Organization's Mission Statement The Colorado Film Institute's mission is to foster independent film through film screenings, educational panels, workshops, and networking events. The Colorado Film Institute stages the annual Vail Film Festival in Vail. Colorado as the primary outlet for the Institute's initiatives. 20. Organization's Tax Status Non-Profit (501C-3) 21. Vail Film Festival screenings and events have taken place in many venues throughout Vail, including the CineBistro Theater, the Lodge at Vail, The Four Seasons, The Sebastian, Vail Mountain Haus, the Marriott Vail, the Vail Mountain School, Bol Vail, La Tour restaurant, Larkspur restaurant, and the Cascade Theater. 2. Please provide a detailed description of the event/program and its activities. The Vail Film Festival includes film screenings, filmmaker question and answer sessions, film industry panel discussions, educational master classes, networking and social events, and an awards ceremony honoring the winning films, as well as tributes to established and rising stars in the film industry. 3. Please list the specific venues that you plan to utilize, including dates and times, and whether or not you have contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary venues. The 2021 Vail Film Festival will use the same venues we have used for the past several years, including the Cascade theater, the Mountain Haus hotel, La Tour restaurant, and Larkspur restaurant. The Vail Film Festival will also be staged online. The festival will follow all current protocols for indoor screenings and will keep up to date with guidelines from local, state, and federal organizations. The festival will also consider drive-in theater screenings if needed. 4. Do you plan to use Vail Recreation District Facilities? No 5. If any of the event/program takes place outside of the Town of Vail, please explain where the event will take place and why. All physical events will take place within the Town of Vail, with additional programming online. ENVIRONMENTAL PRACTICES 1. Which of these environmental practices will you commit to executing at your event/program? All of these 2. Please describe your commitment to environmental sustainability and detail measures that will be taken during your event to ensure minimal environmental impact and sustainable best practices. We will use carbon offsets and encourage all guests to recycle. We will encourage guests to take the Town of Vail buses, walk, or carpool. Our filmmakers, attendees, staff, and volunteers will spend money within the Town of Vail, including hotel bookings, dining at restaurants, and shopping at local stores. 5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council? The Vail Film Festival's focus on culturally relevant programming and works that inspire and entertain, as well as educational panels and filmmaker discussions, help to support the Vail Town Council's mission to offer cultural and educational opportunities to Vail residents and visiting guests, and to offer a fun experience that also fosters community building. 6. CRC - Brand Fit: How will your event or program support the Vail brand identity? The Vail Film Festival strives to be a world class event by attracting leading film producers, directors, and actors, and showcasing some of the year's best American and International films, aligning with Vail's identity as the world's premier international resort destination. The festival film program is on par with the best film festivals in the world, the festival guest and filmmaker experience is seamless throughout the entire process, from the online film program and ticket purchasing to will call pick up. The festival staff and volunteers are well trained and able to communicate key festival information to attending guests, all supporting Vail's identity as a world class resort. 7. CRC - Event Timing: How is it the right event/program at the right time? We feel that many people miss attending events due to the pandemic and that by April 2021 people will feel far more comfortable and will be excited about attending a physical event. Additionally, the Vail Film Festival dates in early April will help to attract film industry professionals as there are no conflicting film festivals around that time. We also feel that the event can help to draw film enthusiasts who also enjoy skiing and other outdoor winter activities to enjoy Vail for the final few weeks of the ski season. 8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and community members? The Vail Film Festival draws attendees from the Vail community, from throughout Colorado, and from cities across the United States, who are interested in viewing the year's most cutting edge and inspiring films, learning about innovative filmmaking techniques, and interacting with some of the top filmmakers and actors working in the film industry. 9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new programming, entertainers, adding additional days and activities.) In addition to the physical event, the 2021 Vail Film Festival will include a full online program, as well as many panel discussions, filmmaker sessions, and workshops. We intend to significantly grow our educational programs for the 2021 film festival so that the film screenings comprise only part of the program. Additionally, the online component will help to extend the Vail Film Festival brand to audiences across the country and around the world, and will help to drive future in person attendance at the event. 10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration? The Vail Film Festival is a celebratory, fun event that encourages interaction between guests and filmmakers, both with daily panels and filmmaker Question and Answer sessions, and with nightly parties where attendees can discuss the day's films and unwind at one of Vail's signature hotels or restaurants. We will also program a number of films that are entertaining and uplifting, and films that promote conversations between attendees and filmmakers. 11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more marketing questions in a future section. (Reach refers to the total number of different people or households exposed, at least once, to a medium during a given period.) The Vail Film Festival will have a marketing and media reach of over 15 million. 12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract sponsorship support? We have continued to build media awareness through major social networks such as Facebook and Twitter, as well as grow our affiliations with film industry publications and organizations. We will continue to seek out stronger media partnerships to build the Vail Film Festival brand within the film industry and among the general public. Additionally, we will invite film industry journalists and film critics to attend the 2021 Vail Film Festival. The festival will also honor high profile film industry guests, generating significant media exposure through press releases and media coverage, as well as social media exposure. The festival will also have a full online program which will enable us to reach a far wider audience beyond Vail. 13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to sustain and grow the event. The producers of the event have staged the Vail Film Festival for 17 years, and have extensive knowledge and deep resources within the film industry to sustain and grow the event. 13. The producers were ready to stage the 2020 Vail Film Festival as a physical event, and were forced to cancel the event just 10 days before the set start date. Fortunately, a film festival lends itself well to the online format, and the producers were able to stage the full 2020 Vail Film Festival online. Additionally, depending on public health orders, the producers can also stage drive-in screenings, and social distanced outdoor screenings, in order to meet any public health orders. 13. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges. The festival will direct attendees to book lodging within the Town of Vail on the festival lodging page on the website, as well as in our newsletters, in our lodging specific emails, and in emails to festival pass purchasers. The festival will work with our hotel partners to track lodging nights generated. BUDGET Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses. 1. The funds requested from the CSE will be used to market the event to guests in Colorado and across the country, via traditional marketing and through social media and online channels. 2. The festival's marketing efforts are targeted to bring in filmmakers and guests from the key filmmaking locations of Los Angeles, New York, and Chicago, and attendees from Vail, Denver/Boulder and throughout Colorado, as well as film enthusiasts from across the United States and internationally. 2. Strategy: How will you meet your objectives? The festival will spend strategically to target the right demographic of film fans, filmmakers, and entertainment and luxury seekers. To help achieve our objectives, the festival will partner with other events and organizations with similar goals, as well as in-kind sponsorships to extend our marketing spend. 3. We are in talks with several potential new sponsors including several online streaming platforms (Netflix, Hulu, Amazon, and Apple TV), as well as other online focused companies. We also anticipate securing sponsors that have supported the event in the past such as many of our hotel, travel, and marketing partners. 4. This is your ONLY opportunity to apply for 2018 rental relief for facilities, no other requests will be accepted. Please note that certain town services are not available as in-kind, such as permit fees, barricade rental, banner fees, extra duty police officers, Zero Hero,etc. 1. Due to the pandemic, we staged the 2020 Vail Film Festival online with great success. We screened over 50 films and had a marketing reach of over 20 million, including prominent exposure in the New York Post and Decider.com. We had approximately 7500 pass/ticket buyers viewing the films and over 200,000 people visiting the website. The festival reached people in 44 U.S. states and 7 countries. For the 2021 Vail Film Festival, we intend to stage both the physical film festival and the online event, significantly increasing our reach and helping to build greater brand awareness for both the film festival and for the Town of Vail. Cinephiles everywhere could enjoy from the comfort of their homes without the need for travel or buying theater popcorn. We’re all missing in-person events, and as great as it was to still participate in the Vail Film Fest, it’s not quite the same. Film producers, directors, actors, and moviegoers usually like to mix and mingle, and present and listen to panel discussions in person. Actually, the last large-scale event that I attended was the Boulder Film Festival in early March where I met film actor Jesse Eisenberg and listened to panel discussions with Robbie Robertson of “The Band” and “Wild” author Cheryl Strayed. I am grateful for those memories of gathering together and look forward to more in the future when it’s safe. But as always, the 2020 Vail Film Festival featured incredible films, focused on women filmmakers, had a robust social media presence and provided excellent content. There were filmmaker Q&A’s, women in film panel discussions, some great short films, virtual live music, student films, voting for your favorite films, and a fun awards ceremony. A few fan favorites stood out. Narrated by Annette Benning, “A Towering Task” tells the unlikely and uniquely American story of the Peace Corps, from its founding under John F. Kennedy to today’s existence at the forefront of some of the pressing themes facing the global community. Special to the Daily GMC Audience Award winning film “Drought” tells the story of an autistic young man with a huge fascination for weather. He and his sister go storm-chasing in their mom’s ice cream truck. This film made its world premiere online at the Vail Film Festival on May 16, followed by a Q&A with directors. The best film award went to “Barbara Adesso;” best documentary, “Seasons of Change on Henry’s Far;” best short films, “Reclamation” and “Rehearsal;” and best student film “Carrying Tomorrow.” Long time Vail Film Festival emcee Bill LeVasseur thanked the Vail Film Festival community, the filmmakers, sponsors, and supporters of independent filmmakers.
