SCORECARD CRITERIA QUESTIONS -EE
How will your event support the mission
and vision of the Vail Town Council?
Climb it for Climate is directly on mission and supports the vision of the Vail
Town Council to be the Premier International Mountain Resort Community.
One of the key storylines we would like to share is that Vail was the first
Mountain Ideal Sustainable Tourism Destination - a certification developed
by Walking Mountains and Sustainable Travel International. Increasingly, a
robust sustainability plan is a prerequisite for premier tourism destinations
and this event can reinforce Vail's reputation as a leader in climate action.
The event inspires our community to protect our beautiful natural surrounds
for decades to come. This event will reinforce the Town of Vail's values of
collaboration, environmental sustainability, and innovation.
This recreational and educational experience is delivered by seasoned
producers and educators immersed in the hospitality culture of Vail.
How will your event or program support
the Vail brand identity?
Walking Mountains is known as a place-based educational institution and
Climb It for Climate is firmly rooted in Vail. This event will enhance Vail's
legacy of environmental sustainability and innovation.
In addition to raising critical funds for Walking Mountains' continued work in
sustainability with residents and visitors alike from pre-K through gray (at
the Vail Nature Center, Nature Discovery Center, and backcountry trails
around Vail as well as with the Vail business community), the event is
focused on educating our community and, most importantly, activating our
community towards a sustainable future. This is a future with clean air,
clean water, healthy forests, healthy food, and a meaningful relationship
with our natural environment.
How will the event or program enhance
Leadership Skills: locally, nationally and
internationally?
Sustainability and climate action requires champions. Altering the course of
climate change requires broad participation and Climb It for Climate
participants will be equipped with the inspiration and actionable steps to
influence their communities (households, HOAs, sports teams, social clubs,
workplaces, and local governments) in Eagle County, across Colorado and
the US (many of our participants will be seasonal residents) and
internationally. Over time, as this event grows and attracts larger
audiences, participants will develop fluency in the language of sustainability
as well as a deep understanding of the scalable impacts of small changes
in how we live, play, and work.
What opportunities does the event or
program have to foster a health and
wellness reputation for Vail?
Aside from the fundamentally physical nature of the event (2,200 vertical
foot hike), the correlation between the health and wellness of the
environment and that of ourselves is increasingly well documented. Clean
air and water, healthy soil and forests, and a natural food chain directly
impact human physical wellness, and taking meaningful action against
climate change in solidarity with a social group alleviates climate anxiety
and enhances mental health.
How will the event or program provide
opportunities for intellectual dialogues
and problem solving?
The primary focus of this event is education that will lead to action. Salient
content will be presented from pre-event communication through the event
and into post-event communication. At Climb It for Climate, participants will
have the opportunity to learn about sustainability initiatives at The
Basecamp, be intrigued by trivia on The Climb, and take action at The
Party. Many participants will be in teams and individuals will be encouraged
to team up to participate in gamification elements throughout the event.
Climate change is a complex challenge without a silver bullet solution; it
requires myriad efforts large and small from all of us. From clean energy
and electric vehicles to composting and agriculture, the changes required
to reverse the effects of climate change are complex and invite
collaboration and connectivity among community members.
How will the event or program deliver an
educational component?
A core component of the event are "education stations" developed by our
education staff along with Community Programs and Sustainability
Programs team members to educate participants while engaging them in
fun activities.
Through pre- and post-event communications, on-site gamification of
education stations with hands-on activities and inspiring storytelling,
integrated and aligned sponsorships, and, of course, a green event
production including our Zero Waste team, Climb It for Climate seeks a
variety of channels to inspire lifelong learning!
How is this event/program at the right
time for Town of Vail?
In recent press, the CSE made clear its focus on Destination Stewardship
and the VLMD is explicitly focusing on educating guests and residents on
sustainability practices. Other recent press about environmental threats
including chemical spills in our waterways, fire and flood mitigation,
heatwaves, and on-going drought along with exciting efforts around
electrification (including the Solarize campaign and electric busses),
curbside composting, and ebike rebates illustrate the importance of
sustainability and climate action to our community here in Vail.
In its inaugural incarnation, Climb It for Climate embodies the criteria of
Educational and Enrichment Events. As it evolves into a larger event with
more components (potentially including competitive tracks, family zones,
keynote presentations, headlining concerts, film screenings, panel
discussions, workshop sessions, etc.), it is likely to resemble the profile of
Cultural, Recreation and Community Events, drawing a
sustainability-oriented, adventure-minded audience from across the country
and the world to Vail.
How will your event/program attract
target markets of both visitors and
community members?
As this event is a fundraiser, the sponsorship revenue model will attract
individual and corporate sponsors who are generally affluent. Given the
relative difficulty of the hike, they are also likely to be 35-55 years old,
active and healthy. Teams are filled by sponsors, so we are likely to see
individual sponsors recruiting groups of a similar profile and corporate
sponsors engaging their employees. Individual ticket purchasers will likely
range from locals to seasonals in this first year.
Climb It for Climate has attracted a dynamic and influential host committee
representing a variety of social networks through neighborhoods,
recreation, occupations, and board service.
While the sustainability world gathers for several conferences each year, a
gap exists in the "edutainment" space - to our knowledge, there is not a
local event that unites a national or international audience around climate
action. Climb It for Climate can become that "not-to-be-missed" event every
year for the increasing population of people who care about sustainability
and want to meet like-minded community members and visitors.
What is the lasting community
involvement opportunity and/or lasting
community benefit of the event or
program?
Climb It for Climate aspires to become a signature annual event for the
Town of Vail and Walking Mountains Science Center! The event is focused
on education and action that people will take into their daily lives. We
anticipate more people joining our Climate Action Collaborative and
passing along the things they learn to their friends, colleagues and
neighbors - thus creating a powerful ripple effect.
Funds raised support a growing program schedule (already over 1,000
programs each year) and enhanced community resources. If the event is
successful, these participants implement immediate changes in the ways
they live, work, and play that accelerate our progress toward our collective
Climate Action Goals of reducing greenhouse gas emissions by 50% by
2030 and 80% by 2050.
How will the event/program deliver fresh
content and enhanced experiences?
To our knowledge, nothing like this event exists in the world - its format is
as unique as its setting on Vail Mountain. Many events are available that
offer hiking or education or entertainment - none bring them all together in
such a spectacular setting and in a community that is so committed to
sustainability and climate action.
Sustainability - like technology - changes quickly. If the vision for this event
is fulfilled and it becomes an iconic annual event, there will never be a
shortage of fresh content. The Walking Mountains staff is focused year
round on bringing our mission to our community in new and creative ways
and Climb It for Climate stands to benefit from that constant innovation.
How will the event or program achieve
recognition and drive participation?
We have already recruited teams from companies (including international
financial services firm William Blair) and individuals. We are proud to have
Mike Brown, Regional President of Alpine Bank, serving as the Corporate
Chair for the event and through his efforts and ours we have already driven
participation to about 50% of our goal.
The ambition for participation in this inaugural event is modest - 400-500
people - and is inextricably tied to the revenue model. Sponsorship
represents over 90% of the revenue goal and those sponsors also put
together teams. We believe that the combination of the topic, the activity,
and the time of year make this a very attractive event to the broader
community and that demand will exceed capacity for participation.
Additionally, equity and accessibility are important for Walking Mountains in
this event (this is not an exclusive gala), so we are trying to keep the barrier
to entry (pricepoint, parking and public transportation access, etc.) as low
as possible given the hard costs.
Climate change is the most pressing - perhaps existential - challenge of our
times and for the next generations. We believe that this event has the
potential to attract national interest from the press, community influencers,
sponsors, and celebrities who recognize the growing attention to this topic
by their constituents.
The Host Committee includes entrepreneurs, executives, architects,
lawyers, government representatives, educators, and active board
members from across the valley and the country. We are proud to work
with this dedicated group to ensure the success of the inaugural Climb It for
Climate:
Aaron Beckman, Alix Berglund, Kristen Bertuglia, Fritz Bratschie, Gretchen
Brigden, Danny Diaz Leyva, Nancy Dowdle, Jennifer Geisman, Lisa
Goldstein, Brad Goodman, Jeremy Gross, Adam Harrison, Clare Hefferren,
Samantha Hodgkins, Kim Langmaid, Ted Leonard, Jeff Malehorn, Tiffany
Oestreicher, Philip Pillsbury, Adam Quinton, Matt Sadler, Liz Smith,
Douglas Smith, Robyn Specthrie, Carol Wellbaum
What is the marketing reach for the
event/program? You will be asked more
detailed marketing questions in a future
section.
Because the participation model is closely tied to the sponsorship in the
revenue model, and because capacity is somewhat limited to ensure our
ability to deliver a Vail standard of user experience throughout the event,
we do anticipate a limited marketing plan focused on a "buy tickets" call to
action.
Rather, our hope is to leverage the event as a reason to promote the topics
of sustainability and climate action - to share stories from Walking
Mountains, the Climate Action Collaborative, our sponsors like Holy Cross
Energy (100% clean energy by 2030), and the climate champions in our
community, many of whom are connected to Walking Mountains (including
Beth Markham at the Town of Vail, Jessica Foulis at the Eagle Valley Land
Trust, James Dilzell at the Eagle River Watershed Council, Peter Suneson
at Eagle County Open Space, Fritz Bratschie in Vail Resorts Sustainability
and, of course, Mayor Kim Langmaid).
In the future, as participation goals increase and the scale of activities
increases, we anticipate marketing statewide and eventually attracting a
national audience - always targeting the high net worth outdoor adventurers
but also engaging students and young professionals, "second mountain
climbers" (in the David Brooks sense), and national activists and organizers
around climate action. Reaching these audiences will require a broad and
multi-faceted marketing plan.
What is the potential for the
event/program to leverage media
exposure and attract sponsorship
support?
We are happy to report that we are already 50% of the way to our
sponsorship goal! We are seeking support from the Town of Vail not as a
lifeline, but rather as a critical kickstart in this inaugural effort and, more
importantly, because an event touting the sustainability success of Vail and
uniting our community in climate action for the future would feel incomplete
without support from and storytelling about the important work that the
Town of Vail has undertaken and is planning.
This event is an amplifier for the Town of Vail's sustainability message. We
hope it will establish Vail as the epicenter of climate awareness here in
Colorado, across the country, and eventually around the world.
Explain the event/program producer’s
quality, knowledge and resources to
sustain and grow the event.
Walking Mountains is in its 24th year of delivering natural science
education programming to the Vail Valley from pre-K through gray in many
different formats. Our annual gala, A Taste of Nature, is known as one of
the best galas in the Vail Valley (it typically sells out before invitations can
be sent) is produced by our in-house team and our production partners for
Climb It for Climate, Event Producer Cara Loux (formerly of Vail Jazz) and
the technical team at Altitude AV (who produces regularly at Eagle's Nest
and in the Town of Vail), are seasoned producers with roots in the
community.
Explain the adaptability of the event and
the event producer to adjust to
changing public health orders.
Walking Mountains is proud to have maintained in-person learning
throughout the pandemic by dramatically adjusting our formats and lesson
plans. We supplemented these experiences with a library of educational
video content and at-home lesson plans that teachers could implement with
their students during virtual learning, social distancing, and outdoor
activities.
Our production team is working with Mountain Operations to ensure the
safety of our participants at the event. This event is almost entirely
outdoors and so should only be affected during a severe escalation of the
pandemic.
Walking Mountains maintains a close relationship with Eagle County Public
Health and has a demonstrated ability to adapt on short notice not only to
new regulations but also new recommendations from our local experts.
EVENT ECONOMIC IMPACT
Estimate number of room nights within
the Town of Vail for your event or
program.
30
Estimate the amount of increased
spending within the Town of Vail to be
generated by your event or program.
$18,000 - $21,000
What estimated return on investment
(ROI) in dollars should the Town of Vail
expect?
$18,000-$21,000: This is $8,000 - $10,000 ($20 per person at 400-500
people) for dinner (the event concludes between 3:30-4:30pm so we
anticipate a high percentage of participants remaining in town) plus about
$10,000 (30 rooms at $350 comprised of visitors and locals choosing a
staycation).
The longterm ROI scales with attendance and the event's ability to draw
heads in beds. If the Town of Vail believes that the topics of sustainability
and climate action are important, and that Walking Mountains has the
ability to develop a compelling event property around them, than a
year-one investment is an important step in realizing longterm returns.
Explanation of how you will direct
prospective attendees to book lodging
within the Town of Vail and a
description of how you will track the
number of lodging nights generated.
DiscoverVail.com will be integrated throughout event communications and
will be the destination for lodging, dining, shopping, and ancillary activities
for Climb It for Climate participants. Click-throughs are easily tracked
through emails (Hubspot) and our website (Wordpress) and depending on
the level of detail desired by the Town of Vail, special codes can be
established with lodging properties or discount codes can be utilized in
dining/shopping establishments.
BUDGET
Describe how you will use the funds
requested from the CSE.
Funds contributed by the CSE would represent up to 20% of the revenue
goal for the event. Funds are utilized to activate sponsorships through
marketing and communications and on-site activations as well as to
support event operating expenses that ensure a world-class experience for
participants.
Upload the complete provided
event/program budget template.
https://www.formstack.com/admin/download/file/12969644841
What percentage % of the total
event/program budget is the CSE being
asked to fund?
20
If the event/program is not funded at full
request, how will the event change with
a lower funding allocation?
The request to CSE includes two components: a sponsorship (including
marketing benefits and the ability to field teams) and underwriting a large
scale live mural.
The top corporate sponsorship, the Summit Sponsor at $25,000, may be
recognized as the presenting sponsor with full brand integration throughout
the marketing, communications, signage and collateral, up to 20
participants, and custom activations developed in cooperation with the
Climb It for Climate production team.
The Alpine Sponsor at $10,000 includes premium logo integration
throughout the marketing, communications, signage and collateral, up to 10
participants, and custom activations related to a special area of
engagement (ie - the Education Stations) within the event footprint.
The Live Mural: We envision engaging two live muralists -- Patrick Milbery
(whose work has been featured throughout the Town of Vail) and Patrick
Maxcy (whose work is featured at the Denver Zoo, at Outdoor Retailer
conventions, and the new Colorado Amazon offices) -- to create a large
scale mural live during the event. We envision the Town of Vail including
this piece in the Art in Public Places program as a destination for sharing
the sustainability story of the Town of Vail. We believe that Vail is leading
the way in sustainability action and that visitors will be interested to know
more about it!
If the CSE chooses not to fund Climb It for Climate, we will pursue
alternative sponsorship revenue and, unfortunately, its sustainability story
will not be featured throughout the event experience. If the CSE chooses
not to fund the live mural, it may not happen at all.
Should the CSE decide not to support
this event/program at all, will it still
occur?
Yes
What total dollar amount of the
event/program revenue do you expect
the event itself to generate? (ticket
sales, merchandise, food and alcohol
sales, etc.)
166000
Do you intend to host the event or
program in Vail beyond 2022?
Yes
How many years beyond 2022?4+
Do you anticipate requesting funding
from the CSE for 2023?
Yes
MARKETING
Please upload your event/program
marketing plan and budget, include
strategy, channel, method, budget and
execution dates.
https://www.formstack.com/admin/download/file/12969644849
Objectives: What are you trying to
accomplish through your marketing
efforts?
We anticipate that sponsored teams will comprise most of the participant
goals but we will make tickets available to the community and this will be
an important call to action in our marketing efforts.
We expect the event to sell out and so our marketing efforts will leverage
the event to share stories of sustainability successes throughout our
community and inspire everyone to live, work, and play in a more
sustainable way.
Strategy: How will you meet your
objectives?
The budget includes digital and print marketing efforts and our in-house
organic channels include our website (which receives peak traffic in the
summer), email marketing (including Talking Mountains and Sustaining
Mountains newsletters), social media, and signage on our Avon Tang
Campus. Additionally, we have a strong Host Committee that is engaged
both with creating the event as well as spreading the word about it to their
networks.
Audience: Who is your audience? (You
may select more than one)
Primary and Second Homeowners
Local residents
Activation: Detail in town/in village
activation opportunities to promote
your event or program.
We anticipate custom activations in response to sponsorships. For
example, Fjallraven is sponsoring and we are exploring ways to drive event
registrants into the storefront prior to the event (ie - day of prizes for
anyone wearing Fjallraven gear) and after the event (ie - participant
discount coupons, storytelling on-site about their uniquely sustainable
products, and "shopping spree" prizes). We look forward to brainstorming
ideas that support Town of Vail goals as well.
The event begins at 9am near the Lionshead Gondola. While some
participants may come to town early for breakfast, we expect most to arrive
in time to get registered and start hiking. The event concludes between
3:30-4:30pm and there is a potent opportunity to drive participants to
merchants, restaurants, bars, and even lodges.
Channels: Which of these channels will
you utilize to promote your event or
program? (You may select more than
one)

How will you promote and utilize
DiscoverVail in your marketing efforts?
We would be excited to integrate DiscoverVail in our marketing efforts, from
registration through post-event communications. We could include an
option to uncheck a box at registration about receiving communications
from DiscoverVail. Perhaps we integrate the Sustainability Quiz in the
pre-event or on-site activations (ie - take a quiz in advance and receive a
branded buff at the event). Of course, Climb It for Climate could have a full
page in the Events section -- maybe we direct people to that page for
exclusive content or maybe information related to the trivia answers is
exclusively at DiscoverVail.
We look forward to working together to determine the best ways to position
DiscoverVail within the Climb It for Climate ecosystem.
Do you have a user database you utilize
for event promotion?
Walking Mountains utilizes several databases -- a marketing database, an
event registration database, and a donor database -- and all three will be
utilized for event promotion.
SPONSORSHIPS & PARTNERSHIPS
Please upload your full
sponsorships/partnerships
presentation, pitch deck or letter.
https://www.formstack.com/admin/download/file/12969644861
What levels of sponsorship are you
selling for your event?
For corporate sponsors, we are selling sponsorships at $25,000, $10,000,
$5,000, $2,500, $1,000 and $500.
Please list your confirmed sponsors or
partners.
Confirmed corporate sponsors include: East West Partners, Mi2 Partners,
Holy Cross Energy, Fjallraven, Alpine Bank, William Blair, Shepherd
Resources, Inc., Berglund Architects, Rutsu, Wall Street Insurance,
Sonnenalp Hotel, Diaz Leyva Group, Seppi, Rumpl
Confirmed individual sponsors include: Andy Darrell & Dana Tang, Jay
Mahoney, Amanda & Adam Quinton, Lisa & Brent Goldstein, Colleen &
Dave Reitan
Confirmed grants: Epic Promise Foundation
What is the dollar $ amount of
sponsorships and/or partnerships from
other sources reflected in the
event/program budget?
$135,000 - The revenue goal is $166,000 and we are requesting that the
CSE consider a $35,000 sponsorship that includes 20 participant spots,
marketing benefits, and the sponsorship of the live mural.
What is the dollar $ amount of in-kind
services or items provided from
sponsors or partners?
TBD - The budgeted expenses are $135,000 and we are actively seeking
in-kind contributions to offset those expenses (primarily through donated
beverages and merchandise/swag).
Please explain the potential for
additional sponsorships or partners.
The budget for sponsorships is $155,000 so there are $120,000 in
sponsorships in addition to this request from the CSE. We are thrilled that
nearly $80,000 has been secured as of this submission! The budget does
not account for staff time so the proposed profit margin for this inaugural
event only represents hard costs and event-specific revenue.
As our program teams develop content ideas, additional opportunities for
storytelling, branding, and participant engagement may emerge.
What sponsorship level are you asking
the Town of Vail to support?
We hope the Town of Vail will consider the Summit Sponsorship at a
contribution level of $25,000 as well as the underwriting of the live mural
project at $10,000, which can be utilized by the town as part of the Art in
Public Places initiative to draw attention to the impressive efforts of the
Town of Vail in sustainability.

How will you ensure fulfillment of the
sponsorship rights and benefits?
Walking Mountains employs a marketing department, development
department, and a dedicated event producer and has engaged a Host
Committee (including a sponsorship subcommittee) who will all be focused
on executing a world-class event. Walking Mountains maintains a trusted
relationship with our community based on our ability to deliver top notch
sponsor activation and benefits for our partners for 24 years. Further, we
can only grow Climb It for Climate into an iconic event for Vail if we deliver
a positive experience for participants, sponsors, volunteers, and staff.
