EVENT DESCRIPTION
1. Is this a new or existing event/program in Vail?
Existing
1a. How many years has the event or program been produced in Vail?
40
1b. Please describe the location(s) of the event or program in previous years.
Each year we use the fields at Ford Park, the Vail Athletic Field, Vail Mountain School, Donovan Park, Homestake Peak School
Stadium and the Eagle Vail fields.
2. Please provide a detailed description of the event/program and its activities.
We are an invitational lacrosse tournament for men and women with divisions that include Under 19 High School Divisions for
boys and girls; Elite Divisions for men and women (collegiate and post collegiate, club players); Masters Divisions for men and
women between 30 & 40; a Supermasters Division for men between 40 & 50; a Grandmasters Division for men between 50 & 60;
and a Zenmasters Division for men 60 & over. Each division plays over a period of 3 or 4 days. Each year we host a youth
lacrosse clinic for boys from age 7 to 12. In 2021, we would like to expand our youth clinic to also include a 3 v 3 Chumash youth
tournament. The tournament has vendors that sell lacrosse equipment and tournament logo'd apparel at the Ford Park venue.
We also provide live streaming of key tournament games through the tournament website.
3. Please list the specific venues that you plan to utilize, including dates and times, and whether or not you have
contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary
venues.
For the 2021 event, we plan to use the fields at Ford Park, Vail Athletic Field, Vail Mountain School, Donovan Park, Homestake
Peak School Stadium and the Eagle Vail fields. The Ford Park fields, the Vail Athletic Field and the Vail Mountain School field will
be used over the duration of the tournament -- June 26 through July 4. The Homestake Peak School Stadium field, the Eagle Vail
Fields and the Donovan Park field will only be used as needed depending on game schedules. Approximate times of field use
each day will be 8:00 AM to 5:00 PM. Each year we work with the Vail Recreation District to determine field availability and to
reserve the appropriate fields for the specific dates needed. Each year we obtain a written permission letter from Vail Mountain
School for the use of their field on the dates and times requested.
4. Do you plan to use Vail Recreation District Facilities?
Yes
4a. Please attach letter or email confirmation from Vail Recreation District if using VRD facilities.
Vail Rec District field use permission letter for 2021.pdf
5. If any of the event/program takes place outside of the Town of Vail, please explain where the event will take
place and why.
We plan to use the fields at Freedom Park in Edwards for the High School Girls Division and possibly games in the Women's
Masters Division of the tournament. The Freedom Park fields are necessary for the High School Girls division because their dates
overlap with the High School Boys Div. as well as the older men's divisions, requiring additional fields. As stated above, we will
use Homestake Peak School Stadium and the Eagle Vail fields for some tournament games on days when several divisions overlap
and more fields are needed due to game schedules.
ENVIRONMENTAL PRACTICES
1. Which of these environmental practices will you commit to executing at your event/program?
Use of recyclable materials - banners, paper, etc., Ban use of plastic bags, Remind guests to bring re-usable bags and water
bottles, Encourage use of bicycles, buses, shuttles, carpools, walking or public transit to event, Enforce no idling policy for staff
and guests, Recycling required in all areas of event, Provide water bottle filling stations
2. Please describe your commitment to environmental sustainability and detail measures that will be taken during
your event to ensure minimal environmental impact and sustainable best practices.
During our event we will make efforts to minimize our environmental impact through the following: 1) providing recycle
receptacles in close proximity to trash cans at all field venues; 2) trainers provide drinking water to teams and officials in large
Gatorade coolers and re-useable water bottles that our trainers wash and reuse over the course of the event to discourage the
use of throw away plastic water bottles; 3) encouraging all participants to use team vans to transport players in one vehicle to the
various field venues, rather than individual vehicles; 4) encouraging participants and fans to use the Vail transportation system or
walk to get to field venues; 5) encouraging teams to find accomodations in the Town of Vail to reduce driving to field venues; 6)
communicating tournament information to teams electronically via email, text and the tournament website; 7) use of an online
system for team and individual player registration; 8) submittal of teams' game rosters to us electronically; 9) use of car pooling
for tournament staff to get to our various field venues.

5,178
2. Estimate the number of destination guests from outside Colorado your event/program will bring to Vail
7,707
3. Estimate the number of international guests your event/program will bring to Vail
60
4. How will your event/program increase sales tax in Vail?
Vail Shootout participants and "others" accompanying players and teams ("others" include family, friends and chaperones)
increase sales tax in Vail in the areas of lodging, restaurants and bars, participation in other recreational activities, liquor store
purchases and grocery store purchases. Each of our various age divisions play for either 3 or 4 consecutive days in Vail, which
requires that teams and those accompanying teams stay in lodging between 2 to 4 nights and purchase groceries or restaurant
meals each day. Since teams typically play one game per day, most teams also take advantage of other activities while in Vail
including golf, rafting, riding the Gondola, bicycling, fishing, horseback riding, jeep & ATV tours, ziplines, etc. In addition to
players and their families, tournament officials and event staff also are generating increased sales tax in the same categories
mentioned above. Tournament officials and staff stay in Vail for an extended period, depending on the tournament dates for that
year. In 2021, staff and officials will be staying for approx. 10 to 11 days. Survey results from the 2019 event reported that the
Shootout had a sales tax impact of $124,420 and a sales tax impact ratio of $9.95. No results are available for 2020, due to
cancellation of the event because of Covid 19 virus restrictions.
5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council?
We feel that the Vail Lacrosse Shootout contributes to Vail's effort to grow a vibrant, diverse economy and community and to
provide an abundance of recreational opportunities by bringing to Vail an event that brings some of the best athletes in a very
popular sport to Vail to participate in one of the oldest and most well-known summer lacrosse tournaments in the country. Our
event provides a unique recreational event to both Vail Valley residents and tourists visiting the area. The Shootout is attended
by varied age and gender groups from diverse geographical areas, including international groups in some years. Also, our event
provides a substantial economic impact to the Town -- the 2019 tournament had a direct economic impact of $3,297,813 per the
post event survey (no results are available for 2020 due to cancellation of the event due to Covid). For the above reasons, we feel
that our event contributes greatly to Vail's vision of being the "premier international mountain resort community."
6. CRC - Brand Fit: How will your event or program support the Vail brand identity?
Our event attendees, including players, their families, friends and chaperones, travel to Vail from many geographical areas of the
country as well as some from Canada. In 2018 we also included teams from Hawaii and Japan. A team from Scotland has
expressed interest in participating in 2022. Our event has varied age and gender divisions from high school to over 60, so a
diverse group is becoming familiar with the Vail area and all it has to offer. Tournament participants and those traveling to Vail
with them are best described as active and athletic people of various ages that also participate in other outdoor activities while in
Vail and are also likely to return to Vail to enjoy other recreational activities, including skiing. They are people that appreciate the
active, outdoor lifestyle that Vail's setting offers. The 2019 post event survey reports that 54% of our attendees have an annual
income of $150,000 or more. This diversity of ages, geographical areas and income level represented at our event enables the
Vail brand identity to be seen and experienced to a very desirable demographic.
7. CRC - Event Timing: How is it the right event/program at the right time?
Our event adds a free, unique athletic event featuring some of the best athletes in the sport of lacrosse for summer visitors and
residents to enjoy. Among lacrosse players and fans, the Vail Lacrosse Shootout is very well known and, despite the increased
number of tournaments due to the popularity of the sport, our tournament is still considered by many lacrosse players, young and
old, to be "THE" summer tournament to attend. High school and college players are looking for summer lacrosse tournaments to
play in while out of school; older players are coming to re-connect with old friends as well as combining a family vacation with
playing in the Shootout. We believe that our event compliments and enhances other summer events and activities that are
available to visitors during the very busy summer tourist season.
8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and
community members?
Our event strives to attract both visitors and community members by offering a free, competitive lacrosse tournament featuring
top lacrosse players and very competitive games in many age and gender divisions. The tournament takes place on and around
the 4th of July, when there are many visitors in Vail for the holiday, offering these visitors a unique event to attend during their
stay. Our main field venue is Ford Park, which is very visible and easy to access for summer visitors. The youth clinic that we
hold each year as part of the Shootout is a great community involvement opportunity that offers both local and visiting youth in
the area the opportunity to learn about the sport of lacrosse or improve their lacrosse skills. In the future, we hope to involve
existing Vail youth lacrosse leagues in our youth clinic and also offer a 3v3 "Chumash" tournament for youth. In 2021, we hope
that Casey Powell will again be a tournament sponsor and will be involved in not only vending at the tournament but also helping
to promote and organize our youth clinic and Chumash event, giving youth the unique experience of learning about lacrosse from
one of the all-time best in the sport.
9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new
programming, entertainers, adding additional days and activities.)
The tournament intends to again partner with two non-profit organizations, Lacrosse The Nations and The Casey Powell World
Lacrosse Foundation, as well as tournament vendor Powell Lacrosse. These organizations are involved with the tournament as
sponsors and merchandise vendors. Lacrosse The Nations offers support to children in impoverished areas through the sport of
lacrosse. The Casey Powell World Lacrosse Foundation supports lacrosse players and their families that are dealing with severe
injuries or illness. The tournament offers these organizations a means of spreading the word about their mission and providing a
way for others to become involved in these worthy causes. Each year, we hope to continue to expand and diversify the
involvement in the Shootout of these organizations. As mentioned above, we plan to work with lacrosse legend Casey Powell to
expand our youth clinic. To expand our activities, in 2021 we hope to include a Chumash youth tournament that would follow the
youth clinic. We would also like to have an in town activation that would involve an informal, fun lacrosse activity that local and
visiting youth could take part in. We'll continue to expand the number of games that are live streamed on our website.
10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration?
Our event provides lacrosse players the opportunity to come together, reconnect and socialize with longtime friends and former
teammates that they don't have the opportunity to see otherwise. For many of our participants, the Vail Shootout is an annual
reunion for players that have been long time teammates and friends. Players reuniting in this way supports an atmosphere of
vitality, fun and celebration. Each year, the tournament hosts a team social event at a local bar, offering players a chance to
gather together and catch up with old and new friends and teammates in an atmosphere of fun and celebration. In our masters,
supermasters and grandmasters divisions many players bring their families, combining playing in the tournament with a family
vacation. Our game schedules allow plenty of time for participants to enjoy other activities like rafting, biking, hiking, fishing,
golfing and river rafting with their teammates and/or families. The post event survey of the 2019 tournament reported that
attendees spent approximately $38 per attendee, per day on other recreational activities. In town, it's evident that lacrosse
players are enjoying the nightlife in the many restaurants and bars. For players and spectators alike, the beautiful setting at Ford
Park is the perfect atmosphere to sit in the sun, enjoy both spectacular views and exciting lacrosse action and celebrate summer
in the Colorado mountains.
11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more
marketing questions in a future section. (Reach refers to the total number of different people or households
exposed, at least once, to a medium during a given period.)
Marketing reach is via our tournament website, our presence on social media sites including Facebook, Twitter, Instagram &
Snapchat, through live streaming of key games during the tournament provided by tournament partner Scorebreak, and also via
our souvenir tournament program. From 6/28/19 thru 7/7/19, our website had 17,253 sessions, 7,074 users and 47,681
pageviews. The tournament had 2,921 Twitter followers; 1,413 Instagram followers and 3,017 Facebook likes. Approximately
1,500 copies of the tournament program were printed and they were available at field venues, at the Vail Welcome Center and at
the Lionshead Welcome Center.
12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract
sponsorship support?
Our tournament website (www.vaillacrosse.com) is used as a means of attracting sponsorship support by providing sponsors with
a prominent display of their logo and a link to the sponsor's website. We strive to keep the website updated with current
tournament information, including game schedules and field directions, so that it is the primary source of information for players,
families and fans, thereby promoting more visibility for sponsors. Each year we review and update our sponsorship package that
details the various levels of sponsorship. We have a dedicated staff member that will be reaching out and promoting the event to
potential sponsors. Our live streaming of key tournament games allows us to better market our event to potential sponsors as it
gives us the ability to offer video advertising. Media exposure is gained through coverage of the event by the Vail Daily and
inclusion of the event on various event calendars. Promotion of our event to potential sponsors is also achieved through social
media, including Facebook, Twitter, Instagram and Snapchat. In 2019, the Shootout received media exposure through an article
submitted by one of our teams that also featured the Shootout in Lacrosse Magazine and also through a film clip that was
featured on ESPN Sportcenter's "Top 10" television segment on Tuesday, July 2, 2019.
13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to
sustain and grow the event.
The producers/directors of our event have been involved in the sport of lacrosse in many different capacities over many years.
Our tournament directors and staff include a former coach at Colorado College, the head lacrosse coach at Regis Jesuit High
School; and a coach of various youth programs in the Denver metropolitan area. Our tournament directors have an extensive
knowledge of the sport of lacrosse due to their involvement with the sport over many years. They have also developed many
connections with coaches, players and supporters of lacrosse. These long time connections with others involved in the sport are a
great resource to help sustain the tournament as a high quality event as well as making and reinforcing important connections to
provide future growth. Also, one of our tournament directors was a director for the World Games of Lacrosse in Denver in 2014.
13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to
changing public health orders.
Prior to the beginning of the Covid pandemic, the Shootout had a full field of teams signed up to participate in the 2020 Shootout
in all of our various divisions. As the Covid pandemic began to have an impact in Colorado, we monitored the situation and stayed
in contact with the Vail Recreation District and with the special event coordinator for the Vail CSE as to the status of restrictions
on gatherings as required by the Eagle County Health Department and the Transition Trail Map. During this time, we sent several
communications to our registered teams keeping them apprised of the situation in Eagle County and the status of our event. We
contemplated a smaller event with less participants and an adjustment to the rules to try to reduce contact. Once it was
determined that our event could not take place in 2020 due to the stage of the restrictions in place per the Trail Map, we
immediately informed all of our team contacts and refunded to them all entry fees that had been paid. At that time, our
participants expressed their understanding of the need to cancel the event and let us know that they fully intended to return to
compete in the Shootout in 2021. In short, we were able to adapt to the changing Covid situation in the spring of 2020. We
understand that it remains unknown what impact the Covid virus may have in the summer of 2021. We anticipate that it will be
something that as an event, we will need to stay informed about and possibly adapt our event to meet any restrictions that may
be in place and to be responsible about protecting our event participants.
13. EE - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing
public health orders.
As explained above, as we plan the 2021 Shootout, we will stay apprised of public health orders in place as we plan the event.
We will stay in touch with the Vail Recreation District and the Vail CSE regarding public health orders that may impact our event.
If necessary, we will discuss ways our event can be adjusted to meet any restrictions that may be in place at that time. We will
also stay in contact with teams planning to attend the 2021 event so they are aware of the situation and any impact on the
tournament.
EVENT ECONOMIC IMPACT
1. Potential benefits to the Town of Vail - Estimate number of room nights for your event or program.
12,136
2. Potential benefits to the Town of Vail - Potential benefits to the Town of Vail - Estimate increased spending
generated by your event or program.
$3,572,316
Example: Increased spend by attendees in restaurants, shops, lodging or activities.
3. Potential benefits to the Town of Vail - What estimated return on investment (ROI) in dollars should the Town of
Vail expect?
$178
ROI in this case refers to for each dollar the event/program is funded, how many dollars will be received by the Town of Vail from event impact.)
Example: Estimated ROI - Formula: # of attendees x total average spending = $ (2000 attendees) x ($240 daily spend ) = $480,000
4. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a
description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding
agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges.
Erik Tilley of Peak Sports Travel is a long time tournament sponsor and works with our team coordinators, individual participants
and others traveling with teams to assist them with their travel arrangements, especially lodging. When working with tournament
participants, Erik provides them several housing options in Vail and Lionshead with each proposal. The tournament
communicates to teams the services offered by Peak Sports Travel numerous times prior to the event and we encourage all
attendees to book lodging through Erik. The 2019 post event survey reported that 79% of our attendees selected lodging located
in Vail as opposed to other parts of the Vail Valley.
BUDGET
Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses.
1. Describe how you will use the funds requested from the CSE.
CSE funds will be used to pay for advertising and promotional expenses associated with the event, including the cost of producing
the tournament program, creating a promotional flyer for the youth clinic and creating a tournament poster. Funds will also be
used for expenses associated with maintaining and continuing to improve the tournament website, expenses incurred in the
production of the live online streaming by Scorebreak, costs associated with promoting the event through social media sites,
professional photographer costs, and costs associated with our marketing efforts in order to comply with the CSE's marketing
guidelines and marketing checklist.
2. Please upload the provided complete event/program budget template here.
Vail Lacrosse Shootout Event proposed budget 2021.xlsx
3. What percentage % of the total event/program budget is the CSE being asked to fund?
11
4. If the event/program is not funded at full request, how will the event change with a lower funding allocation?
Tournament expenses that are not "hard costs" would need to be reduced to adjust for the reduced funding. Hard costs
associated with putting on the tournament include the cost of field rentals, cost of providing officials and athletic trainers, the cost
of providing housing and meals for approximately 80 tournament staff, rental costs for scorer's and vending tents, and the cost of
providing portable toilets and trash removal at field venues. Many of these expenses are increasing from year to year. In 2019
tent rental increased significantly. The reduction in expenses would therefore need to be made in promoting and marketing the
event including expenses associated with the live streaming television production, the tournament website, creation and printing
of a tournament poster, and expenses associated with promotion of the tournament through social media sites. In addition,
production costs associated with the souvenir tournament program would need to be reduced by reducing both the content and
the number of programs printed.
5. Should the CSE decide not to support this event/program at all, will it still occur?
Yes
6.What dollar amount of the total event/program revenue do you expect the event itself to generate? (ticket sales,
merchandise, food and alcohol sales, etc.)
170,560
7. Do you intend to host the event or program in Vail beyond 2021?
Yes
7a. How many years beyond 2021?
4+
7b. Do you anticipate requesting funding from the CSE for 2022?
Yes
MARKETING
Please upload your event/program marketing plan and budget, include strategy, channel, method, budget and
execution dates.
Marketing Plan for CSE Funding Appl 2021.pdf
1. Objectives: What are you trying to accomplish through your marketing efforts?
We hope to increase the number and quality of event sponsors and gain sponsors at higher levels of sponsorship, thereby
increasing sponsorship funds coming to the tournament. For the 2021 event, we plan to increase marketing of our event to more
teams, especially from geographical areas not currently represented at the tournament. Increasing the number of event
participants and the geographical representation at the tournament makes our event more attractive to potential sponsors. It
also increases the number of visitors our event brings to Vail, resulting in a greater economic benefit to the Town and local
businesses.
2. Strategy: How will you meet your objectives?
By continuing and increasing exposure of our event to our desired demographic through social media outlets, our tournament
website, increasing viewership of our online streaming of games and reaching out to potential team contacts by email and social
media. We will also send tournament information to regional Board representatives of US Lacrosse, which allows us to market our
event to individuals working with US Lacrosse to grow and promote the sport in their geographical areas. To increase the number
of sponsors, we will continue efforts to distribute our sponsorship packet to potential sponsors and to cross promote our event
with tournament partners that have a strong social media presence like The Casey Powell World Lacrosse Foundation. and
Lacrosse The Nations. Word of mouth recommendations by participants that attended and enjoyed our tournament is also
beneficial and encourages other coaches and players to choose the Vail Shootout as their summer tournament of choice.
3. Audience: Who is your audience? (You may choose more than one.)
First time visitors, Returning guests, Primary and Second Homeowners, Local residents
4. Activation: Detail in town/in village activation opportunities to promote your event or program. (Definition of
Activation: Create an expanded presence throughout the community and stimulate the participation of the
merchants, restaurants, bars and lodges.)
Each year, we host two separate team social events (one for the Supermasters, Grandmasters & Zenmasters players in the earlier
portion of the tournament and one for the Masters & Elite players in the later portion of the tournament) at a local Vail bar. In the
future, we'd like to also host an in town activation for youth in the Gold Peak area that would be an opportunity to teach those not
familiar with the sport about lacrosse and would also give youth an opportunity to have fun and use their lacrosse skills in a fun,
non-competitive activity. We would co-host an activity of this type with Casey Powell Lacrosse.
5. Channels: Which of these channels will you utilize to promote your event or program? (You may select more than
one.)
Print - Local, Print - Regional, Print - National, Radio, Television, Online Event Listings, Web, Facebook, Instagram, Twitter, Posters,
Flyers, Signage – Banners, etc, Co-promotions, Partnerships, Local Vail Businesses

SPONSORSHIPS & PARTNERSHIPS
1. What is the dollar $ amount of sponsorships and/or partnerships from other sources reflected in the
event/program budget?
$13,625
1a. What is the dollar $ amount of in-kind services or items provided from sponsors or partners?
$1,400
2. Please list your confirmed sponsors or partners.
The following sponsors had confirmed they would continue sponsorship of our event in 2020. After cancellation of the 2020
Shootout due to Covid, these sponsors indicated that they looked forward to again sponsoring the event in 2021. Therefore, we
anticipate the following sponsors will continue to sponsor our event in 2021: Lacrosse The Nations, The Casey Powell World
Lacrosse Foundation, Casey Powell Lacrosse, Wendy's, Scorebreak, Alpine Bank, Alpine Party Rental, Peak Sports Travel, Alpine
Mobile Physicians, Vail Ale House, Vail Racquet Club, Kids' Adventure Games, Herman's Hideaway, Laxgear.
3. Please explain the potential for additional sponsorships or partners.
The cross promotion of our event through non-profit organizations Lacrosse The Nations and The Casey Powell World Lacrosse
Foundation will increase our exposure and may enable us to make contact with potential new sponsors. Each year, we hope to
increase the level of involvement and sponsorship with both of these sponsors, as we support the mission of each of their
organizations. We also plan to increase the involvement of tournament sponsor Scorebreak each year and increase the number
of games that are live streamed, thereby attracting potential sponsors. A designated staff member will be reaching out and
marketing our event to a larger number of potential sponsors through our 2021 sponsorship packet. Another source of acquiring
additional sponsors or partners is through our event attendees. Some of our attendees have expressed in not only participating
in the event but becoming involved in the Shootout as a sponsor or partner.
4. Please upload your sponsorships/partnerships presentation, pitch deck or letter. (Document sent to prospective
partners or sponsors which provides benefits for participating in your event/program.)

REQUEST FOR FACILITY RENTAL FEE RELIEF FROM THE TOWN OF VAIL
This form does not guarantee approval of requested listed facilities. This is your ONLY opportunity to apply for 2018 rental relief for facilities, no other
requests will be accepted.
Please note that certain town services are not available as in-kind, such as permit fees, barricade rental, banner fees, extra duty police officers, Zero
Hero,etc.
1. Do you need facility rental relief?
No
ADDITIONAL INFORMATION
Are there any questions you have for the CSE or other things you'd like to share with the board that are not
included in the application?
With regard to our request for relief for facility rental, we'd like to increase the amount of parking that we have access to at Ford
Park. We are provided access at no charge to one half of the lot in The Nest from approx. 7:00 AM to 5:00 PM. We'd like to
increase the amount of parking we can access without charge in order to be able to provide close in parking for tournament staff,
trainers, our video crew, vendors, officials and coaches. These participants are generally gone from the parking lot by 5:00 each
day, so increased use of the parking lot shouldn't interfere with availability of parking for amphitheater events, and our parking
attendant staff member can monitor this closely. Not having enough close in parking at Ford Park is the most frequent complaint
we receive from players and coaches. They often comment that they are spending a significant amount of money to stay in Vail
for several days and are not happy with having to also pay $10 per day to park close to Ford Park when paying in games at that
location.
Estimated attendance and demographic information used for this application uses attendance numbers based on the number of
teams we would expect to have in 2021, provided the Covid pandemic is not as much of a factor in the summer of 2021 as it was
in the summer of 2020. We understand that in 2021 there could still be some impact to our event due to Covid concerns and that
our attendance numbers could be affected by that, but at this point it is too early to know.

Attendee Response: How likely is it that you would recommend this event to a
friend or colleague?
RRC’s post event survey results show that 75.1% of survey respondents reported
they are extremely likely to recommend the Vail Lacrosse Shootout to a friend or
family member. 75.1% of respondents chose “10” on a scale of 1 to 10 as to how
likely they’d be to recommend our event to others. Based on the NPS Calculation
below, our survey results show that 82.5% would be considered “promoters”; 15.7%
would be considered “passives”; and 1.7% would be considered “detractors”. Our
Net Promoter Score is 81%.
The NPS Calculation
Calculate your NPS using the answer to a key question, using a 0 -10 scale:
How likely is it that you would recommend [brand] to a friend or colleague?
Promoters (score 9-10) are loyal enthusiasts who will keep buying and refer others, fueling growth.
Passives (score 7-8) are satisfied but unenthusiastic customers who are vulnerable to competitive offerings.
Detractors (score 0-6) are unhappy customers who can damage your brand and impede growth through
negative word-of-mouth.
Event Strengths & Weaknesses
10
•How did the event exceed expectations? Last year, attendees expressed that they’d like to
have more merchandise offered by vendors. This year Powell Lacrosse was our main
vendor and they provided more variety and designs in tournament logo’d merchandise.
This year we considered attendees’ comments about the format of games and made
adjustments that resulted in more competitive games and addressed participants’
comments. We also adjusted tournament dates this year to better work around the July 4 th
holiday for players personal and family schedules.
•What are areas for event improvement? We continue to seek ways to increase the number
of teams participating, particularly in our men’s and women’s elite and high school boys
and girls divisions. We plan to reach out to potential market areas/schools well in advance
of next year’s event to try to increase teams attending. We’ve set the 2020 event dates to
allow us to promote the event to potential teams earlier.
•How did this year’s event compare to last year’s event? This year’s attendance estimate
increased from 11.7k in 2018 to 11.8k in 2019; the direct economic impact this year was
$3,297,813.35 ($3,138,656.63 in 2018); the economic impact payback ratio this year was
$263.83 ($209.24 in 2018); and the sales tax impact increased to $124,420 ($112,389 in
2018).
11
Vail Brand Compatibility
The Premier International Mountain Resort Community
12
•How did the event /program support the Vail Brand? We include the Vail
logo on all promotional materials including the cover of our tournament
program as well as a full page, color ad inside the program; on our
tournament website (www.vaillacrosse.com) with a link to the Town of Vail’s
website; placement of Town of Vail banners at Ford Park during the event;
distribution of press releases that include the Vail logo and promotional
footer; video ads provided by the Town that are broadcast during live
streaming of games online. Also, all information provided to our teams as
we organize the event includes the Vail Shootout logo as well as the Town of
Vail logo.
Brand Positioning:
•Town of Vail: The Premier International Mountain Resort Community
•Vail Mountain: Like nothing on earth
Community Contribution
13
•How did the event impact Vail’s sense of community? The Vail Shootout
offers the community a chance to see some of the country’s most
talented high school and college players converge in Vail, offering
spectators a means of watching exciting lacrosse action not available in
many of Colorado’s mountain communities. Our event is free and lasts
several days, providing an opportunity for residents and tourists in the
Vail area around the July 4th holiday the opportunity to stop by and watch
an exciting lacrosse match up.
•Each year we offer a youth clinic for boys ages 8 to 12 in the community.
This year the youth clinic was planned, but unfortunately due to a
thunderstorm we were not able to hold the clinic because of lightning
concerns. We will host the youth clinic as part of next year’s event.
14
Topline Marketing Efforts
15
•What are the top 3 successful marketing tactics, executions or results from your event/program?
•Our tournament website is our most valuable marketing asset, as it offers our sponsors visibility to a
large lacrosse audience. Sponsor logos with links to their websites are posted. The website is also the
source for all information pertaining to the event for participants and fans. During the event, we
continually update the website with event information including each days’ game results and the
schedule of games for the following day. From 6/28/19 thru 7/7/19 the website had 7,074 users, 17,253
sessions, and 47,681 pageviews.
•Online streaming of key games during the event is one of our best marketing tactics. Online streaming
also gives us the ability to offer our sponsors valuable video advertising.
•Our presence on social media is an important marketing tactic as a way of creating interest in our event.
Our relationships with tournament sponsors The Casey Powell World Lacrosse Foundation and Lacrosse
The Nations has increased our presence on social media with cross promotion of our respective
organizations.
•Please attach complete marketing plan to end of presentation.
Potential for Growth & Sponsorships/Media Exposure
16
•How do you see the event evolving next year? We will be making an effort to increase
the number of teams, particularly in the Men’s Elite and the HS Boys and Girls
Divisions. We would like to increase not only the number of teams but also the
geographical areas represented.
•What sponsors do you plan to target next year? We want to continue to build on our
relationships with current sponsors Lacrosse The Nations and The Casey Powell
Foundation as these organizations are well known and we support their mission of
helping others through the sport of lacrosse. We’d like to increase the involvement of
current sponsor Alpine Bank. We have a designated staff member that will be
seeking out new sponsorships.
•How will you leverage media exposure and extend the marketing reach next year? By
building on the relationships with Lacrosse The Nations and The Casey Powell
Foundation and increasing cross promotion with these organizations.
Sustainability Efforts
17
•What measures were taken at your event/program to support the environmentally -friendly goals of the
Town of Vail? Providing a sufficient number of recycling and trash receptacles at all field venues;
encouraging participants to use the Vail bus system or team vans for drop offs; encouraging participants to
park at the parking structures and walk or use bus transportation to the fields; scheduling most games in
the Vail area rather than fields further away; carpooling by our staff.
•What waste reduction methods were used during your event/program? Providing drinking water to teams
and officials in large Gatorade coolers to discourage use of plastic water bottles, arranging group lunches
and dinners for tournament staff, thereby reducing the number of car trips to fast food restaurants and
the waste that accompanies a fast food meal; use by our staff of the bus system or carpooling to field
locations; limiting paper used during our event and recycling paper items generated during the event.
•How could you improve on sustainability efforts for next year’s event? We will continue to schedule as
many games on fields in Vail as possible to avoid car trips by teams and staff to locations down valley.
The Town of Vail is committed to the stewardship and protection of our unique mountain environment. In consideration of both
our local and global impacts and opportunities, our environmental vision is to demonstrate and promote: renewable energy,
resource efficiency, ecosystem protection, and community awareness and education.
