminating the use of single use bottles. We encourage participants
to take public transportation to the event to keep their vehicles in the parking structure while the event is taking place. The VRD
does provide recycling bins at the event.

Creating a reason for athletes and spectators to go into Vail Village at an otherwise slow time. Out of town athletes and visitors
are offered discounted rates at sponsored lodging locations within Vail. Items including discounts at local restaurants will be
raffled during sessions, creating sales for local food and beverage business.
5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council?
Creating a reason for athletes and spectators to go into Vail Village at an otherwise slow time. Our event will draw in hundreds of
athletes from around the state of Colorado to come and visit Vail at an otherwise slow time of year. These athletes and their
families will be provided with discounts at local restaurants and lodging to encourage them to be out in Vail during the time of the
event.
6. CRC - Brand Fit: How will your event or program support the Vail brand identity?
The Vail Classic Invitational is highly compatible with the Vail brand identity through involvement of the local community and
destination guests. This event showcases the natural beauty and recreational assets of Vail Village and Lionshead. The event
location is easily accessible to athletes, visitors and spectators.
7. CRC - Event Timing: How is it the right event/program at the right time?
This event is scheduled to attract athletes, spectators and destination guests to Vail Village during a typically slow time of the
year (September). This event will bring in athletes and destination guests for the weekend and creates the opportunity to stay for
a duration of the time in Vail.
8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and
community members?
Providing the opportunity for spectators to watch the competition while it takes place in Vail will increase recognition of the Town
of Vail among young gymnasts around the state and community and creates the opportunity for community members to see the
programming offered through the Vail Recreation District.
9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new
programming, entertainers, adding additional days and activities.)
Our September 2019 event was incredibly successful. We asked many program directors while we attended their meets how they
incorporated new and exciting things during their competitions. We also received much more interest from many gyms that did
not attend our initial meet, but would like to attend the event in the future.
10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration?
There will be music playing throughout the event when floor routines are taking place as well as raffles going on for families to
participate in and win gift certificates to local businesses. Team awards will be presented at the end of the competition and
athlete gifts will be given to all participating athletes.
11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more
marketing questions in a future section. (Reach refers to the total number of different people or households
exposed, at least once, to a medium during a given period.)
A survey was conducted following our 2019 event to all athletes and families that attended. More than 75% responded that they
would attend our event again in the future.
12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract
sponsorship support?
This event has the potential to gather many more sponsors as the event continues to grow. We gathered many sponsors for our
2019 event and have reached back out to them to work together towards our future event.
13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to
sustain and grow the event.
The Vail Recreation District has put on many events within the community for residents as well as destination guests successfully
for many years. This event has the potential to bring in many destination guests from gymnastics clubs outside of the state of
Colorado as well as from within the state.
13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to
changing public health orders.
This event has the ability to adapt to any and all local guidelines that will be implemented at the time of the event. The Vail
Recreation District has been successful for many months now in adapting to the ever changing protocols necessary for
maintaining safety for all participants in all of our programs.

4. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a
description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding
agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges.
Preferred lodging partners within the Town of Vail are promoted on the website, participant emails as well as social media
channels. These lodging partners will also be listed on all promotional materials to be sent to all attending gymnastics clubs and
organizations who can pass them to attending families.
BUDGET
Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses.
1. Describe how you will use the funds requested from the CSE.
Funds requested fro the CSE will be allocated to equipment rental which is the largest hard cost for the event. The funding would
cover the equipment rental as well as lodging for the equipment technician which is required per the equipment rental contract.

Other costs such as the ability to host as many athletes would have to be cut due to the costs such as providing lodging for judges
and payment for judges present during the competition which would mean less sessions and less families would attend the event
but it would still be put on.

1. Objectives: What are you trying to accomplish through your marketing efforts?
Our goal is to expand our outreach to more clubs outside of Colorado in order to gather more athletes to attend the competition.
Per USAG rules, if two of more clubs from outside the state of Colorado attend a Colorado gymnastics meet for two years in a row,
then the club gets to keep their allotted weekend as long as they would like for years to come. This would put our event on the
Colorado meet rotation schedule until we choose to no longer have it on there.
2. Strategy: How will you meet your objectives?
By targeting clubs in which Vail Gymnastics has attended their meets before as well as through personal connections created
through attending meets in the past. Marketing our event approximately 6 months in advance through social media, newsletters
and personal email, we can meet our objectives of gaining more athletes each year.
3. Audience: Who is your audience? (You may choose more than one.)
First time visitors, Returning guests, Primary and Second Homeowners, Local residents
4. Activation: Detail in town/in village activation opportunities to promote your event or program. (Definition of
Activation: Create an expanded presence throughout the community and stimulate the participation of the
merchants, restaurants, bars and lodges.)
Posters and flyers, newspaper ads, community calendars, leverage through our customer database through sponsors and
marketing channels, pop up shops in Dobson Ice Arena throughout the duration of the event in which local businesses can sell
their products and promote their business.

As the event continues to grow, more local businesses will be attracted to sponsoring the event. There are also children of local
business owners that are participating in the event who have the opportunity to sponsor in the future as the event and the
program grow. This event is put on by a local organization that benefits the community which makes the event more attractive to
the sponsor.

2019 Vail Classic
Invitational
Presented by the Vail Recreation District and Vail
Gymnastics
The Vail Classic Invitational hosted 120 gymnasts from around the state of
Colorado as well as Wyoming. Over 100 spectators attended the competition
during the 3 sessions that took place over the weekend. Many of these
spectators stayed at our host hotel, Antlers Lodge.

businesses were raised prior to the start of
the competition. $4,000 was raised from
raffle ticket sales and the silent auction that
took place at each session as well as at the
end of the weekend.
Vail Gymnastics’ own Hosanna Wirick took home the 1st place all
around in the level 5 session. Since the conclusion of the
competition, there has been lots of interest from clubs around the
state of Colorado for another event to occur here in Vail.
