The mission of Vail King of the Mountain Volleyball is to bring athletes, families and spectators to Vail for a weekend of Grass and
Beach Volleyball competition and through the production of a professional and fun event, develop loyalty to not on ly the event
annually, but also expose players to the Vial area resulting in additional visits throughout the year. Vail Kin of the Mountain
Volleyball attracts the best in Colorado talent, as well as players from round the country resulting in an entertaining event for
residents and visitors.

New to the event, Volleyball of the Rockies will be matching donations from players solicited with each registration, in order to
establish a scholarship fund for Colorado Juniors Players competing in Beach Volleyball at the collegiate level.

The Vail “King of the Mountain” open, originally, was held at Gold Peak and the Vail Athletic Field. In recent years, the Even has
evolved to include three venues: The Vail Athletic Fields, Ford Park, and an outlying sand court ad Red Sandstone Park. For one
year, while Ford Park was being renovated, “Ford Park” competitors were relocated to the Eagle-Vail Playing Fields. The event
continues to grow and in 2020 was slated to add the Eagle-Vail Fields as a permanent location for any overflow from historic
locations.
2. Please provide a detailed description of the event/program and its activities.
The Annual Vail “King of the Mountain” Open is one of the Rocky Mountain Regions Premier Volleyball Tournaments. Formats
include Doubles Sand and Grass Divisions for Juniors and Adult competitors. The ability to combine the event with Father’s Day
weekend has allowed the event to draw not only participants, but family’s and additional spectators into town for a weekend of
play that includes Father/Daughter and Father/Son divisions.

contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary
venues.

This event currently uses all the available grass at the Vail Athletic Field and Ford Park. The 2020 event was approved for
expansion to the Eagle-Vail Fields in order to accommodate growth. We anticipate COVID will still be impacting programming in
20201 and we currently anticipate using the Eagle-Vail Fields in 2021 in order distance competitors
ENVIRONMENTAL PRACTICES

The Environmental Footprint of Volleyball Tournaments is small compared to most events. Guests generally bring their own fluids
and food and Vail “King of the Mountain” Open provides both trash and recycle bins at all Parks. Vail Recreation Department in-
house food and beverage vendors are used for all concessions and are well aware of all environmental and sustainable best
practices. We work with any and all vendors to minimize our footprint.

5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council?
The Vail “King of the Mountain” Open is an event that caters to participants of all ages and skill levels. It’s timing on Father’s Day
combined with Juniors, Father/Daughter and Father/Son divisions makes it a great family event and subsequently helps create a
“family weekend” for many of the participants. The mis of Men’s, Women’s and COED Adult divisions of all ages rounds out the
event with a diverse population of participants and guests.
6. CRC - Brand Fit: How will your event or program support the Vail brand identity?
Volleyball Players are outdoors oriented and as such, fir perfectly with the outdoor identity that is Vail. The Family component of
the event make it even more unique and special.
7. CRC - Event Timing: How is it the right event/program at the right time?
This event takes place at the very end of the spring shoulder season, helping to ‘Kick off” Vail’s summer season. The Vail ”King of
the Mountain” Open is also the first of six Colorado Mountain Tournaments and as such, capitalizes on pent up demand from a
long winter with no outdoor competition. Combine this with Father’s Day weekend and, June weather gods permitting, the timing
for this event could not be better.
8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and
community members?
The Annual Vail “King of the Mountain Open” is one of the countries most popular outdoor volleyball tournaments, one of the
largest in Colorado, and one of the top 10 in the United States. Players come from all over the Rocky Mountain Region and
country to participate in this event.
9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new
programming, entertainers, adding additional days and activities.)
The Vail “King of the Mountain” Open has continuously grown, evolved and morphed since it’s inception. In its most recent shift,
the event moved to Father’s Day weekend and created Father/Daughter and Father/Son divisions that have now become a
hallmark of the event. 2021 will see some new additions originally slated for 2020. New “AA” divisions for adult grass
competitors will be added as well as addition of a Juniors Beach Clinic on Thursday of the week. Volleyball continues to grow at
the grass roots level with over 4,000 teams competing each summer in Colorado alone. The event’s concept encourages junior
players to participate, bringing their families with the for the weekend. With the introduction of Beach Volleyball as a scholarship
collegiate sport, more and more girls are moving out of the gym and into the doubles game. Finally, Volleyball of the Rockies has
partnered with AVP America, the grassroots arm of the AVP Professional Tour and participants will now be able to compete for
point and national rankings at the event.
10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration?
Volleyball is already inherently fun and vibrant. Outdoor Tournaments like the Vail “King of the Mountain” provide the opportunity
for athletes to compete with their friends and families. Combining a day of competition with an amazing backdrop like Vail create
a weekend full of fun, smiles and memories.
11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more
marketing questions in a future section. (Reach refers to the total number of different people or households
exposed, at least once, to a medium during a given period.)
The Volleyball Community in the United States is very connected and players everywhere seek out iconic events and the
opportunity to travel to tournaments like the Vail “King of the Mountain” open. The event is marketed via national and regional
print publications, groups dedicated to the sport nationally, social media, and emails to over 24,000 players in the Volleyball Of
the Rockies database. Additionally, the affiliation with AVP America allow us to promote the event to over 50,000 players
nationally.
12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract
sponsorship support?
The addition of the ability to livestream events has opened new opportunities for promotion through social media and the
volleyball community has been as engaged in this space as any group. This increased viability may add value to sponsors. As a
niche sport and in the current sponsorship climate, volleyball has limited opportunities. We currently work with the top brands
and entities in the sport including Park and Sun Sports (Volleyball net manufacturer), Molten Volleyballs, Bolle Sun Glasses,
Kamena Sportswear, AVP America and Dig Magazine.
13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to
sustain and grow the event.
Volleyball Of The Rockies (VOTR) has been producing volleyball leagues and tournaments in Colorado since 1998. With over 120
tournaments of all size produced annually including four destination events in Mexico, we are one of the premier volleyball
tournament organizers in the country and as a Colorado based company, the participants in the Vail “King of the Mountain” Open
represent customers we work with daily. This is our community; this is what we do and we have the reputation as one of the top
organizers in the country.
13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to
changing public health orders.
2020 as we all know, has been a difficult year. Volleyball Of The Rockies (VOTR) saw all it’s programming shuttered with Public
Health Orders in March, April, and May. We received a variance to open the Island Facility in June and as the governor opened the
state, we continued to reopen parts of our programming under a slew of new and ever-changing requirements. We successfully
ran leagues and tournaments under these new requirements and unfortunately can now add this skill set to our resume. We are
fortunate that volleyball as a sport is “flexible”. This past summer saw everything from reduced numbers of courts, to masks
requires, to sanitation products on every court for cleaning hands and volleyballs, so adjusted schedules designed to reduce
contact. Nothing about our business was normal this past summer and while we anticipate having out event in 2021, we
anticipate it likely be at a reduces size with new COVID related requirements designed to keep it safe.

4. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a
description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding
agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges.
We will continue to work with established lodging partners and promote them through direct emails and our website. The
majority of the attendees take advantage of lodging either in close proximity of the event site, or they us the bicycle trails,
walking trails and free transit system to attend access the event.
BUDGET
Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses.
1. Describe how you will use the funds requested from the CSE.
Support from CSE help this event “pencil” and allows us to invest in items that don’t make sense within the normal budget. CSE
fund will help subsidize costs related to brining in Professional Beach Coaches to run Juniors Clinics on Thursday and Friday of the
week. It will also help us provide matching funds for the Colorado Juniors Beach Scholarship Fund Match. We have been running
tournaments for over 30 years and as sponsorship dollars in this sport disappeared, volleyball tournaments across the country
must operate solely on participant fees resulting in generally narrow margins. CSE funding provides needed “breathing room”
and also affords the ability to invest in new features (juniors clinics, professional coaches) that draw new customers and also help
take care of existing ones.

4. If the event/program is not funded at full request, how will the event change with a lower funding allocation?
Quite honestly, after the financial hit of COVID this year, support is more important that ever. VOTR, will survive, but the hit to
our business has been brutal. Financial support from CSE will mean more than ever next year as we begin to dig out from all of
this summers loses. As noted last year, any tiem there is a reduction in funding, cuts are made and events are re-evaluated. As
noted above, margins are thin in the Volleyball business. 2021 will effectively be our first year running this event and we feel we
have a good idea what to expect from a historical perspective and also from a COVID perspective. We anticipate numbers will be
down next year (i.e. recovery will not be full) and we also anticipate an event that will accommodate smaller numbers in order to
fit into “COVID requirements”. Revenues will be vey likely be down next year and support from CSE will be more important than
ever. Funds are typically allocated to hiring professional coaches for the free junior’s clinic and we hoped to use them for
matching the Colorado College Beach Scholarship fund. They will likely help supplement lower numbers during the recovery as
well. Lower funding would ffect all aspect of an event we expect to be in a rebuilding mode.

1. Objectives: What are you trying to accomplish through your marketing efforts?
Our goal it to continue to raise local and national awareness for the Vail “King of the Mountain” open. It likely that COVID will
result in smaller numbers for 2021 so we have the additional goal of making sure players feel safe with our formats as we adjust
to new requirements. 2021 will not be a normal year.
2. Strategy: How will you meet your objectives?
Volleyball Of The Rockies (VOTR) has been marketing, promoting and producing volleyball events since 1988. We will continue to
leverage our 24,000 player database to promote the event through emails. Additionally, we will market the event vias social
media, print media (Dig Magazine), on-print media (VolleyballMag.com), and the event website. We also have an aggressive mail
campaign providing posters and volleyballs to recreation centers and volleyball programmers in the region.

Activation: Create an expanded presence throughout the community and stimulate the participation of the

We historically work with local bars and restaurants to provide promotional activities directed towards our participants. We
typically host player parties or event check-in’s at specific locations driving players to visit these locations and also encouraging
them to secure lodging close to these activities. Clearly, some of this will be need to be adjusted next spring as we see where we
are with COVID. We are local and nimble and will adjust as needed.

New partners we are brought, in theory, to the 2020 event include Bolle Sunglasses, Molten Volleyballs, AVP America and SOB
Volleyball Vacations and they will all support us again in 2021. We have prior relationships with Kamena Outdoor (Plastic
Clothing Company) and Park and Sun Sports that will also continue. And we hope to continue relationships with the historic local
supporters.

Sponsorship in the Volleyball “space” continues to be scarce. There is minimal sponsorship on the pro level, and virtually nothing
trickling down to the local promoters. We are lucky to have long term relationships with our current sponsors and while we are
always looking for new opportunities, it remains a difficult space. We are fortunate to have a solid, solvent and supportive
community of players in Colorado that help these events survive on entry fees

Are there any questions you have for the CSE or other things you'd like to share with the board that are not
included in the application?
As most of the CSE is aware, we took over this event from long term promoter Leon Fell a year ago and this would have been our
first summer in Vail. As we are all aware, COVID and 2020 have been brutal. None of our major tournaments happened this past
summer. We were able to run some smaller tournaments as the season progressed, but it has been a difficult and trying year.
We are one of the business that has been hit pretty hard. Overall, we are down 70%. We will survive this but anticipate a difficult
couple of years. We look forward to being back in Vail next summer but are realistic that it will likely be with reduced numbers,
distanced courts, and “creative” formats and subsequently less revenue. Please note that the attached budget reflects a full,
“normal” tournament, which is not realistic. With not idea what COVID will do, I would suggest we agree to reduce the revenue
by half and I would expect the event struggle to break event in 2020. We are local and nimble and our players will be happy just
to be able to play and we will get back to solid numbers at some point. Like all of the events you work with, any support is
appreciated. We will be digging out of the “COVID hole” for many years to come, and whatever support CSE provides helps make
this less painful.

Vail “King of the Mountain” Open
Marketing Plan
Volleyball of the Rockies (VOTR) operates over 100 tournaments in the Rocky Mountain Region
including ten (10) events of similar magnitude of the Vail “King of the Mountain” Open. While the event
is currently near capacity, it is important to contine to market and create awareness of the event.
Furthermore, it will be important this year to communicate to our players the systems and protocols
that are in place relative to COVID. The following items are included in the marketing Platform:
Direct Email: 24,000+ emails of volleyball players in current VOTR Database
Dig Magazine: Four (4) Full Page Advertisements
Volleyball Magazine (digital): Banner advertisements
Facebook: Continue promotion through Facebook page

Posters: Posters distributed to Rocky Mountain Region Recreation Centers

To Whom it May Concern.
The event recap for the 2020 Vail “King of the Mountain” is very brief. As the first event of the season,
COVID restrictions made this event, like so many others this summer, an impossibility. We did look to
re-schedule it throughout the summer but it became clear that 2020 was not going to happen. We did
not request any portion of the 2020 funds. Our expenses were minimal by mid-March when the
shutdown happened and while we could use any financial help available, we did not see any reason for
CSE to fund us in any way.
Hopefully, 2021 proves to be a better summer and we are back competing over Father’s Day weekend.
Thanks for your continued support and we look forward to a better summer next year. Dare I say it can
not get much worse.
