Approval of the Minutes from the CSE Meeting on 09/02/2020 b. Council update • Proposing a joint session with CSE and Council to discuss the scope and funding of the ambient music activations c. VEAC Update • Gift Card Program has launched and encouraging all Vail Business employees to sign up at vailgov.com/gift-card-program. $25 gift cards will be handed out to Vail Businesses and locals in Vail Valley for redemption at Vail Businesses through Dec. 15 d. VLMDAC Update • Mark Heron, new Lodging Liaison has been brought on to increase communication and relationships between VLMDAC and the Lodging Community. 2. 8:40 a.m.: 2021 Application Process Discussion (10 minutes) a. Funding Request Overview • Review of all requests will be discussed on October 14 • The total CSE budget was decreased 30% from last year b. Scorecard Walkthrough • Applications can be viewed in the shared folder sent to each CSE member. Scorecards will be sent to each CSE member individually. 3. 8:50 a.m.: Event Updates – October Requests (10 Minutes) a. Halloween Supplemental Request • Rediker: very concerning that there was no contact with VRD • Wadey requesting VRD Logo on marketing collateral. Scott agrees to this • Rediker: VRD has a photographer that could potentially be used • Motion to approve an additional $2400 for artists, marketing and photography exhibit with the requirement that Scott Rednor makes contact with VRD within 48 hours. Biszantz/Rediker/Unanimous 4. 9:00 a.m.: Event Recap (90 minutes) a. Vail Community Art Series (15 Minutes) • Impacted early by events that were scheduled right when covid hit. Modified the plan to some virtual events during the height of the shutdown. • Snowsports museum, amphitheater and other iconic vail locations used for the virtual events. • Additional operational impacts adding more tables and equipment to facilitate social distancing. • Motion to approve final funding 1. Rediker/Biszantz/Unanimous b. Vail Farmers Market (15 Minutes) • Worked with task forces to keep up with COVID regulations. Taste of Vail connection made that possible. • COVID-19 Response: Decreased vendors with space between each. Strict load in times. Additional signage. Hand sanitizer at each booth. Limited # of guests at each booth. Time slots for entrance. At risk entry at 9:30. Email sent to all guests who had tickets with COVID-19 guidelines. People counting in and out of market. 175 every 15 minutes. • Biszantz: did the vendors have feedback on spending? Were people buying more because they had limited options? 1. Vendors who used to do a lot of samples were impacted negatively. Others sold more. • Rediker: I think it went really well. It seemed 100% compliant with protocols. Vail Farmers Market, Farm to Table Series (15 Minutes) • Didn’t want to put more work on restaurants because of how they were impacted. We reached out though and found a bunch that were interested. • All dinners sold out 1-2 weeks ahead. Everything was plated. • Created a sense of community and happiness at the events. • 43.1% of tickets sold out of eagle county. • 95% want to return. • For FTT would people pay more because it’s a limited experience? • FTT price increased about $10 this year. • Motion to release final funding • Biszantz/Lau/Unanimous d. Vail Craft Beer Classic (15 Minutes) • Wadey: Great experience overall, the acoustic music was hard to heard, happy when they moved to the stage. The bag of meat sticks was a little underwhelming as a snack/food option. • Rediker: the layout and flow was good, didn’t see a single person I knew which means most people were out of town. Smoke was very thick which could have driven people away but it looked mostly full. Nice job 1. Kristen – we communicated to all guests that refunds would be given if anyone felt sick, was concerned about smoke, etc. • Lau: Mask referee was fun and creative. • Motion to approve final funding • Rediker/Lau/Unanimous e. Vail Free Family Fun Fest (15 Minutes) • Hall: Thanks for the leadership and support from the town. When vail made mask recommendations more strong, it made the event production easier with more guest compliance. • Programming, games, etc. are easy to adapt to covid guidelines. Birds of prey was a great activation since it was presentational and no touch. Marketing was a challenge where you were trying to promote awareness but not drive too many numbers. • Wadey: Feedback from lodges and businesses was that it was very well run. Concierges very happy to have these types of activities to give to guests. • Motion to release final funding • Gordon/biszantz/Unanimous f. Shakedown Presents (15 minutes) • Biszantz – Made locals happy. • Wadey – great that you were able to raise so much for the fundraiser show. • Motion to release final funding • Biszantz/Lau/Unanimous 5. 10:30 a.m.: Revely Vail – Guest Service Program update (10 minutes) a. Initially focused on thanksgiving. Theme of welcome to the brilliance of winter. Wanted to include increased lighting. VR Restriction on day tickets until December 7. Tree lighting at thanksgiving will still take place. Pull in elements from last year. 6. 10:40 .a.m.: New Business (5 minutes) a. Biszantz: County covid regulations are now more tied to the state. We will be limited to 500 attendees max if we get to protect our neighbors’ phase. Motion to adjourn Adjournment @10:45 a.m. The October CSE meeting will be held virtually via Zoom.
