Organization's Mission Statement The mission of Vail Valley Soccer Club is to foster the physical, mental and emotional growth and development of Eagle County's competitive soccer players. We develop and encourage integrity, character and leadership through competitive youth soccer programming. Vail Valley Soccer Club runs competitive and recreational programming for youths ages 9 to 18 years of age. The Vail Valley Soccer Club takes pride in providing an environment that is fun, safe, affordable and competitive, while being inspiring and engaging for our youth. 20. Please name and describe the beneficiary All Monies Received during the Vail Cup goes towards supplying scholarship support for those in need and other programming needs directly related to the club One of VVSC’s goals is to create an athletic environment that honors and represents our community both on and off the field. Our intention is to offer an affordable competitive athletic option for local youth. Many athletes are priced out of skiing, hockey and lacrosse in this valley and VVSC believes it is critical for all youth to find a sport that appeals to them within the community. Soccer has a universal language that encourages friendship, sportsmanship and leadership world wide. VVSC is proud to be part of a global community that bridges relationships and provides opportunity and growth for our youth. VVSC receives referrals and partners with many local non-profit agencies, such as The Bright Future Foundation, Eagle River Youth Coalition, The Vail Valley Foundation and Eagle County Social Services. In addition, VVSC works with the Eagle County School District to support our underserved community members. Please describe the location(s) of the event or program in previous years. The event takes place throughout Eagle County at local recreation fields, schools and city fields. VMS, Ford athletic Fields, Rugby Field (Vail), Donovan Park, Homestake peak (all fields), Avon Elementary, Nottingham fields, Singletree, BMHS, Freedom Park fields, Eagle Valley Middle School, Brush Creek park, Eagle County Fairgrounds 2. Please provide a detailed description of the event/program and its activities. Hosts 160 teams on October 1-3, 2021 for a soccer tournament. All teams play a minimum of 3 games. There are several divisions within each age group; U11-U15 boys and U11-U19 girls. It is the most highly sought after October/fall tournament in the state, bringing in teams from several surrounding states and all over Colorado. It is a stay and play tournament that encompasses multiple room nights. 3. Please list the specific venues that you plan to utilize, including dates and times, and whether or not you have contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary venues. VMS, Ford athletic Fields, Rugby Field (Vail), Donovan Park, Homestake peak (all fields), Avon Elementary, Nottingham fields, Singletree, BMHS, Freedom Park fields, Eagle Valley Middle School, Brush Creek park, Eagle County Fairgrounds. Lionshead Welcome center for check in of teams on Friday night 5-9 pm. All fields will be used from approximately 8 am to 6 pm on Saturday and Sunday. Hosting 8 teams per field per day. 4. If any of the event/program takes place outside of the Town of Vail, please explain where the event will take place and why. Fields outside TOV will be used to manage the tournament size. Lodging will be used also inside the Town of Vail. Lionshead Welcome center for check in of teams on Friday night 5-9 pm. ENVIRONMENTAL PRACTICES 1. Which of these environmental practices will you commit to executing at your event/program? Use of Zero Hero Tents & staffing, Use of recyclable materials - banners, paper, etc., Ban use of plastic bags, Remind guests to bring re-usable bags and water bottles, Encourage use of bicycles, buses, shuttles, carpools, walking or public transit to event, Recycling required in all areas of event, Wastewater will be properly disposed of, Use eco-friendly serving utensils (compostable or recyclable), Ban styrofoam, not allowed within town limits, Compost food waste, Provide water bottle filling stations 2. Please describe your commitment to environmental sustainability and detail measures that will be taken during your event to ensure minimal environmental impact and sustainable best practices. We do not host any food at our venues. We have proper waste disposal set up through Vail Honey wagon; trash and recycle. We also have water stations and do not provide paper cups; people use their own water bottles. We will minimize paper waste by going online also with our Soccer/Schedule/Sponsor Program in 2021 in order to produce fewer paper programs. EVENT/PROGRAM PARTICIPANTS 1. How will your event/program increase sales tax in Vail? We are a stay and play and most guests will book 2-3 nights per family. We use the majority of the hotels in the Town of Vail. Every family eats every meal out and, therefore, support local restaurants, hotels, small retail businesses, gas stations; this is how our event increases sales tax in Vail. 5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council? We support the mission and vision by showcasing the Town of Vail and its community. We create returning guests by bringing them into the beauty of the Vail Valley, during the fall season. We encourage second homeownership. Our tournament provides exceptional customer service and showcases the other recreational opportunities of the valley. We also host our team check in within the Town of Vail at the Lionshead Welcome Center to insure that all who visit the area spend time in Vail. 6. CRC - Brand Fit: How will your event or program support the Vail brand identity? The Vail Cup's vision and purpose is to bring people to the valley to enjoy the game they love while also enjoying the background beauty, of the vail valley. By hosting the event in the fall the picturesque environment brings them back again. Sell out early every year as they look forward to coming back and put it on their calendar. They look at our tournament as an opportunity to enjoy the beautiful Vail valley during the fall foliage season and consider it a weekend vacation. Our tournament brings in families/friends/team mates with the focus of creating a weekend Vail community. 7. CRC - Event Timing: How is it the right event/program at the right time? The Colorado Soccer Association provides the first weekend of October as an open weekend allowing the Vail Valley Soccer Club to host the tournament at a time of year that the valley is generally a bit quieter. This allows us to bring our event into the local environment when lodging is available and restaurants are not overcrowded. It brings a surge of family into the valley during one of our most beautiful seasons which keeps them coming back. It is a shoulder season that has always welcomed having our tournament and the people it brings into the valley to participate in our economy when it is not 'high' season. 8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and community members? We sent out the Town of Vail target demographic study survey a few years ago. This survey confirmed that our tournament attracts the target market that our valley is looking for. Demographically the people that attend the Vail Cup are higher income individuals that generally spend money on lodging, eating, activities etc. when coming to the valley. In respect to our community members our local VVSC players are part of the tournament at no charge. About 1/3 our our membership is on scholarship through monies that our tournament brings in. Our families/teams are required to get involved in the volunteer part of our tournament. We get HS soccer players (boys soccer team) and HS cross country teams involved in volunteering and give back to those programs. All involved help out and participate in the weekend bringing a great sense of community to the weekend. 9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new programming, entertainers, adding additional days and activities.) We have increased teams from 148 to 160. Our goal is to continue to improve as we slowly add. We will now have games on Friday evening along with the Saturday-Sunday programming. We continue to bring in local businesses as sponsors so that we can direct participants in the tournament to these locations for team dinners etc. 10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration? The expansion of Friday play brings an early weekend start to the tournament. There are other events in the valley (Vail Farmers market) in October that capitalize on the Fall valley scene that helps get these teams out and about creating a festival feel. The possibility of holding a college ID camp during this time also creates a broader age group that helps mentor the younger teams. We also provide a gathering for all referee's involved in the tournament to create a sense of community and excitement going into the tournament weekend. 11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more marketing questions in a future section. (Reach refers to the total number of different people or households exposed, at least once, to a medium during a given period.) We get national exposure from Got Soccer website 80,000 views; year round listing. They send out our tournament info twice and include the referee database also. We send out messaging from our database. Facebook, instagram also. Reach: 3000 reach Signage in fields with TOV and business logos and information. 12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract sponsorship support? Attract sponsorship support through restaurants, businesses, national sponsors (VVSC jersey) and local sponsors, media exposure vail daily, facebook, college id camp, instagram. We have continued to keep our present sponsorship pool and grow it every year. With the advent of social media we are able to broaden our exposure. We rely on many of our local businesses to directly support the event; Mountain Rec, VRD, Vail Summit Orthopaedics (provides tents for ATC). We provide t-shirt sales with our Vail Cup logo and sell a large number of shirts that are then worn year round throughout Colorado and near by states. 13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to sustain and grow the event. The present tournament director has been with the tournament for 7 years. The tournament has been taking place for 16 years and has always maintained quality, performance, expansion, and sells out every year way before the registration deadline. This tournament has been supported by local sponsors and partners, VRD, Mountain Rec, Colorado Soccer Association, Vail Summit Orthopaedics and many others in the valley. We have relationships with all fields in Eagle County, including all local schools. The plan is to move from 148 to 160 teams next year. We had planned to do this for 2020, and had everything in place to make this happen. 13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. We have been conducting practices throughout the summer and fall that have fully adapted to the public health orders presently in place. We have done this through adhering to all Eagle County Public Health restrictions and have worked closely with them and other partners, VRD, Mtn. Rec, Vail Health on a continual basis. We continue to check in with Vail Health on all updated testing methods in place and proper protocol in respect to COVID when warranted. We have fully approved written protocol (by ECPH) that all VVSC soccer members are privy to and have adhered too. Our event is an outdoor event that will take place in locations with ample space. We have successfully run this tournament for 16 years and, therefore, have complete knowledge and control of our event. We are fully capable of adapting the event to whatever public health orders might be in place come next October. There have been other tournaments and soccer games in other parts of Colorado recently that have had no problem adhering to the Colorado public health orders and, therefore, we know that our event can also properly handle changing Eagle County or Colorado public health orders if need be. 13. Potential benefits to the Town of Vail - What estimated return on investment (ROI) in dollars should the Town of Vail expect? $7,200,000 ROI in this case refers to for each dollar the event/program is funded, how many dollars will be received by the Town of Vail from event impact.) Example: Estimated ROI - Formula: # of attendees x total average spending = $ (2000 attendees) x ($240 daily spend ) = $480,000 4. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges. We are a stay and play tournament and have contracted with Event Connect to manage our lodging. They provide and track the number of lodging nights generated for us and supply us with that information. Event Connect touches base with every hotel in the Town of Vail to acquire room blocks. We have consistently filled those room blocks every year. We also secure lodging for our referees each year and have booked lodging at Vail Racquet Club, Vail Realty, and several other Vail hotels each year. The Town of Vail is our target and also our attendees target for lodging each tournament year. BUDGET Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses. 1. Describe how you will use the funds requested from the CSE. We use the funds for trophies, coaches gifts (TOV log on gift); referee coins (TOV logo displayed) programs, field supplies (support field ambassadors/volunteers), referee fees and lodging, Honey Wagon port a potty rental and trash support, rental of some of the playing fields. What percentage % of the total event/program budget is the CSE being asked to fund? 8 4. If the event/program is not funded at full request, how will the event change with a lower funding allocation? We would need to use more of the monies from the overall intake; 60% plus of the funds received from the event presently goes towards funding scholarships to those athletes and families that could not otherwise participate. This would limit us in respect to having the funds for trophies, coaches gifts, programs, field supplies, Referee fees and lodging, Honey Wagon port a potty and trash support, rental of some of the playing fields. The Town of Vail is a title sponsor in the event and, therefore, we make extra concessions to highlight and spotlight TOV in respect to lodging, restaurants, event check in etc.. If we don't have the funding we might need to go to online registration, which all other tournaments have gone to, This would cut down on staff for us and help us ease the check in. We do not do this so that we can focus the tournament players on the Town of Vail when checking in. This, as a result, provides the TOV with extra room nights and restaurant monies for teams/players that focus their attention on Vail after check in. 5. Should the CSE decide not to support this event/program at all, will it still occur? Yes 6.What dollar amount of the total event/program revenue do you expect the event itself to generate? Objectives: What are you trying to accomplish through your marketing efforts? We are trying to continue to broaden our team participation base in respect to states other than Colorado. Each year the level of teams attending continues to improve which then draws the interest of high level teams outside of Colorado. We also continue, through our marketing efforts, to work on growing our younger team brackets that will ensure their longevity in our tournament due to the fact that we have a very high rate of yearly return. We will continue to exceed expectations in respect to our tournament to keep all teams, plus new teams coming back through word of mouth on the enjoyment of our tournament. 2. Strategy: How will you meet your objectives? We will meet our objectives by continuing to provide a tournament that team players, families, referees, coaches want to come back year after year to. The soccer community is strong and clubs let other age groups know when there is a tournament that is a "good" one to go to. In this manner, by creating a positive experience, we increase team participation within clubs also; broadening age groups, demographics etc. 3. Audience: Who is your audience? (You may choose more than one.) First time visitors, Returning guests, Primary and Second Homeowners, Local residents 4. Activation: Detail in town/in village activation opportunities to promote your event or program. (Definition of Activation: Create an expanded presence throughout the community and stimulate the participation of the merchants, restaurants, bars and lodges.) We have held our Team check in at the Lionshead Welcome Center for the last three years. This gets all team leaders into Vail. As a stay and play we contract with most lodges/hotels in the Town Of Vail (*they generally all sell out). We have many restaurant and bar sponsors in the Town of Vail. They are part of our event program and/or on our website (logo), link etc. For 2021 we will support these sponsors ahead of time by providing an online program that will be distributed to everyone ahead of time. Increased exposure to our lodging, restaurant and merchant sponsors. Some of our sponsor restaurants provide us with menus, tokens to go in the coaches bags that create added incentive to eat, shop etc. in Vail. 5. We develop and encourage integrity, character and leadership through competitive youth soccer programming. Vail Valley Soccer Club runs competitive and recreational programming for youths ages 9 to 18 years of age. Our History Vail Valley Soccer Club (VVSC) began in 1989 as a result of the efforts of a group of local parents with a desire to bring competitive soccer to the Vail Valley. Due to the enormous growth of both the population in Eagle County and the popularity of soccer nationwide, VVSC grew from four recreational teams at its inception to twelve teams in 1994. After this successful introduction to the area and interest from the community; a competitive division, which provided two seasons (rather than the previous one), was created in 1995 for those athletes seeking advancement and a higher level of competition. Now entering its 29th year, the Vail Valley Soccer Club has a total of 15 competitive teams and 1 recreational team with over 400 athletes ranging in age from 8-18 years of age. The VVSC Partner Program has been designed to promote your business year round and help fund VVSC’s programs. We have several different ways to get involved. We produce a uniform shirt with logo opportunities every two years. Our yearly tournament, the Vail Valley Cup, is our largest fundraiser of the year. It is held on the first weekend in October and typically brings in 1000 room nights to Eagle County and over $110,000 worth of revenue. The Vail Cup will host close to 160 teams from around Colorado and surrounding states in 2020. Your sponsorship will provide you with an advertisement in our Vail Cup tournament program that is distributed to team players, family members, coaches and spectators. There is also the opportunity to promote your business on 1000 training T-shirts, and/or have your business logo on VVSC’s website with a direct link to your website. Additionally any website listing will be under “Sponsors” and rotate on the VVSC home page. The proceeds from Vail Valley Soccer Club’s Sponsorship Program will help to fund our programs this year. VVSC player registration fees only cover approximately 65% of the actual cost of our programs. This camp will include both field players and goalkeepers throughout the Western Region, Denver Region and surrounding western states. The ID camp/tournament will be held in Eagle County. Players will be run through a series of sessions run by a college coach from across the country. Players will have the opportunity to learn how college practices are run and the type of training expectations of the college game. Players will end the session with small-sided games. Vail Valley Soccer Club believes that with the valley’s unique natural backdrop and endless outdoor family activities, a college ID camp is going to attract players from all over the Western Region. Cindy’s 16-year battle with breast and bladder cancer ended in May of 2013. If you’ve been on the sidelines watching kids play a Vail Valley Soccer Club match then Cindy’s life has touched yours. Cindy made a difference to thousands of kids and their parents. “She was an incredible optimist. It never occurred to her that something wouldn’t turn out right, and she worked until it did,” said Larry Eskwith, her husband of 40 years. In 1973, Cindy and Larry landed in Vail, Colorado after a stint in Steamboat Springs. Cindy and Larry fell in love with the mountains and stayed. Cindy always believed in the power of sport to inspire leadership and teamwork. She was an athlete her entire life. Cindy got involved with local youth sports because her daughter started playing, the same reason most of us do. But that’s where the similarities ended. Cindy became president of the Vail Valley Soccer Club’s board and started the enormously successful Vail Cup, the soccer tournament that brings thousands of people and many dollars to the valley each autumn. Cindy facilitated the deal for artificial turf fields in Edwards’ Freedom Park. In 2012, the Colorado Youth Soccer Hall of Fame inducted Cindy to honor her significant personal achievement and extraordinary representation of the soccer community. In addition to sports, Cindy was passionate about local education. VVSC will be showcasing college bound boys and girls throughout the three-day ID camp and tournament. This ID camp will be a unique opportunity to match accredited colleges with players that are looking to challenge themselves both academically and athletically. This camp will include both field players and goalkeepers throughout the Western Region and beyond. The ID camp/tournament will be held at Notthingham Park in the center of Avon and Eagle-Vail. Both of these venues are located right in the heart of the beautiful Vail Valley. The College ID Camp will be held on Friday, June 8th from 5- 8pm. Players will be run through a series of sessions run by a college coach from across the country. Players will get a little taste of how college practices are run and the type of training expectations of the college game. Players will end the session with small-sided games. The boys' Round Robin will be held on Saturday, June 9th, and the girls' Round Robin will be held on Sunday, June 10th. Teams will be guaranteed 3 games (games will be 50 minutes long). Games will start at 9am on both Saturday and Sunday.
