Please name and describe the beneficiary In the past, Bourbon and Bacon Fest has benefited Colorado ProStart, an education program of the Colorado Restaurant Association. Prostart is a nationally certified education program supports high school and college students for a career in the food and restaurant business With COVID changing the landscape of many non profits and businesses , we are open to supporting any charity that connects well to the event. Restaurants and small business within the Town of Vail. Servers and employees that we were hard hit during COVID EVENT DESCRIPTION 1. Is this a new or existing event/program in Vail? New 2. Please provide a detailed description of the event/program and its activities. The Bourbon and Bacon Fest is an annual event that started in Denver 8 years ago and has grown to 7 markets within the Entercom Family. The Denver event has sold out for 7 years in a row. We had a successful 2020 event in January before the pandemic hit. B&B fest features local restaurants with their "bacon" specialty item and samples of Bourbon from the top distributors in the country. The event will partner with local Chefs and restaurants and work with bourbon brands from Republic National. We will customize the event to fit the needs of Vail and the area businesses as well as be COVID compliant with attendance, venues and sampling requirements. We had approval to do the event in 2020 but with COVID, had to cancel, but Entercom is excited to work with the Town of Vail for 2021 3. Please list the specific venues that you plan to utilize, including dates and times, and whether or not you have contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary venues. As this is a new event, we will work with the Town of Vail on specific locations. If the event is 2 weekends, we can move from Mid Vail to Lionshead outdoors and create events within small venues of each area Betty Ford Gardens would be great for the grand tasting and small attended tastings at area restaurants or hotels. 4. Use of recyclable materials - banners, paper, etc., Ban use of plastic bags, Remind guests to bring re-usable bags and water bottles, Encourage use of bicycles, buses, shuttles, carpools, walking or public transit to event, Enforce no idling policy for staff and guests, Use eco-friendly serving utensils (compostable or recyclable), Compost food waste, Provide secure bike parking area 2. Not only the attendees but the sponsors, staff and vendors will use Vail accommodations, dining and shopping. The event will use as many local vendors as possible from rentals to staff. The event will have a positive impact on the economy through increase sales tax of hotels, shopping and dining. Bourbon and Bacon Fest Vail aligns to the Town of Vail as it operates within your event calendar and will take place within the Town of Vail. The Town of Vails logo and brand image aligned to all promotional materials, marketing associated with the event Media mentions and integration on social media : Ex: The Town of Vail presents Bourbon and Bacon Fest or Bourbon and Bacon Fest Vail features World Class Chefs and high end Bourbons ..... Based on approvals. we will integrate Vail into the fabric of the event. Like Nothing on Earth, Bourbon and Bacon Fest Vail will feature exclusive Bourbons from the finest distilleries in the nation and culinary experience in the most unique atmosphere that is Vail Colorado . 7. CRC - Event Timing: How is it the right event/program at the right time? The event offers the flexibility to fit within the seasonal calendar of Vail to optimize destination visitation. 8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and community members? Marketing & Promotions targeted to Front Range Colorado, the community of Vail and the drive cities of Colorado Springs, Grand Junction, Fort Collins and Summit County. We will create a robust, crossplatform and targeted 4 month promotion campaign that run up to the event. Tactics included: - Targeted Digital Display & Video (audience and contextually targeted) - Targeted Social Media Display & Video (included sponsored posts from local media outlets and social influencers. Live feeds from the event as well) - Radio (Recorded Spots & Live Endorsements from the event) - Social Calendars - Bourbon Bloggers - Cross Promotion with all sponsors, partners and vendors - Local Print - Concierge calendars - PR - Signage - Promotional Items Actual timing, tactics, gross impressions based on final approvals 9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new programming, entertainers, adding additional days and activities.) The event offers so much opportunity for growth. Historically Bourbon and Bacon Fest is a one day tasting event. We will work with the Town of Vail to offer more than just the one day grand tasting event. Fresh content each year from acoustical music, adding events the day before and the day after the tasting. Creating VIP cant buy experiences such as tasting with exclusive brands such as Pappy Van Winkle Add a local section of Vail/Colorado only distilleries and brands 10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration? The event promotes a COVID safe, fun and interactive atmosphere. Bourbon lovers are passionate and part of the event they look forward to is learning the history and process of how a barrel comes to be. The same is true of "foodies" who come to enjoy tastings from the local restaurants and are eager to meet and learn of new dining locations and also support of the community 11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more marketing questions in a future section. (Reach refers to the total number of different people or households exposed, at least once, to a medium during a given period.) We will be working with a local event company, Events Specialists LLC.. who have been in business for over 20 years. The founder, Chris Chassen not only sits on the board of the Colorado Restaurant Foundation but she produces and executes The Annual Denver Food and Wine festival as well as other culinary events. She has expertise in the dining, culinary adn event space. Event Specialists LLC. and Entercom Communications have a long time working partnership and understand the goals and mission of the Town of Vail and will deliver a successful event with potential for years of growth 13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. We are a national company with local presence and offer far better and deeper resources than small event organizations . Our company has very strict guidelines related to COVID and our knowledgeable legal team will help determine the events set up in regards to public health orders. We also have the ability to pivot and be nimble as those orders change throughout the year 13. EE - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. the same as above we will work within the guidelines and also be able to message those guidelines to attendees EVENT ECONOMIC IMPACT 1. Potential benefits to the Town of Vail - What estimated return on investment (ROI) in dollars should the Town of Vail expect? $430,000 ROI in this case refers to for each dollar the event/program is funded, how many dollars will be received by the Town of Vail from event impact.) Example: Estimated ROI - Formula: # of attendees x total average spending = $ (2000 attendees) x ($240 daily spend ) = $480,000 4. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges. all media and promotion will be directed to town of vail website and creative messaging will promote destination visits BUDGET Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses. 1. Describe how you will use the funds requested from the CSE. The funds requested from the CSE will help underwrite a portion of event expenses that build the infrastructure of the event. Referencing the budget template provided, the funds will help cover 50% of the required expenses to execute the event successfully.
