I am seeking 1 day (9 hours) to 1.5 days (half day for Saturday of 5 hours) of in-kind days. Our two biggest expenses are ice rental fees and hotel fees. The $5,000 and in-kind days will help us meet our goal of breaking even for this event. All funds from the CSE will go directly back to local hotels and Dobson Arena for ice time and staffing. 8. Organization's Mission Statement To provide skaters, coaches, skating fans, and general public the highest quality of skating education and entertainment. We continue the Shipstad Family tradition of ice skating education and entertainment that started in 1936 with the Shipstads and Johnson Ice Follies. 20. Organization's Tax Status For Profit 21. Is this a new or existing event/program in Vail? Existing 1a. How many years has the event or program been produced in Vail? 3 1b. Please describe the location(s) of the event or program in previous years. Dobson Arena Two years during the December Vail Skating Festival 2018, 2019, and one year (2020) the last week of July. 2. Please provide a detailed description of the event/program and its activities. Clinic/Seminar for skaters and coaches that include on and off-ice activities specializing in jump technique, off-ice jumping, spinning, combination elements, skating skills, and choreography. Local Vail activities include yoga, off-ice dancing with a jazz/ballet instructor, and tour of the Steadman Clinic/Steadman Philippon Research Institute. Group classes and private lessons are a part of the clinic/seminar with the staff of Olympic, World, International, and US National level coaches. 3. Please list the specific venues that you plan to utilize, including dates and times, and whether or not you have contacted them to confirm availability. The Event Producer is responsible for booking and securing any necessary venues. Dobson Arena is used for all on and off ice activities. We also use the Vail Library for video or off-ice presentations by doctors from the Steadman Clinic/Steadman Philippon Research Institute. The Library has not been contacted yet. I plan on doing that as soon as I know if funding is available for this event. 4. Do you plan to use Vail Recreation District Facilities? Yes 4a. If any of the event/program takes place outside of the Town of Vail, please explain where the event will take place and why. No outside facilities will be used. ENVIRONMENTAL PRACTICES 1. Which of these environmental practices will you commit to executing at your event/program? Use of recyclable materials - banners, paper, etc., Ban use of plastic bags, Remind guests to bring re-usable bags and water bottles, Encourage use of bicycles, buses, shuttles, carpools, walking or public transit to event, Enforce no idling policy for staff and guests, Recycling required in all areas of event, Wastewater will be properly disposed of, Use eco-friendly serving utensils (compostable or recyclable), Ban styrofoam, not allowed within town limits, Compost food waste, Provide water bottle filling stations, Provide secure bike parking area 2. Please describe your commitment to environmental sustainability and detail measures that will be taken during your event to ensure minimal environmental impact and sustainable best practices. Dobson Arena is a fantastic location for our event and they follow all of the TOV guidelines. Recycling bins are available throughout the rink. Our athletes prefer to use their own water bottles that can be refilled. EVENT/PROGRAM PARTICIPANTS 1. Number of participants (athletes, artists, exhibitors, etc.) anticipated 65 2. Number of volunteers needed 2 3. Number of event/program staff 6 4. Estimate of total number of spectators/attendees anticipated 100 SCORECARD CRITERIA QUESTIONS 1. Estimate the number of destination guests from within Colorado, with a focus on the Front Range that your event/program will bring to Vail 40 2. Estimate the number of destination guests from outside Colorado your event/program will bring to Vail 15 3. Estimate the number of international guests your event/program will bring to Vail 2 4. How will your event/program increase sales tax in Vail? Hotel room nights and food for 4 nights of guests. In 2020 over 90% of our guests stayed one additional night in Vail to enjoy the Town of Vail and the Sunday Farmer's Market. The skaters loved taking the gondola up the mountain, hiking, and enjoying Vail's amazing restaurants. 5. CRC - Brand Fit: How will your event support the mission and vision of the Vail Town Council? Bringing the highest level of skating and education to one the World's most premier resorts. 6. CRC - Brand Fit: How will your event or program support the Vail brand identity? Our events are known as offering the highest level of coaching and educational opportunities for the sport of figure skating. Our clinic/seminar is also endorsed by the Professional Skaters' Association and US Figure Skating which is the governing body of our sport. 7. CRC - Event Timing: How is it the right event/program at the right time? The last week of July has no local or Front Range competitions during that week. It is a great time for skaters and coaches to attend an event mid-summer prior to the qualifying competitive season. It is also two weeks after the Vail Invitational competition and two weeks prior to the next competition in Denver. It is an ideal week to have a clinic/seminar during the summer months. 8. CRC - Community Enrichment: How will your event/program attract target markets of both visitors and community members? The community of skaters of all levels can take advantage of the fantastic opportunity to work with elite coaches. The skating program in Vail has been diminishing for years. This is a wonderful opportunity to generate more excitement for the local community of skaters. For Front Range and National skaters, this is also an amazing opportunity to work with elite coaches both on and off of the ice, in one of the most beautiful rinks in the country, and in one of the most beautiful resorts in the world. 9. CRC - Growth Potential: How will the event/program deliver fresh content? (Fresh content means new programming, entertainers, adding additional days and activities.) Each of the past three years has increased with the number of skaters and coaches attending. In the future, I see the event being successful with two 2.5 day clinics during the entire week. New guest coaches are invited each year for a fresh perspective. Each year will also add new and creative off ice activities. With access to the Steadman Clinic/Steadman Philippon Research Institute, we are provided the opportunity to have their top trainers work in our camp. 10. CRC - Growth Potential: How will the event/program promote an atmosphere of vitality, fun and celebration? My number one goal is to make the event fun for everyone involved. As a coach of 30 years, I know that keeping a skater's energy and interest in improving is critical. Figure Skating is a sport that has no off season. It is one of the few sports that trains all year. Due to that reason, it is critical for skaters to have opportunities like clinics to give them a fresh perspective of their training. As part of the clinic, we offer the skaters an opportunity to perform a program of their choice in our nightly exhibitions. It is a great way to show off all of their improvements and celebrate their hard work. 11. CRC - Marketing Strength: What is the marketing reach for the event/program? You will be asked more marketing questions in a future section. (Reach refers to the total number of different people or households exposed, at least once, to a medium during a given period.) 6,000 United States, Canadian, and Mexican coaches that are members of the Professional Skaters' Association (PSA) receive information on the clinic/seminar. Thousands of other skaters see information from the posters located at all local and surrounding states ice rinks. We have a booth or flyers at many of the non-qualifying competitions in the CO area including Broadmoor Open Competition, which is one of the biggest non-qualifying competitions in the country. 12. CRC - Marketing Strength: What is the potential for the event/program to leverage media exposure and attract sponsorship support? Olympic, World, International, and US National coaches and skaters that are current members of TEAM USA and other World Organizations are reasons to draw media exposure. For that same reason, sponsorship opportunities are available for both skating related companies and local non-skating related businesses. 13. CRC - Producer Qualifications: Explain the event/program producer’s quality, knowledge and resources to sustain and grow the event. Eddie Shipstad: World, International, US National, and Master Rated Professional with the Professional Skaters' Association. Served on the Board of Directors of the Professional Skaters' Association Served on the Board of US Figure Skating's Sports Medicine and Collegiate Committees Director of Figure Skating at the University of Denver/ During that time he ran the top Clinic/Seminar in the United States for 4 years straight. The Vail Skating Festival has a similar structure to those clinics. Owner of Shipstad Entertainment 13. CRC - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. We ran the 2020 Vail Skating Festival's Summer Elite Training Clinic/Seminar the last week of July. We were the second event to occur at Dobson Arena after the quarantine. We worked closely with the management of Dobson Arena to adhere to the Town of Vail's safety requirements. Masks were mandatory at all times, groups were divided by level and ability to prevent more than twenty skaters in the rink at one time. Many of the off-ice programs were taught outside of the arena on the south end of Dobson. 13. EE - Producer Qualifications: Explain the adaptability of the event and the event producer to adjust to changing public health orders. EVENT ECONOMIC IMPACT 1. Potential benefits to the Town of Vail - Estimate number of room nights for your event or program. 220 2. Potential benefits to the Town of Vail - Potential benefits to the Town of Vail - Estimate increased spending generated by your event or program. $96,000 Example: Increased spend by attendees in restaurants, shops, lodging or activities. 3. Potential benefits to the Town of Vail - What estimated return on investment (ROI) in dollars should the Town of Vail expect? $91,000 ROI in this case refers to for each dollar the event/program is funded, how many dollars will be received by the Town of Vail from event impact.) Example: Estimated ROI - Formula: # of attendees x total average spending = $ (2000 attendees) x ($240 daily spend ) = $480,000 4. Explanation of how you will direct prospective attendees to book lodging within the Town of Vail and a description of how you will track the number of lodging nights generated. REMINDER: Per the CSE funding agreement, the event producer is REQUIRED to direct attendees to book in Town of Vail hotels and lodges. We give our skaters/coaches at least 5 options for housing in the Town of Vail. We also supply them with pre-event schedules that show the benefit of staying in town. I also list restaurants around the Town of Vail that are close enough to Dobson Arena to leave for lunch daily as well as restaurants around town for after each day's clinic/seminar. We also advertise staying over after the skater's last day of camp to enjoy going up the mountain or spending time at Sunday's Farmers Market. We also advertise the free bus shuttles and parking at the Town of Vail parking structures. BUDGET Using the provided budget template, provide a detailed estimated event/program budget, including anticipated revenues and expenses. 1. Describe how you will use the funds requested from the CSE. All funds will go directly to housing the coaching staff at local hotels or resorts and paying for part of the ice time at Dobson Arena only. The 1 to 1.5 in-kind days requested of Dobson Arena are to assist the skater's fees to lower them to help have this opportunity. By having assistance from the CSE this allows more skaters to participate in this amazing event. 2. Now that things are opening up more for having events with an audience, we will advertise the nightly exhibitions that the skaters will perform. We will try to regain their support for our fantastic event. I'd like to see a few of the hotels/resorts give us discounted rates for our coaching staff. We are thrilled that we do have the Antlers giving us a generous discount for our coaches and a reduced rate for the athletes involved in the clinic/seminar. 4. Please describe proposed use of Dobson Arena facility. Dobson will be the main facility for the Summer Training Experience both on and off of the ice. We utilize the party/meeting room on the upper level as well as the lower lobby area inside the front doors for many of the off-ice jumping classes. We also utilize the upper outdoors area on the east side of Dobson Arena for our morning yoga classes for the athletes. We are renting 24 to 25 hours of ice in 2.5 days. We are also offering FREE Exhibitions of Elite Skating to the guests and residents of Vail on Thursday the 29th and Friday the 30th. In July 2020 we did a two-and-a-half-day clinic/seminar for competitive skaters at Dobson Arena that was an amazing hit. Our event was sold out with 36 skaters and 6 elite coaches. The staff included Three Olympic coaches. The skaters that attended the clinic included skaters from around the front range, skaters from multiple states, 10 Team USA athletes, and skaters from 6 countries. Even with the obstacle of Covid-19 over the summer, we sold out the event. Over 90% of the skaters stayed a total of four nights each in Vail. The other skaters stay ed three nights. This was the first organized skating event in the state of Colorado since the quarantine. The first competition in the state of Colorado was two weeks later in Denver. The Dobson staff and everyone involved made the event go smoothly and safely. All detailed safety considerations were made with social distancing, entering and exiting the ice and building, no spectators except for exhibitions, masks at a ll times, temperatures taken at the beginning of the day, and all other restrictions were closely followed. 24-hours of ice time was purchased by Shipstad Entertainment at Dobson Arena from Thursday at 7:30am to Saturday at noon. Skaters had the opportunity to leave Vail at noon on Saturday, but most skaters stayed an additional night to enjoy Vail, take the gondola, enjoy the Farmers’ Market, and many other activities. 2021 The 2021 event will be two-and-a-half-day clinic/seminar. We are anticipating selling out the camp with over 55+ skaters and 10 coaches. (continued second page) CSE Request for funding: $5,000 The main portion of the funding will go directly back to the Town of Vail for staffing accommodations. By having funding for housing, it will cut the expenses for the participants. Keeping the participant’s fees lower will increase selling the event out. The coaches this past year paid for their own accommodations. I would like to be able to pay this expense to guarantee getting the best coaches possible for this event. Our team of coaches last year was incredible. A portion of the funding will go to endorsing the event with the Professional Skaters’ Association and advertising. In-Kind days at Dobson Arena: 1.5 days (24 hours of ice time/ Thursday 10 hours, Friday 10 hours, and Saturday 5 hours) Sponsors: The Steadman Clinic/Steadman Philippon Research Institute have been our main title sponsor for all events entailed in the Vail Skating Festival.
