Vail to peruse Vail businesses, stay in Vail lodging, and continue their evening in Vail bars and restaurants. The Farm-to-Table
dinners promote fun experiences where our guests learn to create delicious meals from local produce, eat healthily and locally,
and support local businesses and vendors. They see what is available at the market and what they may have during their time in
Vail.

For the first few years, the event took place on Meadow Drive but has since moved to the International Bridge. We plan on
keeping the event on International Bridge and, if possible, growing events back to 125 guests for each event.
2. Please provide a detailed description of the event/program and its activities.
The Vail Farm-to-Table Dinner Series is a series of family-style pop-up dinners on the Vail mall. The event takes place on the
streets of Vail next to the river on Willow Bridge Road. The ingredients are sourced from local and regional farmers and cooked
into delicious creations by local chefs. Guests are served a four-course meal with wine and beer, meet and mingle with locals and
visitors to the town, and engage directly with the chef to learn how each course is prepared.

your event to ensure minimal environmental impact and sustainable best practices.
The Farm-to-Table is a fun and delicious event designed to raise awareness about buying food locally and supporting local and
regional farms. Encouraging people to buy and eat local decreases packaging waste and carbon emissions from shipping. On a
regional level, obtaining locally sourced food is essential to preserving small farms, reducing our reliance on large monocultures
that destroy the soil, and maintaining agricultural land from being developed, thereby keeping Colorado beautiful.
The Farm-to-Table Dinner Series aims to be zero waste, using ceramic plates and metal utensils, wine glasses, and glass mason
jars for water. Alcohol is served in recyclable glass wine bottles and aluminum cans. We give any leftovers to our workers and
composting any waste left on plates.
In 2020, we needed to make a few concessions due to COVID-19, using more plastic gloves to serve food and buss tables and
handing out disposable masks to those in need of one. If conditions stay the same with the pandemic, keeping everyone safe and
healthy will be our top priority at this event, with sustainability and the environment being a close second.

The Farm-To-Table dinner attracts over half of its' participants from out of town. These guests come to Vail to have a unique
experience, and along the way, they meet new people, exchange ideas, and learn about the town in ways that encourages them
to tell their friends and continue to return to Vail. The guests tend to stay overnight in Vail and are encouraged to stay for the
rest of the weekend. While they are in town, they support Vail hotels, shop in Vail stores, and visit Vail bars and restaurants,
increasing sales tax revenues.
5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council?
This event brings in guests and locals alike, encourages them to meet and mingle in a fun, beautiful outdoor atmosphere, and
grows a community where guests will continue to visit, and locals will continue to be kind and open with visitors. Eating local food
and meeting chefs encourages buying and shopping locally and preparing delicious fresh food. Of course, guests also receive
exceptional food and service, keeping them returning to the event and the Town of Vail.
COVID-19 regulations discouraged people from interacting closely with one another in 2020 and may continue into 2021.
However, guests love an event that gets them out of their house, is outside in the fresh air, and where they can see and interact
with other people. The community feel is essential, especially during pandemic times, and is present at this event, even from a
distance of a least six feet.
6. CRC - Brand Fit: How will your event or program support the Vail brand identity?
The event is unique, held on Vail's streets, and focusing on local chefs creating masterpieces from local fresh food. Each night is
different and unforgettable. Our guests leave feeling they had a special, one-of-a-kind evening, creating long-lasting and warm
memories of Vail.
7. CRC - Event Timing: How is it the right event/program at the right time?
The Farm-to-Table dinners are organized on a Friday night to encourage guests to come one day earlier to Vail and stay through
the weekend, frequenting Vail businesses. The event occurs July through September to have enough produce and materials
available from the farms.
8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and
community members?
The Farm-To-Table Dinner Series targets people who enjoy good food and community. The delicious food and the unique location
make it a local's favorite. Visitors, who either heard about it through a friend or our marketing efforts, come to experience good
food and wine. Guests meet new people at the event, exchange ideas, and create new friends and contacts they may keep for
the rest of their lives. This unique event builds community, friendships, and lasting relationships, keeping guests returning to
experience the excellent food and fantastic community once again.
9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new
programming, entertainers, adding additional days and activities.)
The Farm-to-Table Dinner holds two dinners in July, two in August, and are looking to extend one more event into September. We
are hoping to provide musical entertainment and more festive lighting. We also plan to create recipe links to chef-made dinners
on our website and pass out recipe cards in person.
10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration?
The event centers around food and community. Where there are food and wine, people are bound to be having a great time. Add
lights, music, and good friends, as well as the intrigue of other unknown guests, and you have a celebration. This atmosphere of
vitality was particularly important during the pandemic when guests needed something somewhat normal and distracting from
the COVID-19 virus. While things may be similar in 2021, we can still provide a fun atmosphere while keeping guests six feet
apart. They may not interact closely with anybody not within their party, but everybody who comes to the event should leave
happy, content, and with the warm feeling of being part of a once-in-a-lifetime community event.
11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more
marketing questions in a future section. (Reach refers to the total number of different people or households
exposed, at least once, to a medium during a given period.)
We had 25 pieces of coverage from our PR. Our impressions totaled 9,585,225, which is an ad equivalency of $89,475. We have
Ads in 5280 and Vail Daily with a reach of over 200,000 people. The social media blasts have gone out to of 16,000 local and
national consumers.
12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract
sponsorship support?
We are increasing our marketing effort to get a more extensive social media, local, and regional presence. We will continue to
have press from across the state join us during the Farm-to-Table dinners. In 2020, we plan to leverage our sponsors' media
connections to enhance the Vail Farmers' Market and the Farm-to-Table exposure and reach new markets. Our PR Company,
ThinkBig Media, continually expands our regional reach and is useful in securing sponsorships. We will also be collaborating with
local businesses to cross-promote our event.
13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to
sustain and grow the event.
In 1992, Angela Mueller began planning small events in the Vail Valley. With just herself, a family, and a growing reputation for
extraordinary events, Angela turned her passion into a business, and Ren Event Productions came to life. Angela and her team at
Red Event Productions specialize in providing top quality, iconic events. We provide planning, consultation services for
corporations, associations, and charitable organizations.
The team at Ren Event Productions has experience with a wide range of events and shows and collaborates with a variety of
clients. Ren works with a network of staff and vendors to ensure all the elements of each event blend seamlessly. Ren is not just
an event and production company; we cultivate relationships. Whether a client or internal employee, a vendor, or a local farmer,
these connections are the key to innovation, creativity, culinary insight, and, most importantly, satisfying the locals and guests in
Colorado and beyond. We will continue to work hard and grow the Farm-to-Table Dinner Series.
13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to
changing public health orders.
Due to COVID-19 conditions in 2020, the event and the event producer had to demonstrate extreme flexibility. The event cut the
number of tickets in half to accommodate the maximum number of people at a gathering. We were able to divide tables into
individual groups, enforce physical distancing requirements, require masks for our guests, and provide refunds if anybody
developed symptoms and could not make it to the event. We also were able to cancel our event if the number of COVID-19 cases
spiked. Our staff maintained a high standard of cleanliness and health, and every item was cleaned and sanitized multiple times.
Should COVID-19 limitations continue into 2021, or another event occurs, the event producer has demonstrated the ability to
follow and enforce changing public health orders and continue to pivot when needed.

This year has shown we can adapt and evolve to accomplish the event safely.

agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges.
The Vail Farmers' Market will update the Vail Farmers' Market website with information and links to Vail Lodging. We also provide
local lodging for the press. The survey will help us determine how many lodging nights were generated by the event.
BUDGET

1. Describe how you will use the funds requested from the CSE.
Due to the popularity of the event, we will be adding a fifth dinner and working towards the upkeep and replacement of
equipment and COVID-19 PPE if needed. We will once again be using a large tent for our guests and increase the number of
attendees if possible. We will require more supplies and more staff to move equipment and serve and buss tables.
We are also looking at providing classical or jazz music beforehand; the funds would go toward paying for the trio/quartet and
helping with a speaker system and providing suitable lighting for the tent for the evenings.

This year we cut costs by not renting a tent. If we continue without a tent, we are held at the mercy of inclement weather and
may have to cancel the event due to poor weather. In addition, the quality of the seating and tableware would be older and of a
decreased quality, as we would have to replace some of the equipment with much cheaper alternatives. Lack of funding would
reduce the ambiance due to less lighting, no music, and less wine.

Our marketing efforts aim to bring more guests into the Vail Valley and increase their stay to include Friday, Saturday, and
Sunday. More guests equal more people thinking about eating local and being informed and excited about the Vail Farmers
Market and increasing their stay to include Sunday.
2. Strategy: How will you meet your objectives?
The PR group, Think Big Media, has done an outstanding job in the past, reaching out to local, regional, and national media. Avid
Designs works on ensuring our website is updated with the most recent pictures and events. We will increase our social media
presence, growing the number of posts on Facebook, Pinterest, and Instagram.

4. Activation: Detail in town/in village activation opportunities to promote your event or program. (Definition of
Activation: Create an expanded presence throughout the community and stimulate the participation of the
merchants, restaurants, bars and lodges.)
Postcards will be delivered to each of the restaurants and hotels before the event to advertise. We reach out to all of the chefs
and ask all of the restaurants in Vail to participate. The local chef and restaurant participation increases the tourists' awareness
of Vail restaurants and showcases the chef's skills in a unique atmosphere. We bring people to the mall who might have
otherwise only been onto the mountain and encourage them to wander past merchants. The event finishes at a time appropriate
to going to the bar afterward and continuing to frequent the town and staying in Vail lodging. We ask the lodges to house media
and increase their regional and national presence.

Marketing Plan
2021
The COVID-19 pandemic caused deviations from our 2020 marketing plan. We cut
back on national exposure to reduce the risk of spreading the disease through traveling
tourists as well as cut back on expenses.
Hopefully, 2021 will be a new year with fewer challenges, and we will be able to
increase our marketing to visitors around the nation and the world. First, we aim to
have 2 to 3 press members from around the state present at each Farm to Table to
provide exposure and literature about the event and garner the Denver crowd. Our PR
company, Think Big Media, will help ensure our name continues to expand in the
national and local outlets, and we will once again continue our advertising and have
articles throughout the summer in the following outlets:

Reaching out specifically to the Denver and Front Range markets can help us bring in
guests for a long weekend, especially if travel restrictions are still in place. Our PR
company has helped us get a great presence!
Second, we will continue our Social Media plan: Facebook, Pinterest, Instagram, and
Twitter. The social media plan/website can continue all year long, expanding an
additional five months.
Next, e will send out e-mail blasts weekly and bi-weekly with our social media plan. We
aim to introduce the series in the winter and then have information about chefs,
produce, and the products used by the chefs for guests to take home with them.
We will continue to pass out postcards to lodging concierges and restaurants so
visiting guests can learn about us once in town.
Finally, press releases will be given to concierges, visitor info centers, newspapers,
radio, and more to capitalize upon free word of mouth and media exposure.

2021
The Vail Farmers’ Market & Art Show brings in over 221,000 guests every summer.
The Vail Farmers’ Market and Art Show brings the active outdoor enthusiast into
town to explore the streets of Vail. The market has created a sense of community
where locals can have lunch and purchase their produce and crafts and tourists
come and enjoy the outdoors while they shop in Vail.
We offered activities for the culinary, active outdoor enthusiast to enjoy. The 2019
survey found that hiking, mountain biking, road biking and travel are all reasons the
guests came to Vail.
The Market presents Colorado grown produce, meats
and artisanal food products, food booths showcasing
some of Vail’s top chefs and premier restaurants, and a
variety of high quality arts and crafts as well as
multiple entertainment venues with musical
entertainment, kids activities, cooking demonstrations,
and more.
The Demographics:

•Providing tourists and residents with an
exciting thing to do in Vail. Each event sold
out every time.
•The event has been growing every year and is
extremely popular. We added one more
dinner this year.
•We added value to the guest experience in
Vail. We were able to bring guests to stay in
Vail during COVID.
Strengths
Strengths during COVID-19
Symptom Checks Symptom check for all staff; if exhibiting, sent home. Refund
policy for guests, allowing them to stay home if sick.
Masks Mandatory for all staff and guests.
Distancing Worked to maintain distancing of tables,
individuals in lines, and workers and chefs.
Flexibility Maintained the flexibility to cancel the event if
needed, as well as help guests with cancellations
PPE Provided protective masks if needed, gloves for all
workers, and cleaning agents to be used frequently.
•To decrease costs, we did not get a
tent this year and ran the risk of being
limited by inclement weather.
•COVID-19 spikes across the valley
caused a prudent cancellation of one
of the dinners.
•We had over half of our spaces
removed due to COVID.

Topline Marketing Efforts
•The Farm-to-Table Series was started six years
ago to provide a sense of community for Vail.
Each year, the event has grown. While we had
setbacks with COVID-19, we still helped the
event happen and received positive feedback
from all of our guest. We work with the
community to explore all events work on our
times to not conflict with other events occurring in
Vail.
Community Contribution
The Farm-to-Table used 100%
compostable and recyclable materials.
•Utilized reusable Plates, utensils, and
water glasses.
•Compostable wine glasses that
people could bring home with them.
•Reusable napkins (deeply sanitized).
