Summary of Chalet Turn-over Meeting with Town of Vail
April 22, 2008
A. Additional Information Requested by the Town:
1. Fire Department, Engineering and Planning requested that an overall interim
"Management Plan" be provided to the Town This should include the
following:
a. Parking management - graphically depict who parks where and how
many spaces are available for those entities. That includes primarily
Club staff and potential members, Skier Services and tenant staff as
well as Spa staff and potential customers
b. Narration on who will be in charge of managing parking and loading
dock operation during the time construction is ongoing and the parking
structure is being utilized by the users
c. Identify both graphically and a narrative addressing storage - type of
storage and how much is allowed; indicate arrangement of stored
products and required clearances in relation to fire protection system
d. Identify public pedestrian access and potential control of same during
construction activities from Vail Road across Vail Lane to the Vista
Bahn Park and Forest Service access road
e. Identify vehicular access and control for Vail Lane
• Add Knox Box keyed entry at gate
f. Identify intended management plan for moving vans and offloading of
furniture and the like for the Chalets that would clearly depict how this
will not interfere with emergency vehicle access to the Chalets or the
Fire Command Room in the Ski Club.
B. Miscellaneous Provisions Required
1. During the meeting the Fire Dept. concurred that the Forest Service Access
Road would be a viable alternative for a means of secondary access if the
grades and access could be developed and maintained. After the meeting,
however, this was rejected and a path shown on the approved site plans must
be provided from the circle all the way to Chalet Building No. 2. This can
be a temporary dirt path. Hyder suggested utilizing the existing trail south
of the chain link fence and provide a stair from the circle to the path
adjacent to the fire hydrant. This will need to be depicted on the plans and
acceptable grades will need to be noted and provided
2. A bond for the value of the work related to Check Point Charlie
3. Identify the extent to which landscaping will be completed over the entire
project
4. Schedule dates for the Mountain activities for Vista Balm Park
5. Dates for the erection of the AIPP sculpture in the plaza
6. Engineering noted the requirements outlined on page 6 item IV in the DIA
must be adhered provided for.
7. A clear understanding in written form of the elevator control panel and
graphics for the same for the Chalet elevators. It was agreed that as far as
the Town and Safebuilt were concerned the Chalet elevators are residential
elevators and not for commercial applications. Signs and requirements for
the exiting would not be required as they are for commercial use.
8. Graphically depict the modifications to site construction fencing and access
as the Chalet Building Nos. 5 and 6 are turned over for occupancy
9. The Fire Department will require that Fire Sprinkler systems and Fire Alarm
systems are fully functional in all Chalets within each building prior to any
one of the Chalets within any one building being turned over for occupancy.
Heat detection in a Chalet under construction adjoining an occupied Chalet
is acceptable
C. Construction Office Plan
1. The timing and relocation of the offices and storage was depicted on the
plan and was generally agreed to.
2. Hyder presented the proposal to convert the void space beneath Chalet No. 8
in the Mech. Mezzanine for offices and this was acceptable provided a plan
is submitted to Safebuilt and the Fire Dept. This would be an informal plan
and not a full fledged application for a revision to the project.
3. If VRDC were to want to incorporate this space into the project for
permanent occupied use a formal submittal depicting type of use and code
compliance would be required.
4. After the meeting Hyder proposed the notion of leaving Hyderville where it
is until Fall of 2008. this would eliminate a significant disruption to the
logistics of the work and management of the same. This proposal will need
to be blessed by VA Mountain Operations and if acceptable the Occupancy
Logistics plan will need to be revised to identify this arrangement
A follow up meeting with the representatives from the Town and Safebuilt was
recommended for a date in mid June.
